Role Summary
The Operations Manager, Communications is the operational engine behind the global Communications team. This role builds and maintains the systems, processes, tools, data and reporting mechanisms that enable the team to plan effectively, execute efficiently, and deliver high-quality work at scale.
Acting as the connective tissue across the comms team, this person drives continuous improvement across workflows, resource planning, and operational rhythm of the business. The ideal candidate blends strong operations and program management capabilities with a deep understanding of corporate communications. They are equally comfortable designing long-term operational frameworks and rolling up their sleeves to manage projects for critical ROB initiatives. They must excel at fast-paced, dynamic environments, be detail-oriented, and have excellent interpersonal communications skills.
Key Responsibilities
1. Operational Leadership & Process Improvement
Establish, document, and refine processes, SOPs, workflows, and guidelines that improve efficiency, collaboration, accountability, and quality of delivery across Communications.
Build and maintain a centralized communications operations playbook—including project workflows, templates, intake criteria, approval processes, and reporting guidelines.
Drive annual, quarterly, and monthly planning cycles, including goal setting, capacity planning, prioritization frameworks, and KPI tracking.
Identify operational gaps and lead continuous improvement initiatives that reduce friction, enhance productivity, and strengthen stakeholder experience.
Manage team wiki page. Develop onboarding plans and training materials for new Team Comms members.
2. Project & Program Management
Lead intake process for Communications project requests; assess scope, complexity, requirements, and resource needs, and determine appropriate routing.
Manage logistics of organizational distribution lists.
Serve as a hands-on project coordinator for priority initiatives or cross-functional campaigns.
3. Asana Systems, Tools & Workflow Enablement
Architect, optimize, and manage Asana project management infrastructure, including portfolios, workflows, triggers, automation rules, and taxonomy standards.
Integrate Asana with other platforms (e.g., Microsoft 360, Slack) to streamline notifications, calendar invites, scheduling, and automated workflow progression.
Ensure Asana usage is consistent, intuitive, and enables cross-team visibility and collaboration.
Build dashboards, reporting templates, and tracking tools that support transparency, accountability, and operational excellence.
5. Measurement, Reporting & Performance Insights
Develop analytics frameworks, dashboards, and reporting systems that capture real-time project data, resourcing status, operational KPIs, and team performance metrics for Monthly Business Reviews.
Analyze operational data to identify trends, capacity needs, bottlenecks, and areas for improvement.
Lead retrospectives and incorporate learnings into new or refined processes, ensuring continuous improvement and operational maturity.
6. Resource Management & Budget Support
Lead annual and ongoing resource planning efforts to ensure team capacity aligns with business priorities.
Provide creative and comms leaders with visibility into workload distribution, forecasting, and resource constraints.
Qualifications
Required Qualifications
10+ years of experience in operations, project management, or program management roles supporting communications and/or marketing.
Demonstrated expertise with Asana—including automation rules, custom fields, portfolios, reporting, and workflow design.
Strong understanding of communications metrics, data and reporting. Experience creating reporting mechanisms.
Proven success managing multiple concurrent projects with competing priorities and tight deadlines.
Experience working with and enforcing SLAs and structured intake/scoping processes.
Strong organizational, planning, problem-solving, and prioritization skills with exceptional attention to detail.
Excellent communication and stakeholder management skills; able to influence across levels and geographies.
Experience in fast-paced, high-growth, global, or highly matrixed environments.
Demonstrated ability to build scalable systems, processes, and tools that improve operational efficiency.
Preferred Qualifications
Experience integrating Asana with Microsoft 360, Slack, or other workflow tools.
Familiarity with creative operations or studio environments.
Experience building dashboards and data visualizations for executive audiences.
PMP, Agile, or equivalent project management certification.
Experience with operational change management, new-tool adoption, or cross-functional enablement initiatives.
