SAMPLE PROPOSAL WRITING Date : December 17, 2013 To: Satish Maharaj, Chief Engineer From: Badrinath Rao,
Technician Subject: Replacement of Present 1-ph Ventilation Motor with a New 3-ph Induction Motor
INTRODUCTION The purpose of this proposal is to apprise you of the limitation of the present ventilation system, and to inform you about the benefits of replacing the current motor. In this report, I first give you a quick gist of the proposal then discuss in detail the following: problems relating to the present system A proposed solution to the problem Cost Time Benefits
GIST OF THE PROPOSAL The problem in the ventilation system was noticed during a routine inspection. I noticed the following problems with the present system: 1. Insufficient flow of air at the southern end of plant 2. Current motor uses too much electricity These two problems create both unsafe and an inefficient system. However, fortunately, the solution is quite simple and inexpensive. To correct the problem the present 1-ph motor in the system must be removed and replaced with a new 3-ph induction motor. This new motor will not only correct the problems of the present system, it will also yield the following benefits: 1. Increased life span
2. Decreased use of power 3. Ability to expand, and 4. Minimal installation time
PROBLEMS Inadequate airflow The main problem with the present system is that it is unable to generate enough airflow to the southern end of the plant. During my inspection, I took many different measurements of airflow throughout the plant using an airflow meter. I observed that the southern end is receiving only 1,700 cubic yards of ventilation per hour. General standards require that 2,000 cubic yards must be replaced every hour. If this situation is not rectified, we may be jeopardizing the wellbeing of our staff, not to mention a possible penalty from the government. After closer investigation of the ventilation system, I identified that the only thing wrong with the system is the motor driving the fan. The motor is badly worn out and therefore it is unable to generate the necessary flow. High Energy Consumption The problem with the present system is its uncommonly high power consumption. I notice this high power consumption while taking measurements on the present motor with a digital VOM meter. With these measurements, I calculated that the motor is running at only half its peak efficiency. An average 3-ph induction motor runs at approximately 90% peak efficiency. Over a year, the company loses about Rs. 47000 from the inefficiency of the present motor.
SOLUTIONS If a 3-ph induction motor were installed in place of a 1-ph motor, it would increase airflow by almost 20%. I calculated this by using the torque and speed features of a 3ph motor. This would boost the airflow to the southern end of the plant from 1,700 cubic yards to over 2,000 cubic yards per hour well within the General standards An average new 3-ph motor can run up to 90% efficiency. An average 1-ph motor of the same horsepower could achieve only 80% at best. The more efficient a device, the less costly it is to run.
COST/BUDGET The overall cost of replacing and installing the new motor should not exceed Rs.2500. The motor and control together cost Rs. 1300. The wiring would have to be undertaken by a qualified electrician. The overall labour cost should not exceed Rs. 350. Approximately Rs. 150 will go towards new motor mountings, brackets and the wire.
TIME From start to finish, replacement should not take more than 3 hours. It will take hour to remove the old 1-ph motor, and no more than an hour to install the 3-ph motor. Clean up work and initial start up of the system takes about 1 and hours.
BENEFITS Increased lifespan- If a 3-ph induction motor were installed into the ventilation system, it would provide much longer life than an equivalent 1-ph motor. A 3-ph motor will last much longer than a 1-ph motor doing the same task. The reason for this is the simplicity of operation of a 3-ph motor. Decreased use of power Power factor is not a clear term used in the description of any inductive device, including motors. Power factor, if left unattended, alters the electricity we receive. Although both 1-ph and 3-ph have some power factors associated with them, a 3-ph motor has fewer. In other words, a 3-ph motor will reduce the amount we are charged for electrical power. Ability to expand another of a 3-ph motor is the expandability we would have in our ventilation system. With the increase in airflow, we could easily add other addiction to the ventilation system, with more ease.
CONCLUSION We must not let this problem continue. A 3-ph motor is the ventilation will best suit our requirements both for the present and for the future.
