Microsoft PowerPoint Tabs Explained

Microsoft PowerPoint tabs organize tools and commands into different sections for creating and editing presentations. Each tab provides specific features, such as formatting text, designing slides, adding animations, and managing presentations.

PowerPoint Tabs Breakdown

The ribbon tabs let you perform different operations on your presentations create, style, animate, present, review, and more.

1. File

Contains options related to the file, such as New, Open, Save, Save As, History, Print, Share, Export, Info, and account/settings options. This opens Backstage view for file management.

2. Home

This is the default tab and the one used most frequently. It is generally divided into groups such as Clipboard, Slides, Font, Paragraph, Drawing, and Editing. It allows you to:

  • Add new slides and change layouts
  • Format text (font, size, color, bold, italic, alignment, bullets/numbering)
  • Cut, copy, paste, and use Format Painter
  • Access basic drawing tools and Find/Replace

3. Insert

Add content to your slides, including:

  • Tables, pictures, icons, 3D models, shapes, SmartArt, charts
  • Text boxes, WordArt, headers/footers, date/time, slide numbers
  • Links, videos, audio, equations, symbols
  • Cameo (camera feed) in supported Microsoft 365 versions

4. Design

Contains presentation design options. You can:

  • Apply themes and variants
  • Customize colors, fonts, and effects
  • Change slide size and format the background
  • Access Designer and newer simplified Design ribbon tools with additional themes and SmartArt layouts in recent updates

5. Transitions

Controls how one slide changes to the next. Choose from a gallery of transition effects, adjust duration/speed, add sound, and apply transitions to all slides or selected ones. Use Preview to test the effect.

6. Animations

Used to animate individual objects (text, images, shapes, charts) on a slide. Select animation effects from the gallery, set timing, order, triggers, and effect options. The Animation Pane helps manage complex sequences.

7. Slide Show

Sets up and runs the presentation. Options include:

  • Start From Beginning or From Current Slide
  • Set Up Slide Show
  • Rehearse timings, record narration
  • Subtitle/caption settings and other presentation controls

8. Review

Contains tools for proofing and collaboration:

  • Spelling and grammar check
  • Thesaurus, language/translation tools
  • Comments and ink annotations
  • Compare presentations and accessibility checker

9. View

Lets you switch between different presentation views and control display tools:

  • Normal, Outline, Slide Sorter, Notes Page, Reading View
  • Master views
  • Ruler, Gridlines, Guides
  • Zoom, windows arrangement, and macros
