Attendance Policy

Policy No: P-4

Subject: Attendance
Effective Date: 1.02.2020

1.1 To ensure uniformity, proper and correct recording of


Policy attendance and to simplify the procedure, all supervisory personnel
Statement: are advised to strictly adhere to the procedures described below:

1.2 a. Attendance of all employees at all the locations to be recorded


Procedure: electronically through time punch/ID card/fingerprint

b. Office in time: on/before: 9.30 AM (exception: duty roaster for CX)


c. Office out time: 6.30 PM (exception: duty roaster for CX)

d. The system requires the employee to punch/swipe the card both


at the time of reporting for duty and at the time of departure after
the end of his/her duty.

e. Overtime (for TP) should also be recorded electronically through


the punch/ID card/fingerprint

f. The holders of the card should punch himself/herself. If anybody


found punching/swiping the card other than the holder, would
make him/herself as well as the holder of the card liable for
disciplinary action which could result in dismissal.

g. As a control measure for correct recording of attendance through


time punch/ID card/fingerprint electronically, regular/surprise
check at the point of recording attendance or cross check with
physical presence in the department should be carried out.

h. In locations/sites, where there is no electronic attendance control


machine yet to be set up, attendance will be recorded in the
attendance register by marking a self attendance counter signed
by the PnO department.

i. Attendance after in time margin will be counted as late


attendance. For three days late attendance 1 day basic salary will
be penalized. The same will be applicable for early out from the
office.

j. Missing in punch and out punch will be counted as late or early


out unless otherwise it is being corrected for valid reason, i.e.
some official work, personal urgency, out of work station duty etc.

Attendance Policy

l. Frequent/continued late over a long period would be considered


as habitual latecomer and will make him/her liable for disciplinary
action.

m. At the end of every month a statement of late attendance (form


attached) should be prepared through HR software and circulated
to the respective department head for information and necessary
action.
