Recruitment Policy

1.0 Purpose

Ensures the selection of people is purely on merit and follows the process of identifying
and recruiting manpower in a systematic, fair and uniform manner.

2.0 Scope

3.0 Features

3.0.1 Man Power Planning

[Link] Every department of the organization will develop the plan for its human
resource requirement as a part of their Annual Business Plan.

[Link] The process of Annual Business Plan followed in the organization is as under:

 Goal Setting at the organizational level April


 Department Level Planning April to Mid- May

 Consolidation of the plan and feedback Second half of May

 Revision and finalization by departments First half of June

 Presentation to Board and Plan Approval July

[Link] These projections for manpower requirements will be approved before


the start of a financial year and will determine the positions at the
Head Office and at the field level.

[Link] Recruitment will be done on the proposal of the Department Head to


HR Department, whenever a vacancy arises due to resignation/
retirement of an employee or in case of new position, justified and
approved by the CEO/COO in the business plan as and when the
position might be arise.

the entry and exit grade levels for each job.

[Link] A written justification for recruitment in each case must be sent to the
HR Department for filing up the vacancies both for existing jobs and
for new positions.

[Link] HR in turn will keep the CEO informed of the proposed recruitments.

3.0.2 Recruitment Policy

 Respect towards women
 Professional training in a technical field such as
agriculture, animal husbandry, engineering,
management, accounting, banking, computers and social
work.

 Campuses/ Educational Institutions
 Word-of-mouth
 Advertisements in the media

3.0.4 Selection Process

[Link] Applicants who are selected in the written examination are asked to spend
a day at the field.

[Link] On completion of the field visit, the applicant prepares a report of his
observations and submits to Operations and HR.

[Link] Feedback about the applicant from the Branch Manager of the field,
subordinates, as the case may be, is also considered.

[Link] At the final interview, the applicant’s aptitudes and interests are assessed
to identify compatibility to the various jobs in the organization.

[Link] At the final interview, the following parameters are evaluated:

 Motivation
 Clarity of thought
 Communication
 Grasp of subject matter
 Attitude towards rural people /woman
 Their zeal to work in rural areas
 Mental alertness

process before the final interview.

assess the mutual suitability.

month training and probation period.

3.0.5 Joining Formalities

[Link] The process of joining commences on receiving the duplicate of letter of


appointment, duly signed by the individual, indicating the tentative
date of his/her joining.

[Link] The individual has to report to the HR for joining formalities.


[Link] On the date of joining, the individual has to fill in the following forms:

o Personal Data Form


o Joining Report
o Declaration Form
o Bank Account opening form

[Link] The new employee is required to submit the following documents to the
HR Department:
o One photocopy of educational certificates
o 6 passport size photographs
o One photocopy of proof of age
o Certificate of last salary drawn from previous employer,
if any.
o Relieving letter from previous employer, if any.
o Driving license
o Proof of Permanent address
o Indemnity bond

Head and HR immediately, of any changes in his/her residential
address and telephone number.

program, details of which will be stated in the offer letter.

Note - No two relatives* should be recruited/ deployed in the same Branch office. In cases where
two relatives are recruited for the same department they must be deployed in separate Branch
offices.
1. In cases where two relatives are already working in the same
branch/ area office whether in same/ different department,
they must be deployed at different location
2. In all existing cases where two relatives are working in the same
department or same branch office there should not be any
reporting relationship in between the two once they have been
deployed in separate branch offices.
3. In all existing cases where two relatives are working in the same
department or same Regional/Head office there should not be
any reporting relationship in between the two

*Definition of ‘relatives’ is:

Father/ Mother/ Sister/ Brother/ Husband/ Wife/Son/Daughter
