Major goals of project:


This application software is used to automate the transactions between the head office and the
franchisees. The software must also provide real-time communication between two franchisees or
the controlling office over Internet. This software will be used both at the controlling office and the
franchisee centers. The software will cover Enrollment, Course fee collection, Course fee
Remittances, Material allotment, Report generation and Chatting. The software has to register new
enrollments, accept the course fee collection details such as receipt number, amount, date of receipt
etc and store those details at the head office's centralized database. The application is required to
maintain franchisee details such as business partner details, courses allowed to run, agreement
validity etc.
To integrate educational institutions are having a network of offices/ franchisees onto a
single platform, irrespective of geographical boundaries to facilitate easy monitoring and
reporting to one nodal head.

Basic management of a franchise system


Managing a franchise system requires skilful technique and a great deal of carefully thought out
planning. The most effective franchise models utilize the following elements of business:

Technology in todays business marketplace, it is essential that a franchisor


embrace the tools and systems available to them from a technology standpoint. With
ever-increasing technological capabilities and standards, great technology is
available at a fraction of the price for most Franchisors. Franchise Marketing
Systems has an array of partners and referrals for literally every element of
franchise-related technology.
Professionalism - having spent a great deal of time working with entrepreneurs and
working with literally hundreds of small business owners, we have seen our fair
share of unprofessional business acumen. It is understandable that most small
business people live life on their own terms and have a great deal of pride in what
they have accomplished. The tricky element of franchising is that now the business
owner will need to be polished, professional and always have their best foot forward
when dealing with franchisees. Franchise owners do not have the personality or the
conviction that most entrepreneurs do, if they see a crack, they will assume the
foundation is crumbling. As a Franchisor, you cannot overlook the small stuff.

Partnerships Everyone loves a discount and a Friend in the Business. It is a


franchisors responsibility to find what needs the franchisees have on a regular basis,
and then research what resources there are to assist with those needs. This comes by
way of strategic partnerships and alliances with outside vendors and companies. If a
franchise system is utilizing a large amount of printed materials, the franchisor better
find a quality printing partner for example. These partnerships and alliances are great
ways to continually add value to the franchisees business and will undoubtedly
harbor happy and secure franchisees.

Communication As a big powerful franchisor, it can sometimes be easy to forget


about the other side of the coin. A franchisee typically will have a much different
perspective on things than the franchisor does. Good franchise management requires
looking at scenarios and situations from all angles and taking those into account
when making impactful decisions. Good Franchisors are on the phone with their
franchisees and have a relationship with them outside of the legal bindings of the
UFDD. Never assume that a franchisee is going to be good to go for the life of the
term because their signature is on the agreement. Picking up the phone is a great way
to manage relationships with franchisees.

Problem Definition:
An educational institute which is having several franchises throughout the city finds it difficult to
communicate between one another and with the head office. It results in delay of taking decisions
regarding meetings, issuing of material, payment of fee, etc.
Maintaining of franchise details is complex in manual system in terms of agreements,
royalty and activities. This all have to be maintained in ledgers or books. Franchise Coordinator needs to visit each franchise for small information also. So that communication
between franchise and Franchise Co-ordinator is difficult.
The franchisee faces many difficulties in following the existing system.

Modules Involved:
The proposed system categories and follows these modules to implement
Login component
This module consists of Login ' details along with changing password or new entry .
Administrator(Head office manager)-This module caters various activities of the Manager
at the head office . As administrator the Manager has privileges for approval /rejection of a
students admission at any franchise center. He has the privilege to issue course material for
all the courses to the franchise centers at a cost.
Franchise Manager-In this module, Franchise need to register. When the new Franchise is
register, one Co-ordinator is assign to the Franchise by the Head Office who takes care about
the Franchise business like what are new courses offered etc.
Student-When the student takes the admission in the Franchise .Franchise Manager need
to send the details of the students to the Head Office for the Processing of Placements,
Exams etc.

Fee Details-When Franchise is offering any courses there is some course fee fixed for the
course. According to the course selected by the student Franchise sends the fee details to the
Head Office. When the Head Office got the fee details of any student on the basis to the fee
details they provides the material to student.
Exam Details-After the completion of the course Franchise will keep the exam and send
the exam details to the Head Office where Head Office management evaluates the paper and
send the result as well as Certificates to the center.

Accomplishments:
The goal of the system is to bring down the work load with the increased efficiency and to speed up
the activities. With this it is very easy to process course fee that is collected time to time from
students who are registered and studying at franchisees. This system will help controlling officer to
monitor the performance of franchisees at any point of time.
The proposed system provides real time communication between the users irrespective of
geographical boundaries. The users can communicate effectively over a certain topic
without having to meet in personal. It serves as a fine alternative to face-to-face conferences.
The product will facilitate:
Retrieval and access of data is easy.
Paper work is drastically reduced.
Optimum Results can be achieved.
Duplication of work is avoided.
