Annexure “A”

SOP for completion of profile by officer and staff


Step 1: Go to e-HRMS 2.0 portal by clicking on https://e-hrms.gov.in/.

Step 2: Go to e-Parichay icon to login.

Step 3: Login through e-Parichay email id.

Step 4 : On first time login , a checkbox will reflected . Click on


checkbox , accept the declaration and proceed for completion of
respective profile .
Step 5: Employees can update their profile related details by clicking ‘My
Profile’. Complete profile under various tabs;

a) Personal Details,
b) Family Members,
c) Service Details,
d) Address,
e) Experience,
f) Training,
g) Qualification and
h) Award/Publication etc.
Fill Personal details
Add Family Member details

Add details of those Family

members who are not in
Government services
Add details of family member
who are in Government services
DAD/Defence Accounts Department Choose your Nodal Officer from drop-down
menu
Add Current & Permanent Address
Add Experience details

Click Here

Important points
1. Choose DAD in Ministry drop down menu.
2. Choose CGDA in Department drop down menu
Add Training details
Add qualification details
Add award details
Submit details for approval
Use the button save as draft to save your progress
progress.

After completion of the profile preview the data filled to ensure the data
filled is correct in all respect

Submit the profile and family details for approval of the Nodal Officer.

User Manual for Nodal Officer
1. Accessing the Nodal e-HRMS:
To access the e-HRMS, Nodal Officer must enter this URL https://e-hrms.gov.in/login, then
use their unique login credentials provided. Kindly follow the steps below –

Step 1: Type or click on this link - https://e-hrms.gov.in/login. You will reach to the below
webpage.

Step 2: There are two options for logging to your account. You can login to you account
with “Parichay” or “Deputation Publish Officer”. Click on “Parichay” option to be directed to the
login page.

Step 3: User will be directed to the login page as below-

a. Login Credentials:
Nodal officers should enter their registered username (NIC/GOV MAIL ID) and password
to log in to the system. In case of forgotten passwords, they can use the "Forgot Password"
option to reset it.

b. Two-Factor Authentication (2FA):


To ensure an extra layer of security, the e-HRMS system may employ two-factor
authentication. Nodal officer will receive an OTP (One-Time Password) on their registered
mobile number or email, which they must enter to complete the login process.

2. Dashboard:
The Dashboard is the main interface of the e-HRMS system. It provides an overview of
important information related to the Nodal Officer.

The dashboard displays key HR metrics such as Sanctioned Strength, Working


Strength, Vacancy and Raise Concern. Users can also view Employee Details, Profiles
Completed, Profiles Pending, Publish Deputation, All Requests, Completed Requests,
Pending Requests and Rejecting Request.

(1) Employee Details:


Nodal offier can view employee name, code, designation, email ID,
Ministry/Department/Organization, Place of posting and action.
User Login > Go to “As a Nodal Officer” > Go to “Employee Details” > Go to
“Action” for preview, update, update email, add/update leaves, view calendar, update
reporting/reviewing officer and exclude an employee > Select the desired section

(2) Add Employee:
User can add the employees with details – Name, Designation, Date of Birth, Father’s
name, Mobile number and Government’s official email ID
User Login > Go to “As a Nodal” > Dashboard > Employee Details > Go to “Add
Employee” > Fill the details > Save

(3) Profile Completed:


User can view the list of completed profile of the employees – Serial number, Employee
Name, Code, Destination, Date of Birth and Email ID.
User Login > Go to “As a Nodal” > Dashboard > Profile Completed

(4) Profile Pending:
User can view the list of pending profile of the employees and can update the profile.
User Login > Go to “As a Nodal” > Dashboard > Profile Pending > Go to desired profile >
Go to “Action” > Select “Preview & Update”

(5) All Requests:


User can preview/track employee’s application – Application ID, Application Name,
Applicant, Date, Status, preview and track.
User Login > Go to “As a Nodal” > Dashboard > All Request > Go to desired application
> Go to “Action” > Select “Preview/Track”

(6) Completed Requests:
User can preview/track all the completed requests of the employees - Application ID,
Application Name, Applicant, Date, Status, preview and track.
User Login > Go to “As a Nodal” > Dashboard > Completed Request > Go to desired
application > Go to “Action” > Select “Preview/Track”

(7) Pending Requests:


User can preview/track all the pending requests of the employees - Application ID,
Application Name, Applicant, Date, Status, preview and track.
User Login > Go to “As a Nodal” > Dashboard > Pending Requests > Go to desired
application > Go to “Action” > Select “Preview/Track”

(8) Rejected Requests:
User can preview/track all the rejected requests of the employees - Application ID,
Application Name, Applicant, Date, Status, preview and track.
User Login > Go to “As a Nodal” > Dashboard > Rejected Request > Go to desired
application > Go to “Action” > Select “Preview/Track”

(9) Transfer Nodal role:


Nodal officer can view/assign employee’s request for becoming a Nodal. Nodal officer can
search request by Employee’s name, Employee code and Email ID.
User Login > Select “As a Nodal Officer” > Go to Profile Icon on top right side > Go to
“Transfer Nodal Role”

10. Leave list:
Nodal officer can view leave summary. User can view/save employee leave summary in PDF,
Excel, CSV format. User can view the employee’s leave details – Leave type, Leave application
number, Applied by, Leave duration, Leave status, Updated by. User can view details, reject
leave, sanction leave and update reporting/reviewing.
Login > Select “As a Nodal Officer” > Go to “Report” > Go to “Leave List” > To check
leave summary > Select the duration, Leave type, Employee, Designation > Search via
“Leave application number” > Go to “Action” of desired application > Select “View
details”, “Reject Leave”, “Sanction Leave” or “Update Reporting/Reviewing”

11. Update:
a. Employee List:
Nodal officer can add/update new or old employees. User can search employee details by
designation, by email, by employee’s name, by status.
Login > Select “As a Nodal Officer” > Go to “Update” > Go to “Employee List”
To Preview & Update/Check APAR/Update Status/Update Option/Delete
Employee/Exclude an Employee > Login > Select “As a Nodal” > Go to “Update” > Go
to “Employee List”> Search/Select the desired employee > Go to “Action” > Select
the desired action.

User Manual for nodal officer is also available in login under support tab. The
same can be also refer.
