Choose at least one system from the list below and describe its objective, advantage and list possible
functionality (give at least five) and give a detailed explanation of the listed functionality.

5. File Management System 10. E-Commerce System

System Name: Inventory System

An inventory system is a collection of procedures and methods for tracking, controlling, and
managing a company's inventory. An inventory system's goal is to ensure that the company has the
proper amount of inventory in the right place at the right time.

Objective:

 To guarantee that enough inventory is available to fulfill client demand - This includes
having enough product on hand to prevent stockouts, which can result in lost sales and
consumer dissatisfaction
 Maintaining accurate records of inventory levels and movements is critical for effective
inventory management - You can analyze inventory levels, discover trends, and make
informed decisions regarding ordering, stocking, and pricing if you keep precise records.
 Avoiding stockouts and minimizing lost sales due to insufficient inventory - This goal is
directly related to the first. Stockouts can occur for a number of reasons, including incorrect
inventory counts, unexpected demand increases, or supplier delays.
 To comply with regulations. Some industries are subject to regulations governing inventory
tracking and reporting. An inventory system can help companies to comply with these
regulations.

Advantages:

1. Improved customer satisfaction through timely availability of products.

2. Improved cash flow management.
3. Enhanced decision-making capabilities with real-time data.
4. Accurate tracking and reporting of inventory movements.
5. Reduced stockouts and lost sales.

Functionalities:

1. Increased Productivity and Efficiency: An inventory management system can automate

common processes such as inventory tracking, order processing, and report generation. This
can save time and energy for your team, allowing them to focus on other important elements of
the business.
2. Quality Control: A strong inventory management system can assist in quickly identifying and
addressing quality control issues. It can identify potential problems, such as damaged items or
late deliveries, by monitoring and analyzing data. This data can assist you in making sound
decisions to strengthen your supply chain and maintain high quality standards.
3. Balanced Supply and Demand: An advanced inventory management system can assist you
in striking the ideal supply and demand balance. You can avoid overstocking or understocking
by forecasting future demands based on previous sales data and real-time trends, saving
waste and maximizing resources.
4. Increased Profitability: By automating critical procedures, decreasing waste, and improving
pricing tactics, an effective inventory management system can help you enhance profitability.
Furthermore, by offering precise data and analysis, an inventory management system can
assist you in identifying possibilities to increase your profit margins.
5. Customized Reporting: A modern inventory management system may produce thorough
reports on low stock levels, continuous inventory validation, and inventory forecasts. These
reports can assist you in making data-driven decisions, recognizing patterns, and refining your
overall approach.
