LEARNER’S REFERENCE IN COMPUTER SYSTEMS SERVICING NC II

TOPIC: Follow 5S and 3Rs according to environmental policies.

The purpose of this handout is to help you practice 5S concepts to your own desktop
computer to boost up your daily productivity and well-organized desktop.

5S provides the foundation for all quality improvement programs. Thus, it is often said
that the road to productivity starts. With 5S and through 5S you can create a highly productive
company with highly productive people. 5S is not only a matter of good housekeeping. It is a
process to create more productive people and more productive companies through motivation,
education, and the practice of 5S. It involves the creation of a strong corporate culture filled
with the spirit filled with the spirit of high productivity.

The 5S Principles

1. Seiri (Sorting/Putting things in order) Remove/discard what is not needed so that there are
fewer hazards and less clutter to interfere with work. Only keep what is needed.

2. Seiton (Orderliness/Proper Arrangement) Place things in such a way that they can be easily
reached whenever they are needed. "There must be a place for everything, and everything
must be in its place."

3. Seiso (Clean/cleanliness) Keep workplace and things clean and polished; no trash or dirt
in the workplace.

4. Seiketsu (Standardize/Purity) Maintain cleanliness after cleaning, consistently perpetual

cleaning. Such cleaning is part of every one's work.)

5. Shitsuke (Sustaining/discipline/commitment) Maintain standards and keep the facility in

safe and efficient order day after day, year after year.

Usually, most desktop looks like the picture on the

right side.

Keeping your desktop cluttered like this creates

many problems such as:

 Difficulty in finding files

 Scattered files, folders, and application
shortcuts

 Wasted time cleaning temporary / downloaded files.
 Desktop folder is often missed during synchronization.

Reduce, Reuse, Recycle (3Rs)

What is reduce, reuse, recycle (3Rs)?

Reduce, reuse, and recycle (3Rs) are the

three essential components of
environmentally responsible consumer
behavior.

It is also called waste hierarchy.

Here's how that hierarchy might apply to

computers:

✔ Reduce to limit the number of purchases that you make.

✔ Reuse use items again before replacing them.
✔ Recycle, ensure items or components are put to some new purpose if possible.
If not, donate to one of several organizations that may refurbish or recycle its
components.

Recently, two more Rs are added: "rethink" or "recover."

✔ Rethink consider options to think the impact on the environment.

✔ Recover, the practice of putting waste products to use.

Common questions

Powered by AI

The practice of 3Rs benefits the environment by minimizing waste, conserving resources, and reducing environmental impact. In the context of computer systems servicing, 'Reduce' emphasizes limiting purchases and leading to fewer resource-intensive productions . 'Reuse' ensures items like computers are used again rather than disposed of, which reduces waste . 'Recycle' focuses on repurposing components or donating to organizations to refurbish, which decreases the need for new materials and mitigates electronic waste . These practices support sustainable consumerism and environmental protection by lowering the demand for new resources and reducing landfill burden.

Applying the 5S principles in a computer laboratory can enhance productivity by ensuring an organized and efficient environment. Seiri can be applied by removing unnecessary equipment or outdated software to minimize clutter and potential distractions . Seiton can be implemented by systematically arranging computers and peripherals for easy reach, facilitating smooth operations and minimizing time wastage . Seiso can ensure regular cleaning of the lab environment and equipment to maintain a neat and functional space . Seiketsu involves establishing and following standard procedures for maintenance and organization to keep consistency . Shitsuke reinforces these practices, embedding them into daily habits and ensuring long-term adherence . This holistic application ensures the lab is conducive to learning and operations.

Implementing the 5S and 3R principles in a large organization can face challenges such as resistance to change, coordination among departments, and ensuring consistent practice. Resistance often arises from employees' attachment to old habits or reluctance to adopt new systems . To overcome these challenges, organizations can conduct comprehensive training sessions highlighting the benefits and practical applications of 5S and 3R . Establishing clear communication channels and involving employees in the planning and implementation stages can also foster a sense of ownership and ease the transition. Incentivizing adherence and highlighting success stories can reinforce commitment and demonstrate tangible benefits.

Integrating 5S practices into computer system installation and maintenance can notably enhance efficiency by reducing setup and downtime. Seiri helps clear unnecessary tools and programs that may obstruct smooth installation, while Seiton ensures that essential tools are easily accessible, reducing search time . Seiso promotes a clean working environment, which can prevent hardware issues caused by dust and debris . Seiketsu establishes standardized procedures for installation and maintenance, ensuring uniform processes and minimizing errors . Shitsuke encourages routine checkups and system updates, maintaining optimal system performance. This integration ultimately leads to more reliable and efficient computer servicing operations.

The 5S methodology consists of Seiri (Sort), Seiton (Set in Order), Seiso (Shine), Seiketsu (Standardize), and Shitsuke (Sustain). Seiri involves removing unnecessary items to reduce hazards and clutter . Seiton ensures that every item has a designated place for easy access . Seiso emphasizes keeping the workspace clean and polished . Seiketsu involves maintaining consistent cleaning and following standards . Shitsuke is about maintaining discipline and sustaining these practices over time . Together, these principles contribute to efficiency by reducing waste, improving organization, and promoting a safer work environment.

The additional Rs, "Rethink" and "Recover", expand the traditional 3R strategy by encouraging proactive environmental responsibility and resource recovery. "Rethink" prompts individuals and organizations to consider the environmental impact of their actions and explore alternative, more sustainable choices . It fosters innovation and awareness in consumer behavior. "Recover" involves using waste products as new resources, thereby converting what would be waste into valuable materials . This prevents materials from ending up in landfills and closes the loop within the recycling process.

The 5S and 3R principles intersect by fostering efficiency and sustainability in workplace settings. Both aim to minimize waste and promote systematic organization. For example, Seiri (Sort) aligns with Reduce by discarding unnecessary items, which reduces physical clutter and associated environmental impact . Seiton and Seiso (Set in Order and Shine) complement Reuse and Recycle by organizing items in ways that encourage re-utilization and maintain cleanliness, thus enhancing longevity and recyclability . By understanding these intersections, organizations can craft comprehensive environmental policies that promote resource conservation and efficient operations, leading to a more sustainable workplace culture.

Consistent implementation of 5S and 3R methodologies can lead to significant long-term benefits for an organization, such as enhanced operational efficiency, cost savings, and environmental sustainability. The 5S methodology streamlines workflows by creating organized, clutter-free environments, which improves productivity and reduces errors . The 3R principles encourage resource conservation, reducing procurement costs and minimizing waste disposal expenses. Moreover, these practices foster a culture of continuous improvement and environmental responsibility, enhancing the organization's reputation and compliance with environmental regulations. Overall, these methodologies support the organization's ability to adapt to challenges and maintain competitiveness.

The 5S method contributes to a strong organizational culture by instilling discipline, promoting efficient practices, and fostering a sense of collective responsibility. Seiri and Seiton encourage employees to be organized and take ownership of their workspace . Seiso, Seiketsu, and Shitsuke develop a culture of ongoing cleanliness, standardization, and commitment, ensuring that high standards of practice are maintained . These principles promote a culture of continuous improvement and teamwork, enhancing productivity and morale. This alignment of individual behavior with organizational goals creates a cohesive and resilient organizational culture.

The 5S principles align closely with occupational health and safety standards by creating a structured, safe, and tidy workplace. Seiri (Sort) reduces hazards by eliminating unnecessary items that could cause accidents . Seiton (Set in Order) ensures that tools and equipment are stored securely to prevent injuries . Seiso (Shine) maintains a clean environment to mitigate risks associated with slips or falls . Seiketsu (Standardize) formalizes these practices, ensuring they are regularly followed . Lastly, Shitsuke (Sustain) reinforces commitment to these standards, fostering a culture of safety and ongoing compliance with health regulations.
