Give users access to apps

Which user management experience do you have?

Go to Atlassian Administration. Select your organization if you have more than one. You can identify which user management experience you have by checking where your Users page is located.

Give app access to a user so they can collaborate with other users in your apps. If the user isn’t in your organization, invite them to your organization first.

Sometimes multiple users in your organization need the same access to apps. You can manage their access together by adding these users to a group and assigning app roles to the group. Read about groups

Atlassian Cloud organizations can also configure other ways for users to get access to your apps with user access settings.

How app access works for Atlassian Government Cloud

Atlassian Government Cloud organizations should provision users from an identity provider and follow the steps on this page to give app access to a group.

Jira Service Management portal-only customers

Jira Service Management portal-only customers aren’t licensed users. You can't give portal-only customers access to apps, regardless of your access settings. Read about managing Jira Service Management customers

Give app access to a user

Who can do this?
Role: Organization admin, user access admin (only for the app they administer)
Atlassian Cloud: All plans
Atlassian Government Cloud: Manage from identity provider

To give app access to a user:

  1. Go to Atlassian Administration. Select your organization if you have more than one.

  2. Select Directory > Users.

  3. Select the user.

  4. Select Grant access to see a list of apps in your organization.

  5. Select a role for the app the user needs access to.

  6. Select Update access.

Default groups that give access to more than one app

When you give app access to a user, we add them to the default group for that app. If the default group for an app has been modified to also give access to other apps, a user access admin for that app only won’t be able to give users access to that app. This is so the user access admin doesn’t inadvertently give access to other apps they’re not allowed to manage. The user access admin can still give users access to the app they administer by adding them to another group that has access to that app.

To give app access to a group:

  1. Go to Atlassian Administration. Select your organization if you have more than one.

  2. Select Directory > Groups.

  3. Select the group.

  4. Select Add app to see a list of apps in your organization.

  5. Select a role for the app the group needs access to.

  6. Select Update access.

To give multiple groups access to the same app:

  1. Go to Atlassian Administration. Select your organization if you have more than one.

  2. Select Apps.

  3. Select Manage App for the app that your groups need access to.

  4. Select Add groups. Search for the groups and select one or more roles.

  5. Select Add.

Give anonymous users access to apps

You can give anonymous users access to Confluence, Jira, or Jira Service Management. Anonymous users are people who aren’t logged in. They don't count towards your plan.

  1. Go to your site's Admin at admin.atlassian.com. If you're an admin for multiple sites or an organization admin, click the site's name and URL to open the Admin for that site.

  2. Select the user.

  3. Turn on the toggle next to the app the user needs access to.

Give app access to a group

Who can do this?
Role: Organization admin, site admin
Atlassian Cloud: All plans

To give app access to a group:

  1. Go to your site's Admin at admin.atlassian.com. If you're an admin for multiple sites or an organization admin, click the site's name and URL to open the Admin for that site.

  2. Select Groups.

  3. Select the group.

  4. Select Add app to view a list of apps the group doesn’t have access to.

  5. Select a role for the app the group needs access to.

  6. Select Add.

If you don’t see the app in Add app, the group may already have access to that app. Check Group app access in the group profile and change their role if you need to.

To give multiple groups access to the same app:

  1. Go to your site's Admin at admin.atlassian.com. If you're an admin for multiple sites or an organization admin, click the site's name and URL to open the Admin for that site.

  2. Select App access.

  3. Find the app that your groups need access to and select Add group.

  4. Search for the groups, then select Add groups.
