RE: KMF/13 – SENIOR RECORDS MANAGEMENT OFFICER

I write to apply for the above vacancy as advertised in Kenya Marine and Fisheries Research

Institute website.

I have pursued bachelors of Information Science in Technical University of Mombasa, and

opted for records and archive management. In the course of my studies l gained knowledge in

classification of records, indexing, information security, management of personnel records,

management of electronic records and emails, registry management, archive management,

dissemination of information, PC troubleshooting, knowledge management, information

repackaging, database systems, management of information systems, automation of records

management systems and others as stated in the academic transcripts.


I went for a three-month attachment at Kakamega Law Court where l gained practical skills

in the field of records & archive management. I was attached in the archive, registry and

library. I performed duties such as overseeing security of files, search & retrieval of requested

files, using an index to locate files, updating file movement register, opening new case files,

appraisal, reprographic services and other duties as highlighted in the logbook. I also

participated in ensuring proper records management practices from creation of new files to

disposition. This promoted flow of information and enhanced efficiency in service provision.

The practical skills l gained during attachment period and general knowledge from course

study gives me confidence and ability to carry out duties stated in the advert. I also have

computer application skills which is a requirement and able to help me carry out records

management and related tasks efficiently.

In your advert you desire a candidate with Bachelor’s degree in Information Science, KCSE

mean grade of C+, proficient in computer applications. I confirm to have attained this

personal specification. I also have soft skills which gives me advantage to be efficient at

work. They are not limited to good interpersonal skills, organization skills and good

communication skills.
