How to Fill Online Application

Following sections describes the steps to fill each column in the application for UG, Integrated, PG, Ph.D
and Diploma programmes.

Home Page
Home page of the online application website will be display as given below when a user visit by clicking
the URL or entering the URL in the address bar of the browser.

Steps for applying online and taking print out of the application

a. Candidate Registration
Create new registration by clicking Candidate Registration in the home page. Following screen
will be displayed and candidates have to provide Name (as in SSLC/10th Certificate, if there is no change
in name), Date of Birth, Email Address, Mobile Number, Aadhaar Number (Optional), Photo, Password,
Security Question and Answer for resetting password (if required). Candidate name should not contain
any special characters other than dot and space. For uploading photo, it should satisfy following
requirements.
a) It must be a recent photo in JPG/JPEG format
b) Dimension should be 150 pixels (width) X 200 pixels (height)
c) Face of the candidate must be clearly visible, straight (front facing) and at the centre.
Click the Register button if all the above details are properly provided without any errors.

A confirmation page (as given below) with Name, Date of Birth, Email, Mobile Number and Photo will
appear. Click the Confirm button if no errors found in any of these fields otherwise click Edit button to
correct the mistakes in any of the fields. At most care should be taken while entering Name, Date of
Birth, Mobile Number and Email Address as any mistake committed can’t be corrected at any stage of
the application. Also messages and mails sent to candidates will miss the right candidate.

You will get the following page with Register Number after successful registration. And an SMS
mentioning Register Number allotted is sent to Mobile number provided by the candidate. Also an email
is sent along with login details to the email address provided after successful registration. Register
number allotted is used for candidate login and application submission.

b. Candidate Login
Candidates registered and allotted Register number can login and apply for the courses for which
notification is issued. Candidates are required to provide Register number, password, course to
which candidate wants to apply and captcha code for login and applying online (see picture given
below). Candidates can select a single course from the list at a time and apply for it. And the
candidate can apply for a number of courses, with same Register number without registering again,
for which same educational qualification is required.

After submitting proper login details, site will be directed to candidate home page and will be similar to
the picture given below. Click the Fill Up Application button if the candidate want to proceed with
entering details in the application for applying to the desired course for the first time. If the candidate
wants to correct/change any of the details entered, he/she can click Fill Up Application and proceed
with editing the details. This button will be disabled / deactivated after final submission of the
application is made by candidate. And no further changes are possible on the application submitted.
Following sections deals with filling of common fields for Diploma, B.Sc.(Hons.) C& B and Integrated,
MBA, PG and Ph.D programmes for which admission is conducted by KAU though online application.
Filling fields specific to different programmes are given at the end.

c. Filling-up Application

The above page/screen with a number of fields required for completing the requirements for
application form will be displayed after the candidate clicks Fill Up Application. Top section in this
page will display the Programme/Course to which the application is made, Admission Year and
Photo of the candidate. And these details can’t be changed by candidate further. Following
sections will describe how to fill rest of the details.

a. Name of Candidate – Value provided at the time of registration will be displayed and can’t
be changed by candidate. So at most care should be taken while providing name at the time
of registration.
b. Gender - Male and Female are options in the list. Candidate must choose appropriate
option. This is a mandatory field.
c. Date of Birth - Value provided at the time of registration will be displayed and can’t be
changed by candidate. So at most care should be taken while providing date of birth at the
time of registration.
d. Place of Birth/Domicile - Write place of birth of the candidate, no need to enter name of
Village, Taluk, Tehsil, District, State etc. in addition to name of place separated by comma.
No special characters are allowed in between words other than space. This is a mandatory
field.
e. Citizenship - Select Indian from the list. This is also a mandatory field similar to other above
fields.
f. Nativity - Choose either Keralite or Non-Keralite. This is also a mandatory field.
g. State of Permanent Residence - All the states in India are listed here and candidates can
select the appropriate one. This is also a mandatory field similar to other above fields.

Next section deals with parents and guardian of the candidate and is given in the picture below.

h. Name of Father - Provide name of father with words and initials separated by space. No
other special characters are allowed. This field is also mandatory.
i. Name of Mother - Provide name of mother with words and initials separated by space. No
other special characters are allowed. This field is also mandatory.
j. Name of Guardian - Provide name of guardian with words and initials separated by space.
Enter name of father/mother if there is no guardian other than parents. No other special
characters are allowed. This field is also mandatory.
k. Relationship with Guardian - Enter the relationship with guardian like Father, Mother etc.
l. Religion - Select any of the option from the list provided. Christian, Hindu, Muslim, Sikh and
Others are the options provided in the list. Candidate must select an option as this is a
mandatory field.
m. Caste - Provide the name of the caste under the religion to which the candidate belongs.
This is also a mandatory field.

Following section deals with permanent address of the candidate.

n. Provide address in the respective boxes as the sample given above. No special characters
are allowed with in words and between words. Only spaces are allowed. First three fields
and Pincode are mandatory and candidates are requested provide a valid address.

Following section deals with details of reservation candidate wants to claim. Candidates must
note that communal reservation is for Kerala candidates only.

o. Physically Challenged - Select either “Yes” or “No” from the options provided. This is a
mandatory field and the candidate must select an appropriate option. Choose “Yes” if the
candidate has any disability or physically challenged. Otherwise select “No”.
p. Select Category - This is a mandatory field and candidate must choose an appropriate option
from the list provided. The options are “General”, “Socially and Educationally Backward
Classes”, “Other Eligible Community”, “Scheduled Caste” and “Scheduled Tribe”. OBC
candidates claiming reservation should select “Socially and Educationally Backward Classes”
and produce recently obtained Non-Creamy Layer certificate in proof of their claim. OEC
candidates claiming reservation should select “Other Eligible Community” and produce
recently obtained Non-Creamy Layer certificate in proof of their claim. SC and ST candidates
should select “Scheduled Caste” and “Scheduled Tribe” from the options respectively.
Candidates belong to OBC, OEC, SC and ST categories should obtain a recent Community
certificate and produce the same in proof of their claim. All other candidates (candidates
does not belong to OBC, OEC, SC and ST categories, candidates do not want to claim
communal reservation, all outside state/non-keralite candidates) should select “General”
from the options provided. Also candidates who do not produce relevant certificates for
communal reservation should be treated as “General”.
q. Select Community - This is a mandatory field and candidate must choose an appropriate
option from the list provided. The options listed will be based on the Category value
selected. “General” candidates must select “Not Applicable” in the list and all others must
select an appropriate option from the list.
r. Select Sub community - This is a mandatory field and the candidate must select an
appropriate option from the list provided. This option is listed for OBC candidate only. The
list shown is based on the value of Community selected. Select “Not Applicable” if there is
no sub-community under the community selected.

s. Non Creamy Layer Certificate No - Mandatory field for OBC and OEC candidates. Candidate
must provide number of the recently obtained Non-Creamy Layer certificate in the box
shown.
t. Non Creamy Layer Certificate Date- Mandatory field for OBC and OEC candidates. Candidate
must provide issue date of the recently obtained Non-Creamy Layer certificate in the box
shown.
u. Community Certificate Number - All candidates claiming communal reservation (OBC, OEC,
SC and ST) should provide the number of the recently obtained Community certificate in the
box shown.
v. Community Certificate Date- All candidates claiming communal reservation (OBC, OEC, SC
and ST) should provide the issue date of the recently obtained Community certificate in the
box shown.
w. Any special Reservation other than communal Reservation? - Candidate must select an
appropriate option from the list. For Diploma programmes the list will show options “No”,
“Lakshadweep” and “VHSE AGRICULTURE”. Candidates who have passed Vocational Higher
Secondary Examination in Agriculture and wants to claim reservation in that category should
select this option. And all other candidates should select “No” for special reservation. For
B.Sc.(Hons.) C& B and Integrated Programmes application the options are different and are
shown as check boxes. The options are “Sports” and “Children of Permanent Labourers of
KAU”. Candidates claiming reservation in any or either of the options can select one or both
options shown. Candidate need not select any of the options “Sports” and “Children of
Permanent Labourers of KAU”, if not claiming special reservation. For all other programmes
candidate should select “No” for special reservation. For MBA this field will not be shown.

Following section deals with contact details of the candidate.

x. Address for Communication - Tick same as above if communication address is same as that
of permanent address. Otherwise provide communication address in the same format as
that of permanent address.
y. Contact Telephone Number - Provide contact telephone number with STD code.
z. Mobile Number – This is a mandatory field and the value shown will be same as that of the
mobile number provided at the time of registration. Candidate cannot change the number
at any stage of the application.
aa. Telephone Number in India (if applicable) – Contact telephone number used in India for
candidates outside India.
bb. Email Address - It is same as the one used at the time of registration and can’t be changed
by candidate. It is a mandatory field.

Following section deals with educational qualification and marks/grades secured by the candidate. This
section is different for different programmes.

Diploma and Integrated Programmes

i. Qualifying Exam - This is a mandatory field and the candidate must choose an appropriate
value from the list. “CBSE”, “HSE”, “ISC”, “NIOS”, “OTHER” and “VHSE” are the options
shown. Candidates from Central Board of Secondary Education curriculum must select
“CBSE”. Candidates belong to Higher Secondary Education Kerala curriculum must select
“HSE”. Candidates belong to Council for the Indian School Certificate Examinations
curriculum must select “ISC”. Candidates belong to National Institute of Open Schooling
curriculum must select “NIOS”. Candidates belong to Vocational Higher Secondary
Education, Kerala must select “VHSE”. And candidates belong to other curriculums must
select “OTHER” and they must provide name of curriculum in the box shown when this
option is selected.
ii. Board/University - Name of education board from which the candidate passed out. This is a
mandatory field and the candidate must provide appropriate value in the box shown.
iii. Register No & Year - These are mandatory fields and candidate must provide an appropriate
value in the boxes shown. Here candidate must provide registration number and year on
which candidate appeared for qualifying examination.
iv. Name of Institution - Provide the name of institution on which student had studied for
qualifying examination. This is also a mandatory field.

Here candidate is required to provide subjects studied, total of maximum marks and total of marks
secured for each subject in the qualifying examination for both first year and second year of the study as
in mark list.
i. Part I - English :
• Maximum Marks: Select total of first year and second year maximum marks from
the list. This is a mandatory field.
• Marks Secured: Enter the total of secured marks in the first and second year of the
study. This is a mandatory field.
• Grade Secured: Candidate can enter grade obtained for English in the qualifying
examination as in mark list. This is an optional field.
ii. Part II
Diploma
• Subject: VHSE candidates must select “Vocational Subject” from the list. All other
candidates must select “N/A”. This is a mandatory field.
• Maximum Marks: Maximum marks for “Vocational Subject”. This includes
maximum marks for theory and practical of the vocational subject /theory and Skill
Evaluation Module. Currently the value is 600. Ensure marks are empty or zero
when “N/A” is selected in subject field. This is a mandatory field.
• Marks Secured: Specify the marks secured for “Vocational Subject”. That is total of
marks secured in vocational subject /theory and Skill Evaluation Module. Ensure

marks are empty or zero when “N/A” is selected in subject field. This is a mandatory
field.
• Grade Secured: Specify secured grade as in mark list. This is optional field.

Integrated and C & B Programmes


• VHSE candidates can fill the Subject, Maximum Marks, Marks Secured and Grade
Secured as mentioned above.
• State Higher Secondary Education candidates can select the second language like
“Hindi”, “Malayalam” etc.. and provide maximum marks, secured marks and grade
in these fields.
• Candidates belong to other curriculums (CBSE, ISC, NIOS and OTHER) must select
“N/A” in the subject and make zero/blank in maximum marks and marks secured
fields.
iii. Part III Optional Subjects
There are four rows of subject and marks fields. Candidate must select at least three
subjects and provide corresponding marks. Candidate can leave last subject by selecting
“N/A” and providing zero in the secured marks if the candidate has studied only three
subjects in the qualifying examination.

Diploma
• Candidate must select Physics, Chemistry and Biology as their optional subjects (as
given in the picture above). This field is mandatory.
• Candidate must select “N/A” as the fourth optional subject even though they may
have studied Mathematics or other subject in the qualifying examination.
• Maximum Marks: Select total of maximum marks for each optional subject in the 1st
and 2nd year of the study. This field is mandatory.
• Marks Secured: Provide total of the secured marks for each optional subject in the
1st and 2nd year of study. This should be zero if they have selected “N/A” in the
subject list. This field is mandatory.
• Grade Secured: Provide the grade secured for each optional subject. This field is
optional.

Integrated and C & B Programmes

• Candidate must select first 3 optional subjects corresponding to the subjects in the
mark list.
• Candidates can select 4th optional subject if they have studied 4 science subjects in
addition to First Language (English) and Part II Subject (Second Language). If the
candidate have not studied 4 subjects(mainly CBSE, ISC, NIOS and VHSE) they can
select “N/A” in the 4th optional subject.
• Maximum Marks: Select total of maximum marks for each optional subject in the 1st
and 2nd year of the study. This field is mandatory.
• Marks Secured: Provide total of the secured marks for each optional subject in the
1st and 2nd year of study. This should be zero if they have selected “N/A” in the
subject list. This field is mandatory.
• Grade Secured: Provide the grade secured for each optional subject. This field is
optional.

iv. Total for Part III Optionals : No entry required. It is automatically computed based on the
marks provided by the candidate for the optional subjects.
v. Grand Total : No entry is required here also. It is automatically computed based on the
marks provided by the candidate for all the subjects in Part I, Part II and Part III.

Following section deals with payment made by candidate.

Candidate can make payment of application fee by DD or Online Payment.


cc. Mode of Payment : Candidate can select any of the options “Demand Draft” and “Online
Payment”
dd. If the candidate selects “Demand Draft” he/she has to provide DD details such as DD No,
Amount, Payment Date, Bank Name and Branch Name as given in the above picture. All
these fields are mandatory and will not accept any special characters other than space.
ee. If the candidate selects “Online Payment” following message will be displayed.
Click the Online Payment button on home page after final submission.
Here candidate has to wait till final submission to return back to Home Page after login for
online payment. Once Final Submission is made, candidate’s Home Page will display button to
make online payment (see picture below).

Following section deals with Final Submission

ff. Candidate is requested to read the statements below the box “I Agree”. Tick the box near “I
Agree” if the candidate agrees with the statements given.
gg. Click on Final Submission button for submission of the application after putting tick on “I
Agree”. A final confirmation page will be displayed as given below. Candidate can click
“Confirm” if there is no changes required in the application and can proceed with making
online payment and taking printout. Candidate can make changes in the application if
desired by clicking “Edit” button. No changes are possible after confirming Final Submission.

Candidate will return to the home page after clicking “Confirm” button as given in the above picture.
And the button for filling application is disabled and buttons for printing application and making online
payment (if online payment selected) will be enabled (See picture below).

Candidates are requested to take printout of the application and send the printout along with receipt of
payment and other documents to University (see notification and prospectus), if requested.

B.Sc.(Hons.) Co-operation and Banking / B.Sc. – M.Sc. (Integrated) Biotechnology/Climate Change


Adaptation

Following section deals with fields specific to Integrated programmes application.

Here candidates are required to provide first three choice for the programmes to which admission is
sought. Also their preference for entrance examination subject for Paper II
a. Give the order of preference of courses: Candidate has to specify their choice among
B.Sc.(Hons.) Co-operation and Banking, B.Sc. – M.Sc. (Integrated) Biotechnology and B.Sc. –
M.Sc. (Integrated) Climate Change Adaptation programmes for admission. It is a mandatory
field and candidate has to fill all three choices.
b. Subject preferred for paper II of the Entrance Examination : “Biology” and “Mathematics”
are the options and candidate has to select appropriate one among this for Part II of the
Entrance Examination conducted for admission.

The above picture shows the special reservation for B.Sc.(Hons.) Co-operation and Banking. “Sports” and
Children of Permanent Labourers of KAU” are the options for special reservation. Candidate can select
any of the options or both if he/she wants to claim reservation in these categories.

MBA
Following sections describes entry of Qualification, Entrance Examination and Experience of candidates
seeking admission to MBA programme.

The above picture describes the entry of education details of candidate in S.S.L.C/ 10th Standard, Higher
Secondary, Graduation and any other higher qualification.
a. Appearing for Degree Final Examination/Result Awaiting? : It is a mandatory field. And
candidate can select either “No” or “Yes” depending on publication of their result. If the
candidate is in final year/semester of study and just appearing for final examination or
he/she is waiting for the result to be published, he/she can select “Yes” and other
candidates can select “No”.
b. In the next four rows candidate has to fill the name of course/degree studied,
board/university offering the course, year of passing, total marks/OGPA, secured
marks/OGPA and any remarks from 10th standard onward. If the candidate is appearing for
the final examination of the graduation programme or result awaiting, such candidates are
not required to fill year of passing, total marks/OGPA, secured marks/OGPA fields.

The above picture describes the entry of entrance examination qualified for MBA admission by the
candidate.
c. Exam: This is a mandatory field and candidate has to select one appropriate option from the
list. The list shows following options.
CAT
CMAT
KMAT Kerala
and Appearing (CMAT/CAT/KMAT Kerala) - If the entrance examination is conducted after
MBA admission is notified.
d. Roll Number : Roll number of the qualifying entrance examination.
e. Score : Score obtained in the qualifying entrance examination.
f. Percentage : Percentage of marks obtained in the qualifying entrance examination.
All these four fields are mandatory and candidate is required to provide appropriate values.

Following picture describes details of professional experience and candidate can enter the details if
he/she has such experience.

g. Whether employed or not? : Candidate can select “Yes” or “No” from the options if he/she
employed and has experience. If employed, following details are to be furnished by the
candidate otherwise these fields will not be shown.
h. Post Held : Enter name of post he/she has held in the current/last employment.
i. Designation : Enter designation of the candidate’s employment.
j. Institution : Enter the name of institution on which the candidate is currently/last
employed.
k. Period of service : Enter the period of service in years and months with number of years in
box for year and number of months in box for months.
All these fields are mandatory.

PG

Following section describes the educational qualification, experience, sponsorship, publication and
participation in arts and sports activities of candidates seeking admission to various PG programmes.

a. Qualification Details: Candidate is required to fill the details of their academic qualification in
the boxes provided for Name of degree, University/Board, Year of Passing, Maximum
Marks/OGPA, Secured Marks/OGPA, Remarks if any. Sample data is entered in the above
picture for reference purpose.

Picture below describes the entry of employment, sponsorship, publications and arts/games activity
details of the candidate.

b. Whether employed or not? : Candidate can select “Yes” or “No” from the options if he/she
employed and has experience. If employed, following details are to be furnished by the
candidate otherwise these fields will not be shown.
c. Post Held : Enter name of post he/she has held in the current/last employment.
d. Designation : Enter designation of the candidate’s employment.
e. Institution : Enter the name of institution on which the candidate is currently/last employed.
f. Period of service : Enter the period of service in years and months with number of years in box
for year and number of months in box for months.
g. Whether sponsored or not? : Candidate has to specify whether he/she is seeking admission
under sponsorship. Candidate can select either “Yes” or “No” from the options. Candidate has
to specify the category of sponsorship if he/she selects “Yes”.

h. Publication : Candidate is presented with four options “Popular Article / Abstract / Poster
Paper”, “Full Paper in Symposium / Seminar / Research Note”, “Research Paper in Referred
Journals / Book / Book Chapters” and “Nil”. He/She can select any or all of the three options if
he/she has successfully completed/published any work on these. Otherwise candidate can
select “Nil”. It is a mandatory field.
i. Sports/ Games/ Art : Candidate can select “Representing the University”, “Representing the
State” or “ Representing the Nation” if he/she represented University, State or Nation in any of
Sports, Games or Arts activities. Otherwise candidate can select “Nil”. It is a mandatory field.

Ph.D.

Following sections describes the entry of discipline, educational qualification, experience, sponsorship
and publications of candidate.

Candidate is requested to provide the discipline (major field of study) of the programme for which
he/she wants admission. This is a mandatory field and candidate is required to provide his/her
preference from the list shown.

a. Qualification Details : Candidate is required to fill the details of their academic qualification
in the boxes provided for Name of degree, University/Board, Year of Passing, Maximum
Marks/OGPA, Secured Marks/OGPA, Remarks if any. Sample data is entered in the above
picture for reference purpose.
