Data Privacy Notice

The National Archives of the Philippines (NAP) was created by virtue of Republic Act
9470. The Act strengthened the government's recordkeeping systems as well as
administration programs for archival materials. In implementing its mandate. the
NAP interacts with government agencies, the private sector and the general public

Purpose and Use of Personal Data Collected

NAP gathers and uses data for, but not limited to, the following purposes:
To verify the family members identity when obtaining copies of Republic
documents or notarial records.
To identify the participants from various government organizations that will take
part in records and archives management training
To monitor and record feedback which would help NAP improve the services it
provides
To comply with contractual arrangements and obligations

Basis and Lawful Criteria for the Processingof Personal Data


NAP upholds the privacy and security of the personal data it collects as mandated by the
Data Privacy Act of 2012. The collection and processing of personal data shall follow the
quidelines in the NAP's Data Privacy Manual. Only NAP's authorized personnel will have
access to and be able to process personal data. Personal information that is of public
interest, however, may be made available to the public in accordance with the applicable
laws, rules, and regulations.
Storage and Retention Period for Personal Data Collected
The physical records containing personal data will be stored, either manually or
electronically, until they reach their prescribed retention period based on the approved
Records Disposition Schedule of NAP. Once they reach their retention periods, the
records containing personal data will be disposed of according to the recommended
disposal method indicated in RA 9470 and the Electronic Records Management Policy.

Access and Protection of Personal Data Collected

The collection and processing of personal data may result in accidental or unlawful
destruction, loss, alteration, unauthorized disclosure, and unauthorized access, where
the processing may give rise to discrimination, identity theft, or fraud, damage the
reputation, or cause a loss of confidentiality to personal data protected by professional
secrecy. The NAP shall implement reasonable and suitable physical, technical, and
organizationalsafeguards to secure personal information. The availability, integrity. and
confidentiality of personal data are maintained by these security measures.

Rights of Data Subject


The rights of the data subjects are protected by NAP, including their rights to receive
notification when their personal data is processed, right to access, right to object to the
processing of personal data if the data subjects' information changes, right to revoke,
suspend, or request that the data be blocked, removed, or destroyed, right to correction,
right to data portability, right to file a complaint, and right to damages.
