Import Catalog Items

In this video, we’ll learn how to import catalog items. There are several different ways
that we can import items, such as directly from Procore or from a Microsoft® Excel file.
Importing allows us to add items in bulk as well as adding items individually. Note, it’s
best practice to import similar items with each upload that way we can easily group or
reassign the items. Also, if regions have different pricing, we can repeat the import
process for each region to adjust its unit pricing.

Alright, let’s get started. First, we’ll navigate to the Cost Catalog tool which is at the
Company level. Then we’ll click the vertical ellipsis. For this example we are going to
import using an Excel file so let’s first download the template. A CSV file will download
to our computer. As we can see, the template contains different tabs for each catalog
item type, and each page has an example of how to list the items in each column. We’ll
want to make sure not to edit, delete, or add any headers on the spreadsheet as this will
cause the import to fail. Then we’ll add or copy items to the spreadsheet. Note, there is
no limit to the number of items that we can add. Then save the file.

Now let’s import the file. In the Cost Catalog tool, click the vertical ellipsis, hover over
Import Catalog Items, and click Import from Excel File. Then we’ll select our saved file
and click Upload.

After our items have successfully imported, they’ll appear under Imported Parts. The
items are named based on the date and time of the import. We can rename the
imported folders and also move the items by bulk selecting the items and moving them
to the desired location.

Now let’s say that we need to update our catalog items. We can do this by exporting our
catalog items, updating the necessary information, and then re-importing the file again.

We’ll then want to update our estimate template with this new information. Let’s
navigate to the Bid Board, locate our template, click Estimating, the vertical ellipsis, and
refresh to update the quantities column in our estimate template.
