Word Processor
A word processor is a software application designed for the creation,
editing, formatting, and printing of documents. It provides a digital
platform for users to compose and manipulate text, making it a
versatile tool for various writing tasks. Here are key features and
functionalities commonly found in word processors:
1. Text Editing: Word processors allow users to enter, edit, and delete
text easily. They often include basic text formatting options such as
bold, italic, underline, and font size adjustments.

Word Processing is used for variety of purposes. It allows users to
write, modify text, display it in screen, save it electronically, and
print it out.
The applications of Word Processing are mentioned below: -
1. To create, edit, save or print document.
2. To copy, paste, move and delete text within the document.
3. To create and edit tables.
4. To formatting text, such as font type, bolding, underling, or
italicizing.
5. To insert image from other software such as photographs or text.
Similarly, Word processor work for many purposes. It contains both
merits or advantages and demerits or disadvantages.
The advantages of Word Processing are explained below: -
1. User-Friendly Interface: Microsoft Word provides an intuitive and
user-friendly interface, making it accessible to users with varying
levels of expertise
2. Formatting Options: It offers extensive formatting options for text,

MICROSOFT WORD
Microsoft Word is a word processing program that allows for the creation
of both simple and complex documents. With Office 365, you are able to
download the application to your hard drive and will also have access to
the online version.
Microsoft word is a word processor software developed by Microsoft in
1983. It is the most commonly used word processor software. It is used to
create professional quality documents, letters, reports, resumes, etc. and
also allows you to edit or modify your new or existing document. The file
saved in MS Word has docx extension.
The Microsoft tool are explained below fully: -
When we first open the Microsoft we mostly choose blank document to
write, create, or prepare any document. At first inside Microsoft we see
the Menu Bar.

⮚ File: - In Microsoft word a File tab is a box or folder or a section of
ribbon that allows to access the file functions. From file tab we can
do these below mentioned things: -
I. New: - It helps to open the new blank document or to create the
new MS page.
ii. Open: - It helps to open the existing files which we saved
before. We can open the existing file and can edit those files too.
iii. Save: - This tool inside file help to save the created
document in device or any other place where user want to save
it.
iv. Save as: - The ‘save as’ feature allows users to create a new
file based on an existing one. It save the copy of original file
under a different name or in a different location, preserving the
original file while allowing modifications to new version.
v. Print: - This tool of File allow the user to control how the
document will be printed, where it will be printed and what will
be printed.
vi. Share: - The ‘share’ button or tab share the document at any
social media form. It also give them permission to edit and
change the document while sharing to the person.
vii. Export: - This tab generates a formatted Microsoft word
representation of a project, package, or folder. The export allows
user to quickly generate stylish tabular outputs, or repeated
output.
⮚ Home: - ‘Home’ is also known as formatting tool bar.
This tab contains the most commonly used document controls: like
Fonts, Paragraph, Styles, Find, Replace, select and editing.
We are now explaining about the tool which is inside home. The
‘Home’ is formed by the combination of font, paragraphs, styles,
editing, find, replace, cut, copy, paste, format printer.
The ‘Home’ is divided into five categories: -

Fonts
Theme font: - : This formatting tool bar most common tool change the
text style by changing custom spacing and design. The famous font style

vii. Bodoni
viii. Roslindale

Font size: - The font size helps to improve readability. It is essential for
formatting and improving readability. It is essential for formatting and
improving readability. It change the small text/ comprehend to bigger
size or vice versa according to bigger size or vice versa according to the
need of the user.
Italic: - The common tool of formatting tool bar help to emphasis or
contrast the part of a text. This tool used to draw attention to some
particular part of a text. It is mostly used to denote titles and names of
particular works that give extra emphasis in writing.
Underline: - The main function of this tool is to underline the particular
text or paragraph which is more important than others. Simply called to
put a line under some text.
Subscript: - This tab type very small letters just below the line of the
text.
Superscript: - This tab type very small letters just above the line of the
text.
Strikethrough: - The ‘strikethrough’ tab cross something out by
drawing a line through it.
Text Highlight Color: - This tab allow the user to text pop by
highlighting it in a bright color.
Font Color: - The ‘Font Color’ tab change the color of the font or the
text of the documents.
Change Case: - This tab change the selected text into uppercase or
lowercase as per demand of the user.
Paragraph
In inside ‘Home’ tab the paragraph contains these tools.
Alignment; Alignment is the position of text, in a computer. It determines
the appearance and orientation of the edges of the paragraph.
There are four type of alignment. They are also explained below:-
i. Right Alignment: - This alignment is also called Right-aligned
text. This is the text that is aligned with a right edge only.
ii. Left Alignment: - This alignment is also called Left-aligned text.
This is the text that is aligned with a left edge only.
iii. Centered Alignment: - This alignment is also called Center aligned
text. This is the text that is aligned centrally between two edges.
iv. Justified Alignment: - This alignment controls the spacing between
words. A justified text increase the space between words to fill the
entire line so that it is aligned with both the left and right edges.
Bulleting: - The main function of bulleting is to organize and present
information in a clear and concise manner. Bullets are typically used to list
items without any particular order or hierarchy.
Numbering:- The main function of numbering is also same work as bullet
which provides clear and concise text but it indicate a text or sentence as
specific order or sequences like hierarchy(1,2,4,-------)
Decrease Indent: - This tab make the paragraph closer to the margin.
Increase Indent: - This tab make the paragraph farther to the margin.
Line and Paragraph Spacing: - This tab choose how much space is
appears between the lines of the text or between paragraphs.
Shading: - The ‘Shading’ tab change the color behind the selected text,
paragraph or table cells.
Sort: - This tab arrange the current selection in alphabetical or numerical
order.
Borders: - This border tab helps to select or delete the border as per the
requirement of the user.
Styles
A style is a set of formatting characteristics that a user can apply to text,
tables, and lists in the document to quickly change their appearance. When
we apply a style, we can apply a whole group of formats in one simple
task.
The different style that is in Microsoft are mentioned below: -

Editing
Using the editor feature in Microsoft Word can help to elevate writing to
the next level. It allows user to make changes to a document.
Find: - This tab helps to find the words which user want to find without
wasting the time. This tab helps to save our time and make our work
faster.
Replace: - The ‘Replace’ tab search for the text that the user like to
change or replace it with something else.
Select: - It select text or objects in our document. This is particularly
helpful for selecting text with certain formatting or objects that are behind
the text.
Clipboard
It is temporarily copied holding place. The copied data remain until we
copy something else or shut our Computer/ System.
Cut: The cut command remove the selected data from its original position,
and the copy command creates a duplicate; in both cases the selected data
is kept in temporary storage called Clipboard.
Copy: The copy command copy the text, words or the whole document to
paste it to the place. The copied document is stored in the clipboard.
Paste: The Paste command paste the document or the text that is already
copied in a clipboard.
Format Painter: - This tool is used to quickly apply the same formatting
such as color, font style, and size, border to other text from the existing
text. This tool copy and paste the character from previous text to next text.
⮚ Insert: - The insert tab is tab next to the Home tab in Microsoft
Word. This tab has a lot of useful features that will let user to insert
like tables, word art, hyperlinks, symbols, charts, signature line, date
and time, shapes, header, footer, text boxes, links boxes equation, and
so on.
Simply, the insert tab contains various items that we may want to
insert inside into a document.
The insert tab is divided into five categories: -

Table
The table is the combination of rows and columns. The ‘Table’ tab allows
the user to pick the numbers if columns and rows of the desired table in
the document. By dragging our mouse over the highlighted area we can
select the rows and columns that we would like. We can also choose the
design of the table.
Illustrations
The illustration tab contains Picture, ClipArt, Shapes, SmartArt and charts.
Picture: - We can insert a picture from the device into the document
through this tab. While inserting the picture it also provide the feature to
edit the picture.
Clip Art: - This tab insert drawings, movies, sounds, or stock photography
to illustrate a specific concept into the document. This Art also help to
insert the logo of the company or organization too.
Shapes: - The ‘Shape’ tab provides different shapes to make any logo
design, or any other objects or information by using different shapes. This
is mostly used to insert readymade shapes such as squares, circles and
arrows.
SmartArt: - This tab helps to insert the SmartArt graphics to visually
communicate information.
This command also help to make Venn diagram and complex graphics.
Chart: - It make easy to spot patterns and trends in the data by inserting
the bars, area or line chart.
Screenshot: - This tab quickly add snapshot of any document that is open
any desktop of the user document.
Header and Footer
Header and footer are important items to add to the document to give them
a professional look or feel.
Header: A header could have information on the document title, author
name, version number etc. A header is useful as it help user to repeat
content at the top of every page.
Footer: A footer is useful as it help user to repeat content at the bottom of
every page.
Page Number: The ‘page number’ tab allows the user to see the page
number of their document.
Text
Text Box: This tab brings focus to the content by that showcasing
important texts such as heading and quotes. We can select the text box by
dragging to the document when it is needed.
Quick Parts: The quick parts is mostly knows quick part gallery. It is the
list of phrases, text sentences that the user had saved for their quick
access. We can insert an item from the quick part into our document while
it is needed to save our time.
WordArt: The ‘WordArt’ tab is most common used in MS word. The
WordArt is used to design the font which is used in any text to give the
flavored to the document. We can also create style while using the
WordArt to give decorative effect to the document.
Drop Cap: This tab allow to give capital letter at beginning of the
paragraph or the text or the document.
Signature Line: This tab give a line which is important for the text to
show the specific line of the text.
Date and Time: This command insert the quickly date and time in our
text.
Object: The object tab insert the embedded object which is already
existed in another file that allows to insert in the writing document.
Symbols
Equation: The command add common mathematical equations to the
document such as the area of the circle (l*b), quadratic equation formula,

own equation using the library of math, symbol and structures.
Symbols: This command helps to insert symbols that is not in our
keyboard or in our system. It contains different mathematical symbols
currency value etc.

The design tab provides format themes, backgrounds, color schemes, page
borders, etc. for the document. User can change the title color, paragraph
color, and background color by picking the new style set of Design tab.
It also contains:
Paragraph Spacing: - This tab quickly change the line and provide space
which user wanted in their text.
Page Background
Watermark: - It add ghost text such as “confidential” or any word that is
behind the document.
Page Color: - This tab add splash of page color in our document or
change the color of our document.
Page Border: - The ‘Page Border’ add the border in the page or change
the border if the page.
⮚ Page Layout: - The ‘Page Layout’ holds all the options that allow the
user to arrange the document pages just the way the user want it. We
can set margins, control of page orientation and size, add section and
line break, displays line numbers, and set paragraph indention and
lines.

Margins: - It set the margin sizes for the entire document or the current
selection.
Orientation: - It change the orientation of the whole document. (Portrait
