Office Security and Discipline Guidelines

The General Manager of the Corporate Services Division issued a memorandum to all staff reminding them of security, discipline and administrative efficiency policies. The memorandum listed 10 work disciplines staff were expected to follow, including ensuring fire doors are closed, taps and electronics turned off when leaving areas, work stations kept tidy, attendance properly recorded, confidential documents secured, reception areas kept clear of staff unless assisting customers, notifying secretaries of whereabouts when leaving the office, general cleanliness, and procedures for requesting use of pool cars for urgent duties. Any staff who noticed breaches of these policies were asked to report them to HR or the Group Chief Executive.

SUBJECT : SECURITY, DISCIPLINE AND ADMINISTRATIVE EFFICIENCY

From time to time the Human Resource & Administration Department made visits and noted
observations of what is happening on matters referred above.

As a reminder and additional precautions, kindly emphasize the following work disciplines;

1. Ensure all fire escape doors are properly closed before closing the office. It is observed that
the area has been used as smoking area which should not have been the case. If smoking is
desired, kindly use the walkways around the main lift and please keep the place tidy.

2. Ensure no tap water and electricity in pantries and toilets are left “on” when leaving the places.

3. Ensure all PCs are “off” before calling it a day.

4. Work areas surrounding the photostat machines and other office machines must be kept
tidy.

5. Ensure staff properly punched in and out their attendance.

6. All confidential reports and documents are not to be left laying around work stations.
Proper cabinets provided are to be used and ensure constantly locked.

7. Reception area around the receiptionist are “customer” area and no staff is to hang around
the area at any time.

8. Make a habit of always informing the department’s secretary of your whereabout whenever
you need to leave the office.

9. Cleanliness is also a religious virtue. Thus keeping your environment clean is your
responsibility.

10. Pool car and despatch clerking facilities are limited resources. Any staff can request to use
any of the car assigned to entitled General Managers, Deputy General Manager and Senior
Manager and their drivers to undertake any required urgent duty. Arrangement is to be
made directly with the Department concerned.

Any staff who discover breach of any of the above ethics may inform the Human Resource &
Administration Department or the Group Chief Executive directly.
