Job Description:
The Marketing Specialist will be responsible for leading and organizing marketing and publicity efforts for The Arc of Acadiana. The Marketing Specialist will also assist with fundraising efforts at the direction of upper management. The Marketing Specialist will report to the Director of Operations and Executive Director and will work to ensure that the marketing plan and schedule is implemented in a timely manner and that brand guidelines are adhered to for all communication and marketing initiatives. The Marketing Specialist will be responsible for liaising with any hired vendors for marketing campaigns and will produce regular communication tools such as newsletters, direct mailers, enewsletters, website updates and proposals. The Marketing Specialist will act as the facilitator of all projects produced by the Ad Agency as well as any other outside creative vendors. The Marketing Specialist will contract with outside vendors such as printers, freelance artists and writers, photographers; specialty item companies and trade show exhibitors. The Marketing Specialist will assist the administrative staff and the Director of Operations with the upkeep of the database for mailings and e-newsletter purposes. The qualified candidate must be able to work under pressure when schedules change and problems arise, but deadlines and goals must still be met.
Responsibilities Responsibilities include but may not be limited to:
Assisting with the development of the Annual Marketing Plan in conjunction with the needs of The Arc of Acadianas Managing Directors. Drafting the Annual Marketing Plan for approval of Managing Directors. Participating in the review and revision of annual plans to support changing organizational strategy and objectives. Participating in brainstorming meetings and providing creative solutions. Coordinating all marketing and publicity projects/jobs for smooth, efficient operation of new business efforts. Maintaining prospects and community partner database. Undertaking and following up regular mailings to prospects, members and community partners. Creating prospect files for new business development in relation to Employment Services and fundraising. Keeping timely contact with Managing Directors, vendors, members and board members through weekly, systematic mailings, phone calls, appointments and correspondence. Following up all prospect meetings with letters and corporate literature. Looking for new Employment Services business leads by building contacts with prospective community partners and organizations, businesses and civic groups. Keeping thorough records and documentation about all projects so others can cover marketing responsibilities during an absence. Maintaining New Business and Fundraising Database that: identifies target prospects; records product/market information about the prospect; tracks all contacts with the prospect including mailings, calls, appointments and correspondence. In preparation for future growth, creating, refining and documenting best practices for the marketing management system that easily allows for the training of additional marketing department staff about database management, software requirements, presentation processes, etc. Communicating effectively with clients, members, the general public and vendors. Representing The Arc of Acadiana at trade shows, industry functions and in the community. Maintaining a database of local, industry publications and associations. Distributing press releases on an as-needed basis throughout the year and following up to ensure change of placement. Seeking assistance from Agency PR Department on public relations initiatives when applicable. Planning and coordinating public affairs and communications efforts, including public relations and community outreach.
Designing and producing marketing materials that properly communicate the unique qualities of The Arc of Acadiana as a non-profit. Gathering input and approvals from Managing Directors to ensure that proper messages are communicated through all marketing materials. Directing the consistent use of brand elements, including logo, tagline and other brand standards. Overseeing the design and development of marketing materials according to master strategic plan provided by Managing Directors. Directing the content of marketing materials, receiving input from the Managing Directors. Overseeing all advertising and promotions activities including print, online, electronic media and direct mail. Directing and implementing social media strategy. Managing social media for company and seeking help from Ad Agency when necessary. Upkeeping corporate PowerPoint Presentation. Designing, producing and distributing E-newsletters and maintaining E-Newsletter database. Updating and maintaining corporate profile. Reviewing and updating website content to ensure effective online brand identity. Managing updates of website and SEO activities. Hiring outside vendors such as writers, photographers, freelance artists, etc. Filing and housing all corporate literature and marketing materials in an organized fashion for easy reference. Maintaining and overseeing schedules to ensure all parties complete work in a timely manner to implement marketing strategy/plan. Meeting assigned deadlines. Alerting upper management if deadlines cannot be met for any reason, or if an extension is required. Providing a status report to upper management on a regular basis as to status of projects and key marketing activities. Organizing & implementing initiatives to bring top of mind awareness to Arcs work through but not limited to bead drives, job fairs etc. Assisting in improving overall culture of resale clothing stores through marketing initiatives. Creating and writing quarterly newsletters. Writing and managing creation of annual report. Planning membership banquet annually with assistance from Managing Directors. Planning and directing committee for Annual Golf Charity Classic. Acting as facilitator between The Arc of Acadiana and Ad Agency.
Press-checking print jobs and assuming responsibility for quality of finished product. Providing all required specifications (inks, papers, sizes, etc.) to vendors for pricing. Selecting outside vendors for printing, specialty items, etc. Obtaining pricing for projects and presenting for approval. Managing relationships. Having working knowledge of computer design software and hardware and striving to stay current in level of knowledge and abilities.
