PROPOSAL WRITING

Proposal is a plan or suggestion which is put up before a higher


authority to get approval in order to execute it.
A proposal includes implementing a project, organising an event and
seeking approval.
FORMAT
Title:
• The title must be centre-aligned.
• The title should be around 5 – 6 words.
• It is mentioned in the question itself and students have to
take it from there with slight modifications. For example:
Proposal For Setting Up A Science Club/Eco Club/Kindness Club
Proposal For Organising A Charity Drive/ Fancy Dress Show/Talk
Show/Cultural Programme
Proposal For Conducting A Quiz/Workshop/Competition
Heading/Introduction: (2 marks)
• Write the word Heading or Introduction.
• Should have maximum 2 sentences (in totality 15 to 18 words).
• The points in Heading/Introduction must be different from the
points in Objective.
• It should clearly state what you want to establish and what is
the purpose of setting /organising /conducting.
The student should introduce the topic here with a glimpse of
what or how the plan can benefit.
In order to ………..(purpose), we propose to ………….
For example.
Heading: To foster an interest in science outside the classroom
and introduce the students to wonders and relevance of
science in our lives, we propose to set up a Science Club.
Objectives: (2 marks)
• Write this term Objective.
• The objectives should be written in the form of a
paragraph, not point-wise. The points must be different
from those mentioned in the Introduction/Heading.
• It must include at least two objectives to define what
results you intend to achieve by making such a proposal. It
may be the benefits from the receiving end as well as the
institution. For example:
It will help the students to learn to contribute for………..
and inculcate the values of ………… .
List of Measures: (4 marks)
• The list of measures must be at least FOUR in number.
• Write all these points in Bullet form only. Bullet marks
should be on the main page and not in the margin.
• It should be a coherent plan of action that you propose to
use while setting up / organising (as per the question). Use
your imagination. Include all relevant points based on
Where / When / What / Who / How much – the budget will
be provided.
• Try to use the word ‘may’ in your list of measures as you
propose the list of measures to be taken. The final decision
is to be made by the head of the institution.
• The words must be formal and polite.
Concluding statement and signature: (1 mark)
• The above term not to be written.
• One-liner statement to end your proposal.
• It should politely request the head of the institution to
accept the offer. For example:
We hope the proposal will be accepted …….. so that ……
at the earliest.
• After the concluding statement leave one line. Write the
signature, followed by name and designation.
Linguistic ability (1 mark).
Q. Your colony is suffering from mosquito borne diseases.
Write a proposal to the MLA of your area, in not more than
150 words, stating the steps to eliminate the mosquito
menace.
Proposal For Preventing Mosquito Menace
Heading/Introduction: To request the MLA of our area to
draw the attention of the concerned authority to eradicate
mosquitoes and prevent mosquito borne diseases.
Objectives: To improve sanitization and to control cases and
deaths due to Malaria, Dengue, Chikunguniya etc.
List of Measures:
• To send workers from the Municipal Corporation to
remove the garbage.
• To arrange the spraying of bleaching powder and
mosquito fogging treatment especially during the rainy
season.
• To get the drainage system repaired.
• To eliminate standing water in gutters, drains and any
other containers.
• Remove weeds and other biomass accumulation that are
potential mosquito breeding sources.

We hope that the proposal will be accepted at the


earliest so that quick action is taken to stop the mosquito
menace.

Q. As a member of the Student Council of your school you have been
given the responsibility of setting up a Heritage Club in school. Write
a proposal in about 150 words, stating the steps you would take to
establish this club.
Proposal For Setting Up A Heritage Club
Heading/Introduction: To create awareness in the students about
the heritage of our country and to inculcate in them a sense of pride
for the rich culture of our nation, we propose to set up a Heritage
Club in our school.
Objectives: The Heritage Club will provide an opportunity to the
students to explore the culture of our motherland and also inspire
them to appreciate and conserve our heritage.
List of Measures:
• The school auditorium will be used for the Heritage Club
meetings and activities.
• The meeting of the Club will be held every Saturday from 10:00
a.m. to 11:30 a.m.
• Membership of the Club will be open to all students from
Classes IX to XII. Office bearers will be elected from the
members of the Club.
• The Club will have activities like visits to the museum and
important monuments, making Power Point Presentations,
posters, models etc.
• The budget for the Club will be provided by the Accounts
Department of the school
We hope that the proposal will be accepted so that the Heritage Club
is established at the earliest.
