Subject: Annual Maintenance Contract for AC & MEP
Dear Sir,
Please be inform that our Annual general maintenance Contract for AC & MEP will be as per
the below details as follows;
Both parties will agree on the following terms and conditions:
1. THE CONTRACT AND THE SCOPE OF WORK
a. Tania’s Teahouse has agreed to award Supertech Middle East Electro-Mechanical
Works LLC (Second Party) the contract for Annual General Maintenance AC &
MEP for the period 2025-2026.
b. The work should be carried out according to the attached maintenance
schedule during preventive maintenance period and to rectify any faulty work
during normal operation. The second party will also be responsible for providing
emergency break down services on call 24hrs of the day for this year (e.g., no
AC units working at all) On call complaint attending will not charge additional.
The scope and schedule of works shall be mentioned in annexure 1.
c. The second party undertakes to execute the works in accordance with the
proper technical standard and to the utmost satisfaction of the first party.
2. THE CONTRACT VALUE
The first party agrees to pay second party the lump sum amount of AED 26,400.00/-
+ 5% vat per annum (Dirham’s – Twenty Six Thousand Four Hundred+ VAT Only) to cover
all the works mentioned for the entire period 2025-2026.
The aforementioned charges do not include the supply and replacement of any worn
parts or material and / or item which the contractor may from time to time deem
necessary to replace. All additional works first party will pay material cost and labor
cost as part of AMC.
THE TERMS OF PAYMENT
First Party will pay second party in advance AED 6600.00/- + VAT (Dirham’s – Six
Thousand Six Hundred + VAT Only) every 3 months in arrears.
3. THE CONTRACT PERIOD
The contract period is one year starting from 15 /08/2025 to 14/08/2026. Terms and
conditions will prevail automatically at the end of this contract till the new contract is
mutually signed or one month notice is submitted by either party to discontinue this
contract.
4. GENERAL TERMS
4.1 Second Party shall prepare a program for the complete contract period as per
Preventive Maintenance Schedule.
4.2 Second Party shall carry out the preventive maintenance schedule which is
approved by the first party.
4.3 First Party will provide Second Party copies of all documents pertaining to the said
works, specifications, as built drainage, manuals, guarantees for the equipment’s
etc. Same should be returned upon completion of works along with handling over
status report for the conditions of existing units checked by second party, one
week prior of handling over.
4.4 If any delay in the work is noticed, a progressive review meeting should be
conducted and second party will take necessary measures to cover the delays
otherwise first party might take necessary action to match the program.
4.5 Second Party shall provide the qualified personnel and all necessary tools to do
such works.
ANNEXURE 1
A. Scope of Work:
1. A.C System.
2. Electrical System.
3. Plumbing, Water services and Drainage system.
4. Check /repair sanitary fittings.
5. Civil repair works (carpentry, Aluminum, and false ceiling works). (Max 3sqm per
year)
6. Repair/replace damaged ceramic/mosaic wherever required (Max 3sqm per
year).
7. Domestic water supply & drainage system.
8. Electro-mechanical system
9. Repair water heaters if required
10. Paint touch ups and grouting included. (Max 3sqm per year)
11. Lights cleaning (During AC Servicing Time)
12. Extract Fans.
13. FAHU.
B. Maintenance Schedule
• Plan and schedule preventive maintenance
• Cleaning of condensers and cooling coils any other equipment needed.
• 6 services will be carried out in a twelve (12) month period in every 2 moths’
interval, for all FCU units.
• Regular inspections and record keeping of various equipment’s parameters
• Regular checkup / repair / adjust fan motors whenever necessary
• Lubricate all moving parts of machinery whenever as required
C. EXCLUSIONS
• Compressor, compressor parts or spares, expansion valve, ac tray, PCB board
motor rewinding, isolator, relays, timers, any spare parts, are excluded in scope
of work.
• Fixing new compressor, Extract Fan, Water Pump, Light, Light Fittings, Water
Heater.
• Insulation, ducting work and internal duct cleaning.
• Replacement of items damaged due to tenant’s negligence or misuse.
• Replacement of condenser / evaporating coils.
• Any design / resection faults and initial repairs.
• Hoist equipment / carriage.
• ALL kinds of Filters for AC, FAHU, Ecology Unit.
• Ecology unit carbon filter.
• All kind of decorative lights.
• All Kitchen equipment’s.
• All kind of ELV Works.
• Grees Trap, Grees Trap Leak Issues.
• Any other scope or system of work not expressly included in the scope.
