File Management
Objectives:

At the end of the exercise, the students should be able to:

 Deduce the importance of a well-structured file management system; and


 Propose a logical structure design of files and/or records for a simple file management system.

Instructions:
1. Reanalyze the five (5) different file structures that were discussed and search for other file structures
that are available in books, the Internet, and other resources. Closely analyze the components,
attributes, structure, and operations or implementation guidelines of each file organization.
Note: Illustrations or design figures are also available on the Internet. These will help you to better conceptualize your ideal file
management structure.
2. After gathering all the essential ideas and concepts, propose a unique file organization structure or a
file management system using the guidelines/questions below. Use 3 to 5 sentences in answering
each item. (5 items x 5 points)
a. Enumerate all your desired attributes/features/functionalities for your file organization design.
- My file organization design should be easy to manage, cost-effective in I/O use, with simple file
reconstruction and built-in backup. It needs efficient record access for both small and high workloads,
utilizing sequential processing when needed, and enabling immediate record updates.

b. Which specific file system property would you like to focus on: long-term existence, sharable
between processes, or good internal structure? Why?
- I believe emphasizing a robust internal framework is crucial for my file management system, particularly
for specific applications. Complex file arrangements can mirror relationships effectively. A strong
internal structure isn't solely about organized data storage; it also enables the execution of intricate file
functions.

c. Select a particular industry (i.e., education, entertainment, health services, and manufacturing
industry) that would greatly benefit from your file organization design, and explain how it will
be beneficial for your selected industry. Elaborate on your answer.
- If I were to opt for a specific sector for my file organization design, I would choose the education
industry due to the continuous creation, processing, and proper filing of documents within it. Having a
file management system in the education field is highly advantageous, particularly concerning the
maintenance...

d. Identify what type of records or files would be involved in your design. Elaborate on your
answer.
- The records or files implicated in my design consist of administrative documents, such as admission
forms, financial aid paperwork, alongside student and personnel records.

e. What makes your file organization design unique? Rationalize your answer.
- It's straightforward to comprehend, sift through, and handle. You can access the
records relatively easily and efficiently. Additionally, immediate access for updating
purposes is available.

3. Create a simple illustration of your proposed file organization structure. (10 points)

4. List down possible recommendations to improve your file organization structure design. (5 points)
- Store Data in a Single Location
The first step to efficient file management is to store all your important documents in a single, easily accessible
folder, and in subfolders beneath that.
- Create Hierarchical Folders and Subfolders
Within that master folder, organize your documents into a hierarchical system of subfolders. You want to arrange
your files by category and assign each category to a subfolder. Then, create more specific subfolders within
those subfolders for different users, document types, and the like.
- Use Filenames to Describe File Contents
How you name your files is crucial to good file management. When you accurately and logically name your
documents, files, and folders, you make it easy to determine what’s inside each item when users browse through
them.
