SESSION 1 INTRODUCTION TO ACCOUNTING
ACCOUNTING:
Accounting is an art of business communication.
Accounting is an art of recording, classifying and summarizing in significant manner are in terms of money
transactions and event which are, in part, at least of a financial character and interpreting the result there of
ADVANTAGES OF ACCOUNTING
1. By keeping accounting They can understand the profit or loss in a particular time period
2. They can understand the following financial position of business
a. How many assets are in business
b. How many liabilities of business
c. How many capital are in business
3. Also they can understand the reasons of profit or loss by keeping accounting. Considering above
advantages they can easily understand that accounting is the soul of business.
DEFINITION
While learning accounting they have to use some words regularly. First they understand meaning of these
words.
1. Goods: Goods are regularly and mainly purchase and sales in business. Eg. In a kirana store soaps,
oils etc., are goods. Profit depends on purchasing and selling of goods.
2. Assets: Assets valuable things which are essential and assets of business. Eg. Building Vaical,
machinery, furniture etc.,
3. Liabilities: Liabilities are given by business to other Eg. Loans taken from bank, purchasing goods on
credit.
4. Capital: Capital means the investment made by the owner of business. This capital is in the form of
Cash, goods or assets. As this capital is invested by the owner of the business, according to the
business this capital is also consider as a liabilities.
5. Debtor: Persons who are belongs to give us certain amount are called debtor.
6. Creditor: Persons to whom our business has to give certain amount are called credit
TRANSACTIONS:
A transaction is an event that changes the organization’s financial position and/or its earnings. For example,
when you deposit Cash in the bank, your Cash balance reduces and bank balance increases; when you sell
goods for Cash, your Cash balance increases and your stock reduces.
TYPE OF ACCOUNTING
1. Personal Account: All persons, societies, trusts, bank and companies accounts are personal
accounts. Eg. Ramya A/c, Subash Sales A/c, Parveen Traders A/c, SBI Current A/c
2. Real Accounts: Real accounts contains all assets & goods a/c. eg. Cash A/c Furniture A/c, Building A/c
3. Nominal Accounts: All incomes and expenses related to business come under the nominal accounts.
Eg. Salary A/c, Rent A/c Commissions A/c, Advertisement A/c etc.,
GOLDEN RULES OF ACCOUNTS
While making a transaction entry, they have to decide the Debit or Creditor side. For that following are the
rules.
1. Personal Accounts
Debit: The Receiver or Debtor Credit: The Giver or Creditor
2. Real Accounts
Debit: What comes in? Credit: What goes out?
3. Nominal Accounts
Debit: All Expenses & Losses Credit: All Incomes & Gains

Double Entry System of Book Keeping
Each transaction makes two affects on business.
For Example
a. Purchase of Goods for Cash: In this transaction goods are coming in business where as at the same
time amount is going from business.
b. Goods Sold for Cash: In this transaction goods are going from business and Cash in coming in
business.
As per Double Entry System of book keeping all these business transactions recorded in accounts have two
aspects- Debit aspect (Receiving) and Credit aspects (Giving)
ACCOUNTING GROUPS
An Accounting Group is a collection of ledger which has similar transactions. For example, all ledger account
heads related to the fixed assets of a company are grouped under Fixed Assets.
Tally offers flexibility in relation to building a chart of an account. Tally provides a set of 28 pre-defined
groups (Primary Group – 15 and Sub Groups – 13) under which ledgers can be classified.
Out of the 15 pre-defined Primary Groups, 9 primary groups, which are capital in nature, display in the
Balance Sheet. And 6 primary groups, which are revenue in nature, display in the Profit & Loss Account.
All the 13 sub groups are classified under the nine primary groups that are capital in nature and appear in
the Balance Sheet.
1. Capital Account: It holds capital and reserves of the company Accounts like Proprietors Capital, Partners
Capital, Share Capital, Proprietors Drawings etc., belong to this group.
a. Reserve and Surplus: Accounts like Capital Reserve, Depreciation Reserve, General Reserve etc.
This group is also called as Retained Earnings.
2. Fixed Assets: It holds the accounts like Furniture a/c, Building, Land, Machineries etc., can be created
under this group.
3. Current Assets: All assets of the company are placed under this group.
a. Bank Accounts: Any bank savings or Current accounts e.g. SB A/c can be placed under this group.
b. Cash-In-Hand: This will hold Cash A/c only. A Cash account is automatically created under this
group, when a company is created.
c. Deposits: Accounts related to deposits like Security Deposits, Fixed Deposits, Recurring Deposits
and Rental Deposits etc. can be created in this group.
d. Loans and Advances: Accounts related to advances and loans of non-trading nature of accounts like
Advances against salaries, Work contracts, Advances to purchase of fixed assets etc. can be created
in this group.
e. Stock in hand: This is used to hold the opening and closing stock figures of certain accounts like raw
material, Work in progress, finished products etc.
f. Sundry debtors: This is used to created the accounts for our customers(all parties to whom credit
sales are made)
4. Current Liabilities: This is a primary group to hold the outstanding and statutory liabilities of the
company such as ESI, PF, and TDS etc. It has three sub groups.
a. Duties and Taxes: Accounts of trade duties, taxes like Excise, Local sales tax, central sales tax etc. can
be opened in this group.
b. Provisions: It is used to hold tax provisions in this group e.g. Provisions for Depreciation, Provision of
Taxation.
c. Sundry creditors: This group is used to create accounts for our suppliers (all parties from who credit
purchases are made).
5. Investments: Accounts like Building Land, furniture, machinery etc. can be created under this group.
6. Loans: Accounts of loans taken by the company are created in this group. It has three sub-groups.

a. Bank OD (over draft): Over Draft accounts of a bank like Hypothecation, Account, and Bill Discounts
Accounts etc. can be opened under this group.
b. Secured loans: Accounts of loans taken by the company from financial corporation’s e.g. Sundaram
Finance, Ashok Leyland finance, Banks etc. against its fixed assets is created under this group.
c. Unsecured loans: This is the third sub-group of loans. Accounts of loans taken by the company
unconditionally from outside parties including debtors and partners can be created under this
group.
7. Suspense Accounts: This is primary group. Accounts of money received of paid by the company in
suspense. If an advance amount like Traveling expense is paid to Marketing executive in come under the
Suspense accounts. This is Balance sheet item.
8. Miscellaneous Accounts: Preliminary and pre-operative expenses which have been capitalized to the
extent of not writing them off in the profit and loss account will fall under this group. It is rarely used.
9. Sales Accounts: Company sales come under this group like sales accounts like Computer Sales, Cement
Sales, Tyre Sales, Car Sales, and Brick Sales etc.
10. Purchase Accounts: Company purchase comes under this group. Like accounts like Machinery Purchase,
Printer Purchase, Furniture Purchase Etc.
11. Direct Income: It holds the account of the direct income like income due to sales of goods.
12. Indirect Income: Accounts of indirect income like Rent Received, Interest Received, and Commission
Received etc. can be created under this group.
13. Direct Expense: The accounts related to payment of Wages, Freight, Coolie, Carriage Electricity bill,
Water bill, Telephone Bills etc. can be created under this group.
14. Indirect Expense: The accounts of payment made for Advertisement, Maintenance of vehicles, Salary
paid to staff, Depreciation of Fixed Assets, Traveling Expanses etc. can be created under this group.
15. Branch/Divisions: This is primary group. Accounts of Branches, Divisions, Sisters Concerns and
Subsidiaries etc. of the existing company can be created under this group.
SESSION 2 INTRODUCTION TO TALLY
The first version of Tally was released in 1988 and, through continuous development, is now recognized as
one of the leading accounting packages across the world, with over a quarter million customer
Tally is used to maintain daily business transactions like purchase, sales, receipt, payments, purchase return,
sales return, bank transactions money transfer etc., and it is also used to maintain the transactions of
manufacturing organizations like productions, consumption etc.,.
The Tally Prime provides capabilities including remote access, allowing to work from any place. It provides
audit & compliance services, integrated support center and security management.
Feature of Tally Prime
Remote Access: Tally Prime provides remote capabilities to its users to access data from anywhere.
Using [Link] features, the user can create remote users (ids), authorize and authenticate them to
access company remotely.
[Link]: Is an enabling environment which works behind the scenes to facilitate various Internet
based services in Tally Prime. Each Tally Prime is enabled for [Link] Services by default. [Link]
provides the following services in this release of Tally Prime
Control Center: Control Center is a new feature being introduced with [Link] 9. This utilizes
[Link] as an interface between the end user and Tally Prime installed at different locations. With
the help of Control Center, you will able to
o Create users with predefined Security levels
o Centrally Configure & manage your Tally Prime
o Surrender, Confirm or Reject castigation of Site
o Maintain Account related information

Button Panel: Button panel which found in the Tally screen. Button panel buttons help you to perform
vouchers, Select , Shut company, export, Upload etc.,
CREATE A COMPANY
After entering in to the Tally opening screen, first create a company to computerize the accounts follow the
below steps to create a company.
1. Select Create Company option in From Company
menu.
Directory : The Default directory is
C:\Users\Public\Tally\Data. However it can
changed as we need using ‘Select from Drive’
option
Company Name: Here you can enter the
name of Company for Example : Comptech Computers
Mailing Name: Here you can type name of company or Company Proprietor name
Address: Here you type the Company address details [optional]
Country: Set the country as INDIA
State: Set the appropriate State from list. Karnataka
Pin: Here you type Pin code [optional]
Telephone: Here you type Telephone No. [optional]
Email: Here you type Email Address [optional]
Financial year beginning from: The Financial Year of the every business starts from April 1st of the
every Year.
Books beginning from: Here you enter the date of the journal entry of Book keeping. Here most of
the business starts book keeping in the beginning of the financial year. If you want to start book
keeping in other month, does in matter you can start book keeping on other month.

LEDGER: The ledgers contain the information of
different transactions made by a particular person.
CREATING LEDGER
From Gateway of Tally Click on
CreateLedger
In the NAME type the Name of Ledger
Account like Computers Sales A/c, Building
A/c, Electricity A/c etc.
If you want to give alternative name for
ledger, type Alternative name in Allies.
In the UNDER Choose the pre-defined group
under which your accounts depends. Like
Electricity bill comes under Direct Expenses.
In OPENING BALANCE type the opening balance of the account of the previous year balance sheet.
In Mailing Details area type the Name, Address, contact Person, Contact No., Email, Fax No. Income
Tax no., TIN No., of the parties like sundry creditors, sundry debtors, banks etc.,
Press ‘Y’ accept the ledger creation otherwise ‘N’

SESSION 5 RECEIPT AND PAYMENT VOUCHERS
VOUCHERS: A voucher is a basic recording document. Daily business transactions are entered in Tally
through Vouches It is a key to all business information. Entering the business transactions through Voucher
called Voucher entry.
Tally is pre-programmed with a variety of Accounting Vouchers, each designed to perform a specific
functions. Daily Business transactions are entered on the basis of Voucher types.
From Gateway of Tally, Select Accounting Voucher. Voucher creation screen display. By using the function
keys, you can choose the voucher type like Receipt, Payment, and Contra etc.

Voucher Contents
Date: First check the date of the
Voucher entry. Press F2
functional key for changing Date.
Voucher Type: Then identify the
Voucher type of the business
transaction.
Ledger Accounts: Then identify the Ledger Account in the business transactions. At least 2 accounts
must be identified. These accounts must be already created earlier in Ledger Accounts if it not so,
create the Ledger Accounts immediately by pressing Alt+C.
Balance: Identify the Debit and credit balance is equal. Both debit and credit balance should be
equal. If it not so, please check the entries in the Voucher Creation.
Dr. or Cr. and Narration: Enter the voucher entries by typing Dr (Debit) or Cr (Credit) accounts, then
typing respective amount in Debit and Credit columns and enter Narration (e.g. 500/-Cash deposited
in bank) which locates in the bottom area of the Voucher Creation screen.
Accept ”Yes” (Ctrl+A): After all information is entries in the voucher enter correctly, press ‘Y’ to
accept the information to record in “Accept?” dialog box.
Receipt Voucher (F6):
Receipt voucher is used to enter all receipt of Cash or bank (Receipt by Cash or receipt by cheque or
receipt by demand draft) even the amount received for the sale of Fixed assets Must be treated as
Receipt Voucher.
Credit (Cr.): The Giver of Money (Loans, Sundry Debtors, Direct/Indirect Income, Loans & Advances etc.)
Debit (Dr.): Cash A/c & Bank A/c
Payment Voucher (F5):
Payment Voucher records all the Payments Made through Bank and Cash. Even the amount paid for the
Purchase of Fixed Assets must be treated as Payments. Cheque Printing is done only through Payment
Voucher entry.
Debit (Dr.): The Receiver of Money (Loans Repayment, Sundry Creditors, Direct/Indirect Expenses etc.)

Goods and Services Tax (GST) is an indirect tax which was introduced in India on 1 July 2017 and was applicable
throughout India which replaced multiple cascading taxes levied by the central and state governments. Under GST,

Inventory Info: Inventories are unconsumed or unsold goods purchased or manufactured. The term
Inventory includes stock of finished goods, work in progress and raw materials. The valuation of inventory is
necessary for determining the true income earned by a business during a particular period. Cost of goods
sold is ascertained by adding opening inventory to and deducing closing inventory from purchase.
Stock Groups:
The stock groups, which contain stock items. For example, Hot drinks(stock group) which contains stock
items like coffee, Tea, Horliks, Boost etc. likewise cool drink (stock group) which contains stock items like
Coco Cola , Miranda, Pepsi, Limca, 7Up, Sprite etc.
Creating a Stock Group
• In the Gateway of Tally Click on CreateStock Group
• Set Name(Stock Group Name), Under as Primary
• Set [Should quantities of items be added]: Yes [if the items group are related else set as No]
• Set [Set/Alter GST Details]: Yes [ Make necessary changes as shown above]
Units of Measure
The inventory stock item must have units of measure to count the quantity.
Creating unites of Measure
• Gateway of Tally Create Units
• Here you can enter the Symbol, Formula Name and UQC and Decimal places
Note: UQC stands for Unique Quantity Code. In simple terms, it refers to a unit of measurement such as
1 kilogram to be mentioned in the invoice as 1 KGS,
Stock Items
The stock items which comes under the stock group. The stock items like carrot. Brinjal, Ladies finger,
Tomato, Pumpkin, Drumstick etc. which comes under the stock group Vegetables.

Godown: The Godown option is used to store the goods more than in one location that means Shop and
other locations.

2. Set the Godown name and under as primary
Note: By default Tally created one godown named as d “Main Location”. Rename the Main location as Shop
Stock Journal (F7): This voucher is used to transfer goods from one location of business to another that
means godown to shop or shop to godown. And it is also used to convert Raw material into Ready material
in manufacturing industries.
Debit Note (Alt+F6):
1. When a company (Buyer) returns goods to the seller (Dealer), then the company sends a debit note
as intimation to the seller (Dealer) of the amount and quantity being returned and requesting return
of money.
2. A debit note is sent to inform about the debit made in the account of the seller along with the
reasons mentioned in it.
3. The purchase returns book is updated on the basis of the debit note. (In case of return of goods)
4. It is often used to return goods on credit.
5. A debit note is generally prepared like a regular invoice and shows a positive amount.
6. A journal entry to record a debit note in the books of seller
Credit Note (Alt+F5):
1. When a Seller receives goods (returned) from the buyer, he prepares and sends a credit note as
intimation to the buyer showing that the money for the related goods is being returned in the form
of a credit note.
2. A credit note is sent to inform about the credit made in the account of the buyer along with the
reasons mentioned in it.
3. The sales return book is updated on the basis of the credit note. (In case of return of goods)
4. It is generally sent by the seller if the goods are found incomplete, damaged or incorrect.
5. A credit note generally shows a negative amount.
6. A journal entry to record a credit note in the books of buyer
REJECTIONS OUT VOUCHER (PURCHASE RETURNS)
The Rejections out Voucher records goods that are rejected and returned to a supplier.
1. From F11: Inventory Features, Enable the option Use rejection inward and outward notes.
2. Go to Gateway of Tally > Inventory Vouchers
3. Press Alt+F6 or Select the button Rej. Out from the Button Bar. For example, the company returns
Item A received from Supplier A.

A Rejection In Voucher is used to record goods that are rejected and returned by the customer.
To enter the Rejections In Voucher,
1. From F11: Inventory Features, Enable the option Use Rejection Inward / outward Notes.
2. Go to Gateway of Tally > Inventory Vouchers
3. Press Ctrl+F6 or select the button F6: Rej. In from the Button Bar
For example, Customer A returns Item A delivered by the company.
Ledger Account : Select the Party’s name from the List of Ledger Accounts, from whom the goods have
being returned.
Customer’s Name and Address: Once Party’s name is selected under Ledger Account, this column will be
automatically populated with address, if provided in the Ledger Master Creation screen.
Name of Item: Select the Item from the List of Stock Items. Press Enter button on the Item, it will display
the Item Allocations screen.
Under the List of Tracking Numbers, the details of Delivery note along with Tracking number will be
displayed, select the same. Mention the quantities returned.
Narration: Give the narration, if required.
Note : In F12 configuration, Show Batch Wise Details and Show Godown – wise Details will show the
batch and godown details in the voucher entry screen, if set to Yes.
