Ann Graves, CFO of Switchplace, joined the WBENC-certified corporate housing provider in 2020 with a CPA background from publicly traded oil and gas companies. Switchplace runs on a lease-to-match model: sourcing inventory and matching leases to enterprise client orders across markets, with cost of goods sold that shifts on nearly every deal. Profitability can't be assumed. It has to be tracked. For Ann's team, that means financial reporting has to be organized around the operational reality of the business, not just the transactions QuickBooks sees. When something looks off in the numbers, the answer isn't a spreadsheet. It's the reservation data underneath: units, lease terms, ADRs, how the stay was recorded.     I wrote this piece because the question is not whether the PMS is still relevant. It is whether a traditional system of record is enough for the way long-stay accommodation businesses actually operate today. In conversations with corporate housing and serviced apartment operators, the complexity is rarely the reservation itself. It is everything connected to it: who is staying, who is paying, who controls the unit, what financial obligations exist, what changed, and what should happen next. That is why I believe the next generation of software has to do more than record transactions accurately. It has to understand the context behind them, identify exceptions, coordinate workflows and take appropriate action within defined controls. The future is not the disappearance of the system of record. It is the evolution of that foundation into a System of Action.

    Would we build a PMS if we started today? Our CEO, John McAuliffe, asked that question in a new piece this week. The answer isn't "no." It's more specific than that. Long-stay operators across corporate housing, serviced apartments, co-living and flexible living don't run simple bookings. The guest may not be the payer. The property may not be owned by the operator. Billing, commissions and accounting all have to stay accurate while the reservation keeps changing underneath them. That complexity is why a system of record still matters. But it's no longer enough on its own. The next generation of software needs to understand the context behind the record, surfacing exceptions, guiding decisions, completing more of the work itself. That's the shift from a system of record to a system of action. A startup could pick one workflow and go deep. What it can't bring is the operational context and trust operators have built with their software over years.   • Integrated operations have always been at the heart of what we believe good accommodation technology should deliver. As John McAuliffe highlights, the opportunity with AI and automation is significant but it requires having the right foundation underneath it: one connected view of the operational and financial reality of the business. For corporate housing, serviced apartment and co-living operators, that connection matters from booking right through to billing, settlement and month-end. That foundation matters more than ever.

    Why Integrated Operations Still Matter in Corporate Housing in 2026 Accommodation technology has changed dramatically. AI is everywhere. Cloud platforms are standard. Automation is reshaping how teams work. But for corporate housing, serviced apartments and co-living operators, one requirement has not changed: You need one connected financial and operational picture. Because long-stay accommodation is not just about managing reservations. It is about connecting the reservation to the unit, the customer, the guest, the payer, the supplier, the contract, the invoice, the receivable, the payable and ultimately the profitability of the stay. And those relationships keep changing. A guest extends. A unit changes. A supplier cost increases. A fee is added. A credit is applied. A stay crosses accounting periods. The customer and supplier may need to be billed on completely different schedules. The financial result cannot be separated from those operational events. That is why fragmented systems create so much friction in long-stay accommodation. The reservation may be correct in one system, while finance is reconstructing the economic truth somewhere else through spreadsheets, integrations and manual reconciliation. The strongest operating platforms do something different. They preserve the relationship between the operational event and its financial consequence. That creates one connected financial and operational picture of the business. And in 2026, as operators look to AI and automation for the next wave of productivity, that foundation matters even more. AI cannot reliably act on a business it only partially understands. The opportunity is not simply to automate more tasks. It is to build an operating environment where the system understands what is happening, what it means financially, what should happen next and when human judgment is required. The lesson for long-stay accommodation leaders: Do not evaluate technology only on how well it manages the reservation.   • Most billing problems in corporate housing don't show up until a stay changes. A capable PMS creates the billing schedule once, tied to the actual contract dates, and updates it automatically as things change. It shouldn't take a manual rebuild every time a date shifts. Before trusting your PMS with proration, renewals, and refunds, a few questions are worth asking. Can it support mid-month starts and ends without manual proration? What happens when a stay extends? How are deposits handled and refunded? Can one stay generate multiple billing events over time? Can billing rules vary by client or contract?   • Monthly billing sounds simple until a stay doesn't line up with the billing cycle. Six moments expose whether a PMS was actually built for longer stays, not adapted from something else. 1. The first month starts mid-cycle. 2. A guest extends or departs early. 3. A renewal changes the rate. 4. A deposit has to stay separate from earned revenue. 5. Split billing is required. 6.
