OBJECTIVES:

 Define a spreadsheet software and Microsoft Excel.


 Enumerate the different key terms and function in MS
Excel.
 Use built-in functions for mathematical calculations.
 Generate a graphical view of the data.
WHAT IS A SPREADSHEET
SOFTWARE?
 Spreadsheet software allows users to organize data in
rows and columns and perform calculations on data.
Examples of Spreadsheet Software:

 LibreOffice Calc
 [Link] Calc
 Google Sheets
 Apple iWork Numbers
 Kingsoft Office Spreadsheets
 StarOffice Calc
 Microsoft Excel
MICROSOFT EXCEL

 is a spreadsheet developed by
Microsoft for Windows, macOS,
Android and iOS.
KEY TERMS & FUNCTION
IN MS EXCEL
KEY TERMS IN MS EXCEL:

 Row – horizontal line of entries in


a table.
 Column – vertical line of entries in
a table.
 Cell – the place where info. is held
in a spreadsheet.
KEY TERMS IN MS EXCEL:

 Column Heading – the box at


the top of each column
containing a letter.
 Row Heading – the row number
KEY TERMS IN MS EXCEL:

 Cell Reference - the cell address of the cell usually


combine letter and number.
KEY TERMS IN MS EXCEL:

 Functions – are predefined formula and are already


available in excel.
KEY TERMS IN MS EXCEL:

 Formula Bar – the bar that displays the content of a cell.


FUNCTIONS IN MS EXCEL:

BASIC MATH OPERATIONS:


➢ =SUM(x,y) or =SUM(range) – returns the sum of x and y or
sum of all the numbers within the range.
FUNCTIONS IN MS EXCEL:

➢ =PRODUCT(x,y) – returns the product of x and y.
FUNCTIONS IN MS EXCEL:

➢ =QUOTIENT(x,y) – returns the quotient of x divided by y.
OTHER FUNCTIONS IN MS EXCEL:

➢ =AVERAGE(x,y) – returns the average of x and y

➢ =CONCATENATE(x,y) – joins x and y.


OTHER FUNCTIONS IN MS EXCEL:

➢ =MAX(x,y) – returns the largest number between x and y

➢ =MIN(x,y) – returns the smallest number within the range.

➢ =TODAY() – returns the current date

➢ =NOW() – returns the current date and time

➢ =IF(condition,x,y) – returns x if the condition is true, else it


returns y
MERGING & SORTING DATA
IN MS EXCEL
MERGING DATA IN MS EXCEL:

 Merge – combining or joining two or more cells.


STEPS IN MERGING DATA :

1. Highlight the cell that you want to merge.

2. In the Alignment section, click on Merge & Center .


STEPS IN MERGING DATA :

3. The data will be now centered in the combined cell when


the cells are merged.
SORTING DATA IN MS EXCEL:

 Sort – sort the data or contents of an array in descending


or ascending order.
STEPS IN SORTING DATA:

1. Select the data or the cell range that you want to sort.
STEPS IN SORTING DATA:

2. Go to Home > Sort & Filter > Custom Sort or Data > Sort.
STEPS IN SORTING DATA:

3. Then a sort dialog box will appear.

4. Click OK. The results shows that records are sorted by Last
Name.
FILTERING & REMOVING DUPLICATES
IN MS EXCEL
FILTERING DATA IN MS EXCEL:

➢ Filter – helps in the display of pertinent data by temporarily


removing unnecessary elements from the screen.
STEPS IN FILTERING DATA:

1. Within a data set, click any single cell.


STEPS IN FILTERING DATA:
2. Click Filter in the Sort & Filter group on the Data tab.
STEPS IN FILTERING DATA:
3. In the column headings, drop-down arrows will appear. To
filter a column, click the drop-down arrow next to it. In our
example, we will filter column E to view only the students
who got 80 total score in quizzes.
STEPS IN FILTERING DATA:

4. Click OK. The data now will be filtered and any data that
does not meet the criteria will be temporarily hidden. In
our example, only students who got 80 total scores in
quizzes are visible.
REMOVING DUPLICATES IN MS EXCEL:

➢ Duplicate – any values that appears more than once in that


column is considered a duplicate.
STEPS IN REMOVING DUPLICATES:

1. Select cells in the data that you want to remove duplicates.

2. Click the Remove Duplicates command from the Data tab.

3. Remove Duplicates window will appear.

4. If the data contains column headers in the first row, check


on “My data has headers”.
STEPS IN REMOVING DUPLICATES:

5. Select which columns will be used to remove duplicates. In


our example, we will use the Last Name and First Name
column in removing duplicates.
STEPS IN REMOVING DUPLICATES:

6. Click OK. Duplicate values will now be removed and give


you a total count of how many were removed and how
many remain.
INSERTING CHART & GRAPH
IN MS EXCEL
CHART & GRAPH IN MS EXCEL:
 Chart – is a visual representation of categories that may or may
not be connected to each other.

 Graph – is primarily a numerical representation of data as it


highlight the relationship between numbers and how one
number affects or changes another.

1. Select the range of cells, including column titles or row


labels, that will the chart’s source data.
