Hello, learner! This module was designed and written to help you

data using a computer system. The scope of this module permits it to be used
in many different learning situations. The language used recognizes the

Let Us Study

Let’s now proceed with the lesson! The following section will provide you
with a brief discussion of the lesson. Planning and preparing are the most
important steps to be done before doing a task. This will help you accomplish
the task faster. The computer is an electronic device that accepts input,
processes that input, and produces output. To be able to work well with a
computer, you must be able to input data into the computer. In this lesson,
you will learn about preparing and planning for a task in Computer Systems
Servicing. As you go along with this module, you will learn how to input data,
access information, and produce output using the computer. Let’s do this!

TASK IDENTIFICATION

Task identification is being able to know what is needed for a task to be


accomplished. This includes tools, materials, equipment, and the specific
steps intended for the task. It helps in accomplishing the task faster and more
efficiently. Task identification includes planning and preparing for the task.
• Planning is defined as determining the task to be done, the time and
date, the procedures, and the persons involved. It is imperative in every
task to do the planning.
• Preparing is defined as making the materials, equipment, and people
involved in a task arranged and equipped for the task to be undertaken.
Preparing for a task goes hand in hand with planning.

OPERATIONAL HEALTH AND SAFETY (OHS) GUIDELINES AND
PROCEDURES

Operational Health and Safety (OHS) Guidelines and Procedures is a system


that is used to provide a safe workplace for workers and clients. Occupational
Health and Safety (OHS) Guidelines and Procedures must be followed by
employers, employees, and visitors at all times. OHS Guidelines and
Procedures may vary from one workplace to another depending on the
materials and equipment involved in the work area. In Computer Systems
Servicing, the following are some of the precautions which should be kept in
mind all the time:
1. Always work with a companion. This ensures that someone can look
after you and someone can help you in case of emergencies.
2. Check computer power connections. Always check if the computer
has been turned off or unplugged before starting to work on it.
3. Never work with any liquid. Never work with any liquid material when
working with a computer. This can damage the computer, and may also
cause you to get electrocuted.
4. Always perform Electrostatic Discharge (ESD). Before touching any
part of the computer, always make sure to discharge yourself through
electrostatic discharge (ESD).
5. Never use excessive force. When parts of a computer, such as bolts
or screws, don’t fit never use excessive force.
6. Always clean your workplace. Before starting to work or after work,
always clean your place.
7. Always wear Personal Protective Equipment (PPE). When required in
the workplace, wear appropriate personal protective equipment (PPE).
When working with computers, never wear loose clothing or any jewelry
to ensure safety.
8. Familiarize contingency measures. Be familiar with your workplace.
Keep in mind where the fire exit, fire extinguisher, medicine cabinet,
and other materials used for emergencies are located.

COMPUTER HARDWARE
The computer is a collection of devices that function as a unit and give us the
possibility of executing various works (i.e. typing, painting/drawing,
calculations, communication, etc.) that we needed in our daily activities.
Every computer is composed of two basic components, and these are
hardware and software. Computer Hardware refers to the physical elements
of a computer. It is also known as the tangible parts of a computer system or
shall we say, parts of the computer that we can touch. Examples of hardware
in a computer are the keyboard, monitor, mouse, and central processing unit.
However, most of a computer's hardware cannot be seen; in other words, it is

not an external element of the computer, but rather an internal one,
surrounded by the computer's casing (tower). A computer's hardware is
comprised of many different parts.

Keyboard
It is considered one of the primary input
devices used with a computer. A keyboard is
similar to an electric typewriter and
composed of buttons that create letters,
numbers, and symbols, and other functions

Mouse
It is a hand-operated input device used to manipulate
objects on a computer screen and is sometimes called a
pointer.
The primary function of the mouse is to move the mouse
pointer on the screen.

Hard drives
It is the primary device that a computer uses to store
information. The hard drive stores programs, data files, save
and organizes files. It is located inside the computer case. The

Monitor
Is a display device like a TV screen, that interprets and
displays the graphical output signal from your computer’s
graphics card and displays it on the screen. Computer
monitors used CRT (Cathode Ray Tube) and LCD (Liquid
Crystal Display) technology. It is used to display images,

text, video, and graphics information generated by a connected
computer via a computer's video card.

System Unit

It is also known as a computer case, "tower" or "chassis". It


includes the motherboard, CPU, RAM, and other components.
The system unit also includes the case that houses the internal
components of the computer.

COMPUTER APPLICATION SOFTWARE


Application software is software that allows the user to accomplish some goal
or purpose. It is a program or group of programs designed for end-users. For
example, if you have to write a paper, you might use the application software
program Microsoft Word. If you want to listen to music, you might use iTunes.
To surf the web, you might use Internet Explorer or Firefox. Even a computer
game could be considered application software.

Examples:
Ø Word Processor - a software program capable of creating, storing, and
printing documents.
Ø Spreadsheet - a data file made up of rows and columns that are used
to sort data and allow a user to manipulate and arrange data easily,
commonly numerical data.
Ø Presentation Software - a software program that helps create a
slideshow that addresses a topic.
Ø Database Management System – a program that controls the
organization, storage, management, and retrieval of data in a database.
Ø Desktop Publisher - used to produce high-quality printed documents
such as magazines, greeting cards, posters, etc.
Ø Web browser - a software application used to locate and display Web
pages (e.g. Opera, Mozilla, chrome, etc.)

APPLICATION SOFTWARE
In the previous module, you have learned about hardware and software. The
software can be classified into two: System Software and Application Software.
System Software refers to software that is used to run a computer. On the
other hand, application software refers to a program that is used to perform
a specific task. Example: typing a document, creating a presentation, etc.
There are many types of application software, they vary based on the task the
end-user has to accomplish. In data processing, a web browser and word
processing application are commonly used.
• Word Processing allows users to create letters, reports, tables, forms,
and many others. The file created in word processing is commonly
referred to as a document. This also involves checking of spelling and
grammar of the document. There are many software applications
available for use in word processing. The most common word processing

software is Microsoft Word. OpenOffice Writer, LibreOffice Writer, and
WPS Office.
• Web Browsers allow users to view web pages. This helps you access the
internet and its contents. A web
browser can show text and
images, play videos and music,
etc. You can view any web page
by entering the Uniform
Resource Locator (URL) into the
address bar. The address bar
can be found on the top portion
of the browser. The image below

DATA PROCESSING- is defined as transforming raw data into information.


Data refers to raw facts. Examples of data are numbers, letters, and pictures.
These may have little to no meaning to the user unless it is processed into
information. Information refers to data that has been processed and has been
structured into something useful. Information is used to solve problems.

Checking and Saving Information- Accuracy is crucial in data processing.


Input data is used to solve problems. This may involve calculations and
decision-making. Having errors in the data may result in wrong calculations
and bad decision-making. Data Integrity means error-free and complete input
data. To preserve data integrity, error-checking and validation methods may
be applied. After data has been processed and validated, it may be saved
through a file. A file is defined as a collection of records that are related. The
following are the most common types of files: master file, transaction,
reference, and back-up. Transaction file – this holds data during the
transaction process. An example of a transaction file is in a pharmacy, the
sales which have been incurred during the day are recording in the
transaction file and later use to update the master file or the file which holds
the number of stocks or other related information.

• Master file – contains all the related information regarding a particular


item. For example, a student file contains all the information regarding
a specific student. This may include name, address, contact number,
and grades.
• Reference file – this is a file that is used for lookup or reference. For
example, a Quick Response (QR) Code attendance system. In a
classroom, a QR Code can be scanned using a smartphone, after
scanning, the code will be looked up into the reference file to check the
name and information of the student.

• Back-up file – this is a copy of the original file. A backup must always
be available in case the original file has been lost, damaged, or changed
accidentally.

STORAGE DEVICES
A storage device is computer hardware that is used to store data. These can
store information permanently or temporarily. Storage devices are classified
into two: Primary and Secondary.

A. Primary Storage – these storage devices are used to store data


temporarily. These hold data, programs, and instructions that are
currently being used by the computer. These can be found inside the
computer system. These devices have the fastest data access. The
following are primary storage devices:
Read-only Memory (ROM) – this is a chip that contains
instructions to enable the computer to start.

Random Access Memory (RAM) – this is a storage device


that stores data, and programs that the computer needs
while it is running. It can store data only when the
computer is working, when the computer is turned off, all
the data will also be erased.
B. Secondary Storage – this refers to an internal or external storage
device of the computer. This can store data permanently. Files such as
photos, documents, and videos, are store here. There are various types
of secondary storage devices. The following are examples of this:
Hard disk drives (HDD) are the main hardware storage
device of a computer. This contains the operating system,
application software files, user files, and many other files of
the computer.
Solid-state drives (SSD) have the same functions as HDD
but these are faster and more expensive the HDDs. SSDs are
also smaller which allows manufacturers to have more
versatile designs in computers.

USB Flash Drives are small storage devices that are the
size of a thumb. USB stands for Universal Serial Bus. These
are plug-and-play devices which means these can be used
on any computer without installing any software.

WORK ERGONOMICS
The term ergonomics is defined as a study of the
design and arrangement of items people use and
interact with most efficiently and safely. It is also
known as human engineering. In computing, we
refer to this as computer ergonomics. Computer
ergonomics simply refers to the study of how we
interact with computers. Staying in front of a
computer for hours can cause strain, fatigue, and
injuries. To avoid problems with long term
computer use, the following must be observed:
• Allow your arms to rest at a 90° angle to the
keyboard.
• Use a chair that supports your back in an Photo by Yamavu of Wikimedia

upright position.
• Place the monitor in front of you with a minimum distance of 18 inches
at eye level and Keep your feet flat on the floor.

DESKTOP ICONS
Operating systems nowadays use a Graphical User
Interface (GUI). This means that the user can
interact with the computer, send instructions,
enter data, and many more, using graphics or
images. The computer has the main screen, which
is called the Desktop.
The desktop is the first screen you see when logging into the computer. This
contains the taskbar and icons. Icons are images, these images are used to
represent a file or a folder. The icons which can be seen on the desktop are
called desktop icons. These icons can be clicked for easier and faster access
to the files. The following are some of the icons which can be seen on the
desktop. You can double-click the icons to open the application or open the
file or folder.

Recycle bin
It is shown as a waste paper basket with the recycle symbol on it. Double-
clicking on this icon will open the Recycle Bin window, allowing you to
permanently delete or restore files. When you delete a file or folder, it is not
deleted right away. The file/folder you deleted will be stored in the Recycle
Bin. If the user wanted to restore the deleted file, the user can easily go to the

recycle bin and restore the necessary file. If you want to delete the file
permanently, you can empty the Recycle bin by deleting the files inside the
recycle bin. Doing that will permanently delete the items and reclaim any disk
space they were using.
Directories
A directory refers to a location for storing files on
your computer. Directories are found in a
hierarchical file system, such as Linux, MS-DOS,
OS/2, and Unix. Below is an example of output from
the Windows/DOS tree command. It shows all the
local and subdirectories (e.g., the "bin" directory in
the "cdn" directory). When looking at this overview,
the current directory is the root directory of the C:
drive. It's called the "root" directory because there is
nothing beneath it, and the other directories
"branch" from it. If you are using an operating
system with multiple user accounts, the directory
may also be referred to as a home directory.
File - Every document that you have saved on your hard drive. Whenever you
write a paper in a word processor and save it, you have just created a file.
Every Excel spreadsheet is also called a file.
Folder - Similar to storing files in a physical file cabinet, you store computer
files, such as documents or pictures, in a folder.

KEYBOARD TECHNIQUES- It refers to the form and keying style that a typist
uses when operating the keyboard. It is where the typist positions his/her
fingers on the keyboard.

Proper handling
Your left-hand fingers should be placed over the A, S, D, and F keys and the
right-hand fingers should be placed over the J, K, L, and; keys. These keys
are considered the home row keys. Your thumbs should either be in the air
or very lightly touching the spacebar key. When typing, keep your keyboard

Shortcut keys

These are keys or key combinations you can press on your computer's
keyboard to perform a variety of tasks. Because both of your hands can
remain on the keyboard, using a shortcut to perform a task is often faster
than using a mouse.
Keyboard shortcuts are also universal—meaning once you learn them, you
can use many of the same shortcuts in a variety of applications. For example,
you can use the shortcuts that copy and paste text in a word processor
application to perform the same tasks in email, Facebook, etc. The following
are the list of basic keyboard shortcut keys:

Alt + F--File menu options in the current Alt + F4 -- Close current open program

Alt + E--Edits options in the current Ctrl + N -- Open new/blank document
program
F1--Universal help (for any sort of program) Ctrl + O -- Open options
Ctrl + A--Selects all text Ctrl + P -- Open the print window
Ctrl + X--Cuts the selected item Ctrl + I -- Italicize highlighted selection
Ctrl + V -- Paste Ctrl + U -- Underline highlighted selection
Ctrl + C--Copy the selected item. Ctrl + Y -- Redo the last action performed
Ctrl + V--Paste the selected item Ctrl + Z -- Undo last action
Alt + Tab -- Switch between open Ctrl + J -- Justify paragraph alignment

KEYBOARD CARE AND MAINTENANCE

The keyboard must be clean regularly because


dust, food, liquid, and other particles can get stuck
underneath the keys, which can prevent the keys to
function properly. The following are the basic tips for
cleaning the keyboard:
1. Unplug the keyboard from the USB or PS/2 port. If the keyboard is
plugged into the PS/2 port, you will need to shut down the computer
before unplugging it.
2. Use a can of compressed air to clean between the keys.
3. Moisten a cotton cloth or paper towel with rubbing alcohol and use it
to clean the tops of the keys. Do not pour alcohol or any other liquid
directly onto the keys.
4. Reconnect the keyboard to the computer once it is dry. If you are
connecting it to a PS/2 port, you will need to connect it before turning
on the computer.

If you accidentally spill liquid on the keyboard, quickly shut down the
computer and disconnect the keyboard. Then turn the keyboard upside down
and allow the liquid to drain. If the liquid is sticky, you will need to hold the
keyboard on its side under running water to rinse away the sticky liquid. Then
turn the keyboard upside down to drain for two days before reconnecting it.
Please note that the keyboard may not be fixable at this point, but the method
above is probably the best option.

OUTPUT DEVICES

The previous modules have taught you how to enter and process data from a
computer. In this lesson, you will learn how to produce output using a
computer. An output device receives data from a computer and converts it to
a different form. For example, a document written using the keyboard can be
printed using a printer.
Printer – a device that transfers text and graphics from a
computer to a piece of paper, or another printed medium.

Monitor - a screen that displays data from a computer.


This shows the user what is currently happening with the
data being processed by the user. This is mainly used for
users to interact with the computer.

Speaker – a device that produces sound allowing users to


listen to music, audio, and other sounds on a computer.

Projector – a device that displays data from a computer, just


like a monitor. The projector shows a bigger display which
allows a bigger number of people to view what is on the screen.

TRANSFERRING DATA

Files can consume space in the storage device. The bigger the file size is, the
bigger space it consumes as well. Little to no available space in storage can
affect the performance of the computer. This can slow the computer down,
making it less efficient. To free up space in the storage device, you can transfer
files from one device to another. For example, you want to transfer your
photos that have been saved on your phone’s memory card and transfer them
to your desktop computer. The following steps will show you how to move or
copy files from one device to another.

Drag and Drop

1. Press E on the keyboard while holding the Windows Key, this will
launch the File Explorer Window. Navigate to the file you want to move
or copy.

Open another File Explorer Window, this time look for the location where
you want to move or copy the file. Place it beside the other File Explorer
window.

2. Click on the file you want to move or copy, hold it, and drag to where
you want to move the file. To copy the file, click and drag it while

Cut, Copy & Paste
1. Open the File Explorer Window, look for the file you want to move or
copy. Highlight the file or files.

To copy, click on the Copy or Cut button on top of the window or hold
the Ctrl key on the keyboard and press C to Copy or X to Cut.

2. Open another File Explorer Window, look for the location where you
want to move the file. Once you are in the folder where you want to
paste the file, click the Paste button on File Explorer Window. Or, hold
the Ctrl button and press V to Paste.

PRODUCING OUTPUTS THROUGH PRINTS
A printer is a hardware device that produces a hard copy of the data stored
on a computer. Printers are necessary for sending reports, letters, pictures,
stickers, etc. which need to be on a piece of paper.
Types of Printers
3D Printer Laser Printer
All-in-one Printer LED Printer
Dot-matrix Printer Plotter
Inkjet Printer Thermal Printer

The most commonly used printers are the All-in-one printer, laser printer,
and inkjet printer. The All-in-one printer refers to the type of printer which
has a scanner, photocopier, and printer. The laser printer is fast, commonly,
it can only print in black and white and is oftentimes used in photocopying
and mass reproduction of print materials. The inkjet printer can be seen in
most households and offices, it can print colored and black and white
documents and is the most affordable among the three printers. The other
types of printers are used in special-purpose printing such as printing
receipts in groceries and ATMs, printing blueprints, and many more.

Printing a Document

To be able to print a document, you need to have a computer and printer


available. The two devices need to be connected either through a cable or
through a wireless connection. Commonly, holding the Ctrl button and
pressing the letter P triggers the print command. This applies to Microsoft
Word, Excel, browsers, etc. The following steps will show you how to print a
document in Microsoft Word.

1. Open the Microsoft Word application, type your document. After you
have finished typing your document, you are now ready to print it.

2. Make sure that the printer has been connected to your computer and it
has been turned on.

3. Click on File on top of the window, look for print, and click on the
Print button. You can also press Ctrl + P to print.
