Zoom Meeting

1. Introduction

Zoom Meeting is a Cloud based video conference software that uses a tablet, laptop,
and smartphone.

The host is the moderator controlling the meeting. The host can use a meeting ID, copy
the URL invitation, e-mail, and active directory / registered domain to invite the meeting
participants (whether they are scheduled or instant).

Equipped with 49 thumbnails, screen sharing, annotation, recording, breakout rooms,


camera control, chat, polling, and live streaming, it makes meetings better, more
effective, and more efficient.

2. Download Software Zoom Meeting OS Windows


You can download it through Mozilla Firefox, Google Chrome, or Safari browsers.

2.1 Click: [Link]

2.2 Click: Download in “Zoom Client for Meetings”. After you have finished
installing it, click “Run (for Windows OS)” to activate the application on your
laptop.

3. Sign Up for a Zoom Account


3.1 Access: [Link]

3.2 Sign up using your email account: xxxxx@[Link] for lecturers/staff or
xxxxx@[Link] for students. Then click the Sign Up button.
3.3 Check for the confirmation email that should be sent to your email address
automatically to activate your Zoom account.

3.4 Complete your profile until your personal meeting is formed.

4. Sign In for ZOOM Client for a Meeting on a PC


4.1 Click on the Zoom icon on your desktop screen.

4.2 Click “Join Meeting” to join a meeting without a Zoom account.


4.3 Click “Sign In”.
4.4 Input your “email and password” and click “Sign In”.
4.5 Check “Keep me Signed In”, in order to avoid repeating step 3.4.

4.6 If you forget your password, the Zoom Admin can help you reset your password
or you can reset the password yourself with the reset link that will be sent to your
registered email address.

4.7 After you sign in, the Zoom Meeting Home Tab will consist of:
A. New Meeting: host/initiate a video conference
B. Join: join a meeting
C. Schedule: make a meeting schedule
D. Share Screen: wireless presentation during a meeting & Vicon
E. Call a Room: call / invite H.323 – SIP device

4.8 Chat: Send a message and file with a Zoom user online/offline.

4.9 Meeting: Display and edit a meeting schedule.

4.10 Contacts: Display the Zoom Meeting Client users, Zoom room, group chat, and
Channels.

6. Settings
On the Icon Profile, there are several settings, including:
a. Basic / Licensed Status
b. General Settings
c. Available or unavailable during a meeting
d. Do not disturb, for a certain amount of time
e. Away, if you cannot attend a meeting
f. Add a Personal Note, to add to the status of your profile, remove a personal note
if you would like to delete it
g. Change My Picture, to change the profile picture, you will automatically be
connected to the Zoom web portal
h. Try Top Features, to try the interesting features of Zoom Meeting
i. Check for Updates, to update the application
j. Help, a help center that is connected with the Zoom web portal
k. Switch Account, to switch to a Zoom account
l. Sign Out, to exit a Zoom account

In the “Settings”, you can do general settings, audio, video, share screen, chat,
recording, virtual background, profile, statistics, keyboard shortcut, accessibility, as well
as advanced settings.

7. Sign In to Zoom Portal

7.1 Type the Zoom portal access: [Link] Then click “Sign In”.

7.2 Enter your “email and password” and click “Sign In”.

8. Zoom Dashboard Personal Settings


8.1 Go to: [Link] To change the Profile, Meetings, Webinars, Personal
Audio Configuration, Recordings, Settings.

9. Zoom Client Application Display for PCs and Smartphones


9.1 “New Meeting” to start a video conference
9.2 “Join” to connect to a meeting with a Meeting ID / Personal Link
9.3 “Schedule” to arrange a meeting schedule
9.4 “Share Screen” to do a wireless presentation/ offline meeting without a video
conference

10. Zoom Client Display on the Homepage
10.1 “New Meeting” to host a video conference with other participants.

10.2 “Join” to connect to a meeting by using a meeting ID / personal link.

10.3 “Schedule” to arrange a meeting schedule that is integrated with Outlook,
Google Calendar, and other calendars. Click “Advanced Options” for other
settings.

10.4 Click “Share Screen” for a presentation or to share wireless content by entering the
sharing key or meeting ID.

11. Zoom Client – Chat Display
11.1 “Chat” is used to communicate with other participants in the group or
individually.

11.2 “File” is used to send a document to other users with a maximum size of 512MB.

12. Zoom Client – Meetings Display

Click the “Meetings” tab to see the meeting schedule, copy the meeting invitation,
edit the meeting, and cancel the meeting.

13. Zoom Client – Contacts Display

Click the “Contacts” tab to see the active or non-active contact list, group
contacts, Zoom rooms, or contacts with the same company domain.

14. Zoom Client Meeting Feature


14.1 Invite
To invite other participants to join a meeting through contacts, Zoom room,
room system, e-mail, copy url, and copy invitation.
14.1.1 Invite by Contacts

“Invite by Contacts” is to invite participants (of the same company domain) to join in a
virtual meeting room.

14.1.2 Invite by Zoom Rooms
“Zoom Rooms” is used to invite the registered Zoom Room participants, if you
have several Zoom Room licenses.

14.1.3 Invite by Room System


“Room System” is to invite the endpoint SIP/H323 participants.
Enter the IP of the Public Zoom provided in several countries that should end with the
sign (##). Then input the meeting ID that should end with the sign (###) and input the host
key (ex: [Link]##5779577978###123456). To join through the endpoint SIP, you
can invite by inputting the meeting ID that ends with the sign (…). Then input the host key
that ends with the sign (@). Then input @[Link] (ex:
5779577978…123456@[Link]).

14.1.4 Invite by E-mail
Click the “Email” tab to invite other participants to join a meeting through
“Default Email”, “Gmail”, and “Yahoo Mail”.

Click “Default Email”. Then you will be directed to the Microsoft Outlook template
as depicted in the figure below.

Click “Gmail”. Then you will be directed to the Gmail template as depicted in the figure
below.

Click “Yahoo Mail”. Then you will be directed to the Yahoo Mail template as depicted in
the figure below.

14.2 Manage Participants


“Manage Participants” is used to control the participants to:
a. Display or hide the video participants
b. Give names to the participants to facilitate the allocation of the meeting participants
c. Turn on or turn off the participants’ audio function
d. Lock the meeting while it is ongoing
e. Turn off the notification tone when other participants join
f. Permit participants to non-activate their own microphones

14.3 Share
“Share” is used for presentations or to share content. Annotations can also be used to
mark the presentation content.

14.4 Chat
Click “Chat” to be able to interact with the other meeting participants or host.

14.5 Record
“Record” is used to record a meeting that is in progress. The saved recording can be
downloaded on Cloud or your PC local storage. The Cloud recording has a capacity of 1
Gb / user, which is approximately 1 hour of recording with an .mp4 format, while the local
recording capacity depends on how big the capacity is of your PC.

14.6 Breakout Room


Click “Breakout Room” to open a sub-meeting while the primary meeting is ongoing.
The maximum number of sub-meeting rooms available is 50 concurrent sub-meeting
rooms (breakout rooms).

14.7 More
Click “More (…)” to find a feature for live streaming from Facebook/ YouTube. To
end the meeting, choose “End Meeting”. To leave the meeting choose “Leave
Meeting”.
