Edit multiple work items

You can edit fields in up to 1000 work items at the same time.

You need to have the relevant project permissions to edit work items in your project.

Edit fields in multiple work items from the list

To edit multiple work items from the list:

  1. Select multiple work items from the list. You can either:

    1. use the work item checkboxes

    2. hold Ctrl (Windows) or Command (Mac) while selecting work items

    3. hold the Shift key to select a group of adjacent work items

  2. Once you’ve chosen the work items you’d like to edit, select Edit from the toolbar that appears. This will open the bulk edit sidebar.

  3. Choose what you’d like to do with the fields shared across the selected work items by clicking into the field and making direct edits. You can also search for additional fields you may want to edit using the search bar. Some fields may require you to choose from a handful of options. The options depend on the type of field, but may include:

    1. Keep as is - Make no changes to that field across the selected work items.

    2. Add new - Add new values to what’s already there across the selected work items.

    3. Find and remove - Remove a specific value from the field across the selected work items.

    4. Replace all - Replace the existing content for that field across all selected work items.

    5. Remove all - Remove all values from the field across the selected work items.

  4. When you’re done editing, select Next to review your changes on a confirmation screen.

  5. Select Confirm to save your edits.

Edit fields in multiple work items from the backlog

You can only edit fields in multiple work items from the backlog if you’re in a software project.

To edit multiple work items from the backlog:

  1. Select multiple work items from the backlog. You can either:

    1. use the checkboxes

    2. hold Ctrl (Windows) or Command (Mac) while selecting work items

    3. hold the Shift key to select a group of adjacent work items

  2. Once you’ve chosen the work items you’d like to edit, select Edit, then Fields from the toolbar that appears. This will open the bulk edit sidebar.

  3. Choose what you’d like to do with the fields shared across the selected work items by clicking into the field and making direct edits. You can also search for additional fields you may want to edit using the search bar. Some fields may require you to choose from a handful of options. The options depend on the type of field, but may include:

    1. Keep as is - Make no changes to that field across the selected work items.

    2. Add new - Add new values to what’s already there across the selected work items.

    3. Find and remove - Remove a specific value from the field across the selected work items.

Edit fields in multiple work items from the board

You can only edit fields in multiple work items from the board if you’re in a software project.

To edit multiple work items from the board:

  1. Select multiple work items from the board. You can either:

    1. hold Ctrl (Windows) or Command (Mac) while selecting work items

    2. hold the Shift key to select a group of adjacent work items

  2. Right-click or select More actions (•••) on one of the selected work items, then select Bulk change.

  3. Select Edit work items and select Next.

  4. Select a value for any required fields and, if available, decide whether you'd like to send email notifications before selecting Next.

  5. Review your bulk edits and select Confirm, then Acknowledge.

Edit fields in multiple work items from the All work navigator

To edit multiple work items from the All work navigator:

  1. Adjust the search criteria to show the appropriate list of work items.

  2. Select Import and bulk change work items (•••) and choose Bulk Change all <n> work items.

  3. Select the work items you'd like to perform the bulk operation on, and select Next.

  4. Select Edit work items and select Next.

  5. Select a value for any required fields and, if available, decide whether you'd like to send email notifications before selecting Next.

  6. Review your bulk edits and select Confirm, then Acknowledge.

Change Affects Version/s

  • Selected work items belong to one project, and that project has version/s

  • This field is not hidden in any field configurations the selected work items belong to

  • The current user has 'edit work item' permission for all the selected work items

Change Assign To

  • This field is not hidden in any field configurations the selected work items belong to

  • The current user has 'assign work item' permission for all the selected work items

Change Comment

  • This field is not hidden in any field configurations the selected work items belong to

  • The current user has 'comment work items' permission for all the selected work items

Change Component/s

  • Selected work items belong to one project, and that project has component/s

  • This field is not hidden in any field configurations the selected work items belong to

  • The current user has 'edit work item' permission for all the selected work items

Change Due Date

  • This field is not hidden in any field configurations the selected work items belong to

  • The current user has 'edit work item' permission for all the selected work items

  • The current user has 'schedule work item' permission for all the selected work items

Change Fix For Version/s

  • Selected work items belong to one project, and that project has version/s

  • This field is not hidden in any field configurations the selected work items belong to

  • The current user has 'edit work item' permission for all the selected work items

Change Work Type

  • The current user has 'edit work item' permission for all the selected work items

Change Priority

  • This field is not hidden in any field configurations the selected work items belong to

  • The current user has 'edit work item' permission for all the selected work items

Change Reporter

  • This field is not hidden in any field configurations the selected work items belong to

  • The current user has 'edit work item' permission for all the selected work items

  • The current user has 'modify reporter' permission for all the selected work items

Change Security Level

  • This field is not hidden in any field configurations the selected work items belong to

  • All the selected projects are assigned the same work-level security scheme

  • The current user has 'edit work item' permission for all the selected work items

  • The current user has 'set work item security' permission for all the selected work items

Change Custom Fields

The 'Change Custom Fields' operation is available only if:

  • a global custom field exists OR

  • a work type custom field exists and the work items are all of this specific work type OR

  • a project custom field exists and the work items are all of the same project

Edit a Closed Work Item

  • Your workflow must allow editing of closed work items

Change organization

  • Available for Jira Service Management

  • Work items must be in the same project

  • You must have the agent role for the project

Change Sprint

You need to specify the sprint ID.

  • This operation only affects active and future sprints, i.e. closed/completed sprints are not included when bulk editing the Sprint field.

Fields that can’t be bulk edited

The fields listed in this section have no operations for bulk editing. This is because there is an alternative method or it is not logical to perform bulk edit on them.

The following system fields are unavailable for bulk editing:

  • Attachments

  • Summary

  • Description

  • Environment

  • Project — Please use 'Bulk Move' to move work items between projects

  • Resolution — Please use 'Bulk Workflow Transitions' to modify the resolution of work items

  • Time Tracking fields — Original Estimate, Remaining Estimate, Time Spent

The following custom field types aren't available for bulk editing:

  • Import Id

  • Read-only text
