Guide to writing an RFP (request for proposal)

The RFP (Request for Proposal) is a document that contains the foundations and premises for suppliers to pre-
selected candidates to submit their technical, functional, project, and economic proposals.
Key sections of an RFP

You can easily identify the key parts that should be included in your RFP by answering each of the following.

Why?: Specify the reasons why your organization needs to acquire a solution.
Who is looking for software?: describe your organization.
What are you looking for?: describe what your organization is looking for.
How will the work be done?: detail the information you need from the suppliers; specify the
criteria that will be used for evaluation and the criteria to reach the signing of the contract.

Project Guidelines

Describe in detail the products and services that your organization is looking for as well as the objectives of the
hiring.

Background

Present a summary of your organization: operations, markets in which it operates, profile of its clients and what.
It is considered necessary for the proponents to have an understanding of their company. It is even advisable to cite.
Honestly, the strengths and weaknesses that your company has. Don't forget to include information about the people.

Scope of the task

List the specific tasks that will be the responsibility of the provider and the expectations that your organization has in
regarding the results to be obtained. Include a detailed list of responsibilities, particularly when
subcontractors are involved.

Performance expectations

Specify the minimum performance that your organization expects from the provider, the methods that will be used to
monitor the performance and the process to implement corrective actions.

Deliverables

Provide a list of all products, reports, and plans that must be delivered to your organization and
tentative schedule of deliverables.

Terms of Engagement

Specify the minimum and maximum duration of the hiring and the renewal options.

Payments, rewards and punishments

Be explicit about the payment conditions in accordance with the deliverables and their performance.
Highlight and underline the criteria for obtaining a reward for superior performance and the penalties that the provider must incur.

Contractual terms and conditions

Please attach a standard model of your contract, required certificates, and necessary insurance policies. If you do not have

Requirements to prepare the proposals

Prepare a consistent structure with contents, information, and standardized documents so that the
proponents should respond in the same way to simplify the evaluation work. They should request a structure of
specific proposal and specify the documents you expect to receive.

Evaluation and selection process

Specify the procedures and criteria that will be used to evaluate the proposals and to select the
contractor.

Schedule of the process

Be clear with the timeline for each of the steps in the process up to the moment of making the decision. For
specific example:
Deadline for receiving inquiries related to the RFP.
Deadline to receive proposals.
Date on which the demonstrations will take place.
Date on which the proponent will be summoned to present their proposal.
Date of 1st Selection.
Date on which the classified shortlist will be announced.
Estimated hiring date.
