Sub: SAP ERP System — Downloading of Turnkey POs from SAP ERP System in
Excel Format for preparation of draft deviation statements — New

Ref: User request dated 18/06/2021 on the ESS Portal for SAP PO in Excel
Format,
Some of the users have requested for developing a provision in the SAP POs for
downloading of Purchase Orders in Excel format which is required for preparation of draft
PO deviation statements.
Accordingly, a provision is developed in the SAP PO in the *Tender Details’ Tab for
downloading the turnkey POs in the Excel format by clicking on “Download PO” button as
indicated below:

Further it is to inform that, the Excel download of the PO will be in the standard
‘Deviation Statement’ format showing all the Material/service items, quantities, unit rates
and also columns for entering the intermediate deviation quantities and also final deviation
Page 1 of 2 quantities. By default, the Excel file will display the present PO quantities and the Original
PO Quantities will get updated when the intermediate deviation quantities are entered by the
user. The excel file will have pre-embedded formulae to compute Schedule-wise sub-totals,
grand total and for the users to insert new rows for supplemental items.
It is also to be noted that, the excel file is fully editable and hence the users will be
held responsible for any changes in data or format by them in the file while preparing the
deviation statement, Users are requested to mandatorily compare with the PO hard copy and
verify the original PO quantities computed by the System generated Excel file after entering
of the intermediate deviation quantities approved and updated in SAP till to date before
initiating the deviation approval process.

System to reduce efforts and to avoid unnecessary errors.
