LAB 1 OVERVIEW

This functionality detailed in this lab demonstrates the capability of the Captiva Server without the Advanced
Recognition Modules.

This lab introduces the user to the new concepts of Captiva 7. We will create a Document Type and process for a
questionnaire document as shown below.
The lab will process the following two attached images

To process this batch, please save these files to C:\IA Projects\Batches\Questionnaire Batch

The lab will show the user how to start by creating a basic document type and a capture flow to take the images
from Scan to a manual data entry screen in the new Captiva Desktop module.
CREATING A DOCUMENT TYPE

In Captiva 7, all configurations are performed in the new Captiva Designer module

To launch Captiva Designer navigate to Start > All Programs > EMC Captiva Capture > Captiva Designer

Select the System Configuration Tab and then click on the dropdown list of Capture System.

Select <New Capture System> to create new Capture System.


Enter Default as the Capture System Name and press the Save button.

Press the connect button in the top right corner.

Press the Update License button.

When it’s connected to the server the Icon will turn Green.

We will create a document type for the Financial Questionnaires.

Press the Document Types Button and a list of document types in the system will then be displayed
Press the New button

This displays the Dialogue for creating new Document Types. The Recognition project won’t be used in this lab so
leave the default value.

Type FinancialQuestionnaire and press Save.


We are now presented with the setup for the document Types.

CREATING DOCUMENT FIELDS

Change this first field to the following:

Name: DocumentDate

Data Type: Date

Input Mode: Editable / Required

Date/Time Format: Date-Long

Label: Date:

Alignment: Right
To add a new field press the + button and select the type

For the next field select Field > Text Box

Make the following Changes

Name: SortCode

Input Mode: Editable/Required

Label: Sort Code:

Label Position: Left

Alignment: Right

Now, add another Text Box field

Name: AccountNumber

Input Mode: Editable/Required

Label: Account Number:

Label Position: Left

Alignment: Right

SEGMENTS

The segment will be used to logically separate the customer information (the previous fields) from the responses
the customer gives.

Name: QuestionResponses

We can now also change the name of the first segment to:

Name: CustomerInformation

When the QuestionResponses Segment was added, it also automatically creates a new Text Box as a segment must
contain at least one field. The new checkbox will be a drop down list where the user will manually select the option
the customer gave in the check boxes. The Choice list value represents the different values. Press Enter between
each value.

Make the following changes to the new field:

Name: IssueType

Input Mode: Editable/Required

Control Type: Dropdown List Box

Choice List: Charge Query

Balance Query

Transaction Query

Other

Label: Issue Type

GROUP BOX

The next 3 fields are going to be grouped together in a Group Box. To do this Select Add > Control > Group Box

Make the following changes:

Name: SatisfactionResponses

Group Box Name: Satisfaction Responses

Next add three more Drop Down List box fields and make the following changes:

Name: TimeSatisfaction

Choice List: Very Dissatisfied


Dissatisfied
Neither
Satisfied
Very Satisfied

Label: Time Satisfaction


For the next field

Name: CourtesySatisfaction

Choice List: Very Dissatisfied


Dissatisfied
Neither
Satisfied
Very Satisfied

Label: Courtesy Satisfaction

For the final field, make the following changes

Name: ResponseSatisfaction

Choice List: Very Dissatisfied


Dissatisfied
Neither
Satisfied
Very Satisfied

Label: Response Satisfaction

SAVING THE DOCUMENT TYPE

Now, press the save button and Select Save.

FORM LAYOUT

Next we will change the layout of the validation form.

Press the preview button in the top right corner.

The form will look something like this:


Close this window and then press the Form Tab in Captiva designer.

If the Question Response Segment is displayed, as shown below, then press the Customer Information Segment.

Once the Customer information Segment is displayed as shown below


You will see that the first three fields are displayed in the top left corner. Select these fields and move them to the
top right corner so that the form resembles the layout below. You can select all three fields at once by dragging the
mouse over them.

The form should now look like this:


Now press the questionnaire response segment and lay the fields out so that they resemble the form shown
below. To put the fields inside the group box, make the group box field bigger and then drag the fields inside.

Now press the preview button again and the from should look like the following:
DEPLOYING THE DOCUMENT TYPE

Now we must deploy this document type to the server. Deploying the document type means that capture flows
have access to the new type. If the type isn’t deployed, users will not be able to use the document type.

Select System and then the Deployment Tab

The financial Questionnaire type appears in the list, select it and then press upload.

CREATING THE CAPTURE FLOW

Before we can test this new document type in a process we must first create a capture flow.

The first version of this capture flow will be very simple where we will just scan and index the data. The export
phase will be defined later.

Press the Capture Flow Tab.


Press the New button

Call the Capture Flow FinancialQuestionnaires and press Save.


The default Capture Flow is then displayed.

To create the simple process, select Captiva Desktop from the palette in the left hand side and drag it between the
Green and Red Circles as shown below.
Now click on the 0 Values between the Green Circle and the Captiva Desktop and type the following:

Desktop:[Link] the value ScanPlus:[Link]

Press [Tab] after typing Desktop:[Link] to assign the other value

Then close this value assignment window

Press Save > Save or <CTRL-S>

INSTALLING THE PROCESS

Now, install the process to compile the process into and IAP and IPP.

From the Drop down List box in the top which states Choose Installed Process, Select (Install New Process)

The following is displayed

Press Save
The process is then compiled

DEPLOYING THE CAPTURE FLOW

To upload the new Capture Flow to the server it must be deployed

Select System and the Deployment Tab

The new Process is displayed

Select the Checkbox and then press upload


The process is then uploaded to the server.

SETTING UP THE MODULE STEPS

Now the process has been installed we must configure the module step. In previous versions this had to be done
from the Administration console, now however, this can be performed in the Capture Flow Designer.

Return to the Capture Flow tab.

The dropdown list will now include the new process that has been installed. Select the FinancialQuestionnaires
Process.

Once selected you are now able to configure the modules in the process. Start with ScanPlus.

Select the ScanPlus step, right-click and select Module Settings:

The ScanPlus module will then load.


We will first configure the module to import the Questionnaire images from a directory.

Select the Scanner Tab


Press the select Select Scanner link.

Select the Import Driver and press the Select button.

Now the create link is enabled, press it.


This loads a dialogue where you can save the configuration name. Type Questionnaires and press OK

Now select the check box and click on the Modify Scanner Settings link.
This displays the standard Scanner Configuration dialogue. There is nothing to configure on this first screen
Press the Advanced Settings link.

This brings up the following screen:

Press the Browse button and select the folder: C:\IA Projects\Batches\Questionnaire Batch

Create the folders if they do not exist.

Press OK and then OK on the Scanner Settings screen so you are back at the screen below:
Now select the Auto Batch Creation Tab
In the Batch Name Schema Text Box type the following:

Questionnaires_@(Index)_@(Now)
Press OK.

CONFIGURING CAPTIVA DESKTOP

At the moment, Captiva Desktop is set to work at document level. Because we need to manually separate the
documents, change this to folder level.
Now Select the Module Settings

Select the Manage Document Structure Check Box


Press OK

Upload the changes by selecting pressing the Edit Installed Process button

And press Save


We have now finished the setup for the first lab, we will configure the export and some Image processing rules in
the next lab.

RUNNING THE BATCH

SCANPLUS

Load the ScanPlus module. This can be found under Start>All Programs>EMC Captiva Capture>Operator (Others)
> ScanPlus

The following will be displayed:

Press Logon

The ScanPlus module then loads


Select Create new Batch

The list of installed processes is then displayed.


Make sure you select FinancialQuestionnaires and press Create.
We have configured the module to automatically import the batches of documents. Press Scan Pages

When the two pages have been imported the following will be shown:

Press Finish Scanning


Take a look at the documents and then press Finish Batch to send the batch to the server.

CAPTIVA DESKTOP

Now load Captiva Desktop to manually index the documents. This can be launched from Start>All Programs>EMC
Captiva Capture>Captiva Desktop
Press Login
The list of batches is then displayed, select the batch that was just scanned and press the Get Work button.

The folder with the two pages is then loaded:

At first, the two pages are in the same document as we didn't add any separation. To split them into two different
documents, select the second page, go to the Document menu item and select New Document [Ctrl]+[N].
The following will then be displayed

Select the first option, Create new document of the same type which will split the document in two before the
second node which has just been selected

The Folder has now been split into two different documents:
Select the first document again and now change the document type so that Index fields appear. This can be done
automatically but we have not configured this yet.

To change the document type, press the Choose Type link at the bottom of the screen.

A list of document types availible will then appear

Select the Financial Questionnaire type. It may appear twice, once under recently used and again under all types.

Once it is selected the indexing fields for that type will appear to the user.

Here we will use a mixture of manual keying and rubber band OCR to fill the fields. The Left Mouse Button move
the page around, the Right Mouse Button performs the OCR.
Start by positioning the cursor in the Date Field.

Type in the value 10 February 2010, note at the moment performing Rubber band OCR on this field will result in a
date validation error as 10th is not currently recognised as a date.

Press [Tab] to move to the Sort Code field. Now try Rubber band OCR using the Right Mouse Button.
Once you release the button, the value is displayed along with a snippet of the image

Repeat for the Account Number


Next scroll the image down and select the appropriate values for the Drop down list boxes

Once all of the fields for that document have been indexed, select the second document from the tree, select the
document type and repeat for all fields

Once all the fields have been indexed, press the tick button in the top right:

LAB CONCLUSION
