1.1 INTRODUCTION
Letter of Enquiry is a Business Letter in the category of Formal Letters
Letter of Enquiry is written to make preliminary enquiries about some product/products.
It is the first letter in a line of communication and may lead to placing of order for that product.
1.2 POINTS TO REMEMBER
1. Letter of Enquiry is a formal Business Letter. The format for it has to be followed to
perfection.
2. The Reference Number is NOT to be written in the letter to Enquiry.
3. Finer details like the Sender’s Address, Sender’s Name, Receiver’s Address etc. have
to be taken from the given question.
4. The letter should be within the word limit of 150 words with all the relevant points duly
stated. There is no scope for unnecessary or superfluous details.
5. It carries 8 marks, divided as follows -

6. The letter will consist of 3 paragraphs, the value points of which will be as follows -
Paragraph 1 – Stating the purpose of writing the letter.
Paragraph 2 – Detailing the requirements – why it is required/ what are the specifications that
you are looking for etc.., asking for the latest catalogue, requesting for a reasonable discount
etc.
Paragraph 3 – Hoping for a quick and favourable response
7. The order of Salutation and Subject is interchangeable and permitted either way.
8. Revise the letter thoroughly after writing it so as to avoid making any errors of grammar
or spellings. Ensure that the format is perfect and that no value point has been missed out.
9. Make sure to leave a line after each of the following - Sender’s Address, Date,
Receivers’ Address, Salutation, Subject, each paragraph, Complimentary Close
10. NOTE that the word‘ Date’ is not written - the actual date is written as given in the
Sample Letter.
11. ‘Yours sincerely’ in the Complimentary Close has capital Y, small s and NO apostrophe
between r and s. Your’s - would be wrong. ‘Yours truly’ can also be written.
12. Neatness of work has to be maintained. Think before writing to avoid scratching out and
overwriting.
13 M/s is short form for Messrs which is the plural for Mr. This term is generally placed
before the names of partnership firms.
