STUDENT`S NAME: TOPIC – Report Writing WORK SHEET – Notes + Sample

A report usually tells the reader about an event that has taken place. The writer may analyse or
observe these events/situations. Reports are always written for a particular audience. They
are clear and objective (unbiased), reporting the facts.

Success Criteria:

- Make points clear in separate paragraphs

- Use time connectives (Earlier, Later that day, Afterwards). Reports of an event would give
information about what happened in chronological (time) order. i.e. FROM THE BEGINNING TO
THE END

- Use formal reporting verbs like believe, claim, expect, know, hope, report, understand

Eg: It is believed that…, it is claimed that…, it is known that… etc.

-Stay objective - this isn't descriptive writing - its a clear presentation of information. You may
come to a conclusion but there should be no exaggeration or emotive language.

-Formal and Standard English

-Facts and Statistics

- Proper punctuation

Introduction: Be clear about the Main Event
-who

-when
-where

Example:
'On 16th June 2012, Eastbury Comprehensive School was inspected by the local council (Barking
& Dagenham). The focus was on Maths and English departments; both were graded as making
good progress. The visit was a response to the dramatic rise in GCSE passes from grades A*-C.'

Paragraphs 2-4: Report (Main body)


-details of what happened
-facts and statistics
-Use topic sentences/sub-headings

-Eye witness/member of public quote

Example:
One staff member commented that students were 'a delight to teach', with the staffroom
atmosphere described as 'hugely supportive' by another.

Ending:
-Finish with some points for improvement or your suggested action for any similar events.
-This might be things that went well, or recommendations to prevent further problems

Overall, the school shows itself to be making steps towards clear improvements. I would
recommend that Eastbury seek to share good teaching and learning practice with other schools in
the borough.

Formal Report Sample

A report model answer: A visit to the Future Recycling Centre

Introduction:

Last year a visit to one of the largest centres was organized by the school administration. The
main reason for the trip was to make us aware of the necessity of recycling household wastes
and spread awareness about the issue.

Findings:

Upon our arrival we were welcomed by two representatives of the Centre as well as an
Industrial Safety engineer who guided us throughout the whole journey. Safety precautions and
sanitation procedures were explained thoroughly in a Power Point presentation by one of the
representatives. Then we were shown a video film about landfill sites and how they affect the
underground water system terribly. In the production line we watched how household waste is
sorted out electronically and processed into marvellous products like pens, pencils and rulers to
name but a few. It was great to see how these products are made from recycled materials which
we throw away. The video and the tour were really useful to a great extent as we became
careful about, we throw away and care about the local neighbourhood environment.

Conclusion:

The visit would be more useful if we had more time to give us the chance to ask more
questions to get more feedback about the practical steps to be more conservative about our
neighbourhood.
