Pre and post migration guide
for schools

October 2012

Migration overview
During Semester 2 2012, schools using Joomla web content management system for
their school websites will participate in an upgrade from Joomla version 1.5 to 2.5. This
document will guide you through:

Your options if you dont want to migrate


Whats new in Joomla 2.5
What will be migrated
What wont be migrated
What you need to do before the migration
What you need to do after the migration
Making your new Joomla site live
Help and Resources

It is suggested that your school has one school website administrator who will essentially
own the school website. However, it is also strongly recommended that several people
are involved in the pre and post migration tasks so as to ensure schools avoid having
only one person with the knowledge on maintaining the school website.
Your school website administrator, and others involved in this migration, should sign up
to the Joomla Discussion List. This list comprises of other school Joomla users and will
provide a valuable source of help and support throughout the migration. Important
information regarding this migration, including dates when each region will have their
new 2.5 sites installed, will be sent via this Discussion List. To find out which region your
school is in, search for your school under OnePortals Schools/Org Units directory.

Important note:
From the date of your regions migration onwards, you should only use your new 2.5
school website. Any hyperlinks you have saved to the backend login for your current
1.5 site should be deleted. The risk? Any new content added to your Joomla 1.5 site
since the migration will be lost once your 2.5 site is made live.

I dont want to migrate. What are my options?


If you do not want to participate in the Joomla migration, you can sign up for the new
Websites for Schools initiative.
The Websites for Schools initiative offers state schools a free and easy solution for
creating and managing a public school website - providing useful information for current
and prospective parents, and community.
More than 35 per cent of Queensland state schools have already signed up to learn how
to create, manage and publish their own professional-looking school website.
Participating schools follow a structured training program, where they learn the latest
web publishing skills and techniques. Schools can attend live workshops via iConnect
web conferencing, self-paced online modules, or a combination of both formats.
Schools can join the initiative at any time and can work at their own pace. Some schools
have completed the training program and created the site in less than a week. Watch

Whats new in Joomla 2.5


There are minimal visible changes between Joomla 1.5 and 2.5. The most notable
change is the removal of Sections. Categories is replacing the functionality Sections
provided.
Other differences include:
The sitemap extension JooMap is no longer available in Joomla 2.5, and a new
component XMap will be used in its place.
The Remository component is no longer available in Joomla 2.5. In its place will
be Phoca Download.

What will be migrated


Core
The Core consists of all the elements that are standard with a Joomla installation. These
include:
categories
sections
content (articles, blog entries etc)
users / groups
menus
messages
newsfeeds
polls
contacts
JEvents
The JEvents component has been retained in the new installation; all calendar events
will be migrated.
JooMap -> XMap
The sitemap extension JooMap is no longer available in Joomla 2.5, and a new
component XMap will be used in its place. No migration of information is required for
XMap as it works dynamically with the content already in your site.
Remository -> Phoca Download
The Remository component is no longer available in Joomla 2.5. In its place will be
Phoca Download, and all content from Remository will be migrated to the Phoca
Download component.
Phoca Gallery
The Phoca Gallery has been retained in the Joomla 2.5 install.
Templates
If you are using one of the standard templates for the theme of your website in its
original format, this will remain the same between 1.5 and 2.5, however school website
managers should still review and edit any font or formatting changes that may be
required.
If your template is customised in any way (meaning youve adapted one of our standard
templates or youve used a completely different template), this may be reverted back to a
standard template for the migration and you will need to make any customisations
afterwards.

the Web Publishing for Schools website.

What wont be migrated


Forms
Although the BreezingForms component will be retained, there will be no migration of its
content due to the high complexity of forms systems and the high likelihood of errors.
SWMenuFree
The animated menu module SWMenuFree will not be migrated. Joomla now provides
the ability for animated menus by default.
Templates
As stated above, any customisations to templates cant be migrated. These
customisations will need to be reapplied after the migration.

Pre-migration tasks
Clean up tasks
It is anticipated that schools will review their online content and delete any old pages,
images, menu items, gallery images and files (in the file repository) that they dont intend
on reusing. This will make your migration easier if there is less content to review PostMigration.
Forms
As stated in What wont be migrated section, BreezingForms content is unable to be
migrated. Therefore, you should make a note of any Forms currently being used in your
1.5 site so you can recreate them in your 2.5 site.
SWmenuFree
As stated in What wont be migrated section, The SWmenuFree module will not be
migrated. However, the menu structure within the Menu Manager will be migrated to your
2.5 site. Any unused menus should be deleted to prevent them from being published on
your 2.5 site.

Post-migration tasks
Reviewing your 2.5 site
It is important to note that once your current website has been migrated to a 2.5 version,
your original 1.5 site will still be active. This gives you time to make sure that the website
is functional and tidy before making your 2.5 site live. This means that any new content
added to your Joomla 1.5 site since the migration will be lost once your 2.5 site is made
live.
Once logged in to your 2.5 site, you can begin the final touches before making it live.
This may include fixing any formatting issues, recreating any content that wasnt able to
be migrated over, and changing your website template (if desired).
Access to your Joomla sites will be through the following URLs using your normal
username and password. See your MIS Administrator if you need a password changed.
Joomla 1.5:

http://<your-school-domain>.eq.edu.au

Joomla 2.5:

http://<your-school-domain>.eq.edu.au/newjoomla/

Your 2.5 Joomla site URL will become available after your region has undergone its
migration. A migration timetable can be viewed later in the document.
Forms
Due to the inability to migrate BreezingForms, any forms in the old Joomla 1.5 site will
have to be manually recreated by the school in the new Joomla 2.5 site.
Menus
As the SWmenuFree is no longer in use, the menu structure of your 2.5 site should be
compared to your 1.5 site. Ensure all menus have been created and any unused menus
remain unpublished.

When youre ready to make your 2.5 site live


The swap to turn off your 1.5 site, and make your 2.5 site live will occur 3 weeks after
your region receives its 2.5 installation. This means you have 3 weeks to perform all
Post-Migration Tasks. Refer to the table below and note the period to get your new
site ready.
Soon after the date of your regions swap, access to your original Joomla 1.5 will no
longer be available, and your main school website URL (http://<your-schooldomain>.eq.edu.au/wcms/) will point to your new Joomla 2.5 website.
