Formal Letter
Definition : A Formal Letter is a letter written from one
individual to another or between different parties with an aim of
applying for a job, apologies, recommend a person, inquiry of
information and other queries. Formal letters are written in a
concise manner as the subject topic is addressed.
Generic Structure Of
Formal Letter
1. Address Heading
This is the writer’s full address. Business letters usually have
preprinted, letterhead stationary which contains this information.
An address heading is optional for informal letters.
2. Date

This is the month, day and year that the letter is written on.

3. Inside Address

The recipient’s full name and address. Generally, informal

letters do not include an inside address.


4. Attention

With formal letters, the "Attention: [full name of recipient]" is placed

two spaces below the inside address.

5. Greeting

Also known as the “salutation,” this is the introductory phrase, “Dear

[name of recipient].” Either a comma or a colon can be used at the end

of this phrase. Today, a comma is more extensively used, with the

exception of the use of a title only, not a proper name. (i.e. “Dear

Member:”). In this case, the use of a colon would be more appropriate.


6. Subject Line
A word or phrase to indicate the main subject of the letter,
which is preceded by the word “Subject:” or “Re:” (Latin
for “matter”). Subject lines may be emphasized by
underlining, using bold font, or all capital letters. They
can be alternatively located directly after the "inside
address," before the "greeting." Informal or social letters
rarely include a subject line
7. Body
The complete text of the letter; the subject matter content.

8. Closing
This is the farewell phrase or word that precedes the
signature and is followed by a comma. (examples: “Best
regards,” “Yours truly,” “Sincerely,”)
9. Signature
The signed name of the writer. Formal or business letters include the
full name of the writer printed below the signed name and most often
include the writer’s title and/or professional designations.
10. Postscript
Is a brief sentence or paragraph introduced by the initials, “P.S.”
(“post scriptus,” Latin for “after having been written.”) It implies that
the writer, having completed and signed the letter, had an after-
thought. Although this is still commonly used in informal letters, it is
not widely accepted for use in formal or business letters.

11. Notation
Part of a formal or business letter consisting of brief words or
abbreviations as notations.

Definition : Informal letters ia a letter written for similar
reasons but are usually written to people you know. Like
your friend, your sister or brother, your mother or your
father, your boyfriend and many more.
Generic Structure Of
Informal Letter
1. Address Of The Sender
Example : Sedap Malam Street, No. 14 Surabaya
2. Date Of Writing The Letter

Example : Augst, 21th 2014


3. Greetings And Name Of The Recipient

Example - My Dear Kathy, or Dearest Mom,


4. Introduction

This is the opening of the letter and should start with a 'How are
you?' or 'How are things?'. This is also the right place to
acknowledge the previous letter/gift or apologize if you have replied
late.
Example : Hello. How have you been? It's been so long since I've
heard from you. I was chatting with Ruth the other day, and heard
from her that you have moved to New York. How's it going there?
5. Body

This is where you write the message - write about what is happening in your school or
home. Write in a relaxed, easy manner, like you speak. Write in several paragraphs, so it
is easy for the reader to understand. Also, remember, as you are writing and not typing,
the paragraphs have to be indented i.e., start writing after 5 spaces on the left hand side
when starting a new paragraph.
Example :
Our school has just started with the drama classes and this year we are producing, 'The
Legend of Sleepy Hollow'. It is a fun, hilarious story and I'm hoping to bag the part of
Brom Bones. I'm so excited, and working hard. I read the lines at least twice daily, to
perfect my diction. But need help with the expressions and would like some help from
you. Can you make it on Saturday at my place?

Listen, did I tell you about my new neighbor?....


6. Closure
This part indicates that the letter is going to end and you may also
ask the recipient to respond here.
Example :
I have to stop writing now. Aunt Alice is coming to pick me up in
half an hour. Do write soon and give my best wishes to your parents.
