Download and Install
SmartCARS software is found in the Kenya Airways Virtual website, in the Pilot Center,
click on the Flight Tracker tab.
Pre-Flight Procedures
Once downloaded and installed, Open SmartCARS.
Logging in
Log in with your personal ID and password (those used for your Kenya Airways Virtual
account). You should see this window, once logged in.

Choose your flight
To choose the flight you wish to fly, Select the Flights tab on the SmartCARS software.
Flights you already bid would appear on this page. If you have no flights bid, click the New
tab to bid a new flight.
Enter your departure and arrival airports. (Use the airport ICAO codes)
Then click on Search.
A list of available flights between the two selected airports will be
displayed.

Bidding
In this case, KQA784, from HKJK (Jomo Kenyatta International) to FACT
(Cape Town International), operated on a Boeing 737-800WL, aircraft
registration (5Y-CYA).
To bid, select the desired flight, then click on the Bid tab. Click on the
Back tab, to get back to the previous page.
On the default flights page the bid flight(s) will now be visible, but NOT
active yet. To make the flight active, select the flight by clicking on it.

This makes the flight active. Parameters of the Flight such as Departure
and Arrival Times, Duration and Distance of Flight, and Aircraft type and
Registration for the flight also populate.
The Fly tab also becomes active.

Flight
Launch your Flight simulator program (FSX or P3D or X-Plane)
P3D v4 has been used in this example. Select the appropriate plane, departure
airport, and appropriate time. Then ok to continue. (Remember to start your
flight at a gate/stand, NOT on the runway)

Once at the stand, ensure that the parking brakes of your aircraft is set.
Go back to the SmartCARS software and click on Fly to begin tracking your flight.
This takes you to a page similar to the one below.

Choosing aircraft type
Choose the appropriate aircraft type from the dropdown menu shown below. (Be keen to
note the aircraft registration is correct)
Choosing Online Network
Choose your online network from the dropdown menu. You can also choose to fly offline.

Selecting Number of Passengers in the flight
This can be done by typing the desired number in the box shown above.
Selecting Cruising Altitude for the flight
The desired cruise altitude is selected by typing the value in feet. Number is written in
full and NOT in hundreds of feet or flight levels.

Entering the Route
The route for the flight is typed in the route box as shown above. SIDs and STARs as well
as valid Airways and Waypoints are to be used. (You may also include departure and
arrival runways (RWYs) as above)
Starting Flight Tracking
Once this is done, click on the Start tab to begin tracking your progress.
ACARS tab becomes active, and flight tracking begins. Major events and aircraft
configurations during the different phases of flight are recorded.

Handling Step-Climbs
Carry on with the flight until you land at the arrival airport. Taxi to the desired gate/stand
and set the parking brakes.
(For step-climbs, adjust the cruise altitude by clicking on the highlighted area to
update the new cruise altitude)

Post-Flight Procedures
These are to be followed after the flight is complete.
Commenting and filing PIREP
Comment on the flight and click finish to file your pilot report (PIREP)

Once filed, a pop up window shows that the PIREP has been filed.
