A Brief on BPO Process [Non Voice]

at Elsoft Technologies (P) Ltd.[ETPL]

What we Accomplish at ETPL?


Elsoft is an IT/ITES / BPO Company located in Bangalore, globally
recognized as Silicone Valley of India operating for the for the past
Fifteen (15) years and is serving its clients globally with various BPO
activities [Non Voice] as listed below.

Data Conversion
Data Conversion is being done on various Inputs (hard copies) received
such as

1. Pre Printed books


2. Hand Written Manuscripts
3. Scanned Images
The above inputs are converted into softcopy (doc/rtf/txt/xls/etc) by a
double keying process.
At times the soft copies are also received which goes directly for data
conversion.
Subsequent process like Quality Check [QC] and Quality Assurance [QA]
are carried out on this data to ensure highest quality output of 99.98% as
per International Standards.

Why Data Conversion:

To have a centralized access to the documents and data can be


preserved for years for future use.
XML
XML [Extensible Markup Language] Conversion is done on t he inputs like:

1 Pre Printed books/PDF


2 Hand Written Manuscripts
3 Scanned Images
4 Soft copies
When an input is supplied in any non editable format (such as hard copies
or scanned images) it is first converted to soft copy using the data
conversion methods.

The softcopy is then hard coded with XML tags as per the DTD (Document
Type Definition) supplied by the client.

Why XML Conversion:

The XML files enable us to publish in web media with the help of CSS
[Cascade Style Sheet] or XSL [Extensible Style Sheet]. These files can also
be used in Print Media through some intermediate software (i.e.
3B2/Indesign/Frame Maker/Arbor Text) for Type Setting and create a print
ready PDF.
Type Setting
The inputs mentioned below are used for Type Setting.
Type Setting has various processes like
Copy Editing, Specification, Pagination, Technical Editing.

A brief is given below.

1 Pre Printed books/PDF of previous edition


2 Hand Written Manuscripts
3 Scanned Images
4 Soft copies
Copy Editing is performed on the input files either on hard copy or on the
soft copy supplied by the Client.
When an input is supplied in a Non editable format (i.e. Hard copies or
Scanned images) it is first converted to a soft copy by using the data
conversion methods and Copy Edition.

Specification for typesetting is either supplied by the client or ETPL creates


a specification from the supplied input and the same specification is sent
to the client.

Pagination: A template is created from the supplied specifications and


the pagination is done accordingly as per the requirement of the client.
If the book is published only in Print Media ETPL uses the text files directly
into the pagination software such as QUARK/INDESIGN.
If the book is being published both in print and web media then as a first
step, XML file is created and then paginated using softwares like
3B2/ARBOR TEXT/FRAMEMAKER/INDESIGN.

Technical Editing: Paginated files would undergo one to one proof


reading and also technical editing is performed to give a high level of
accuracy of data in respect of the content and the styles.
When all the necessary corrections are carried out as defined by the
Technical Editing department , Print PDF [Portable Document Format] is
created and supplied to the Client.
Scanning & Image Processing

Elsoft is having exclusively a dedicated team for Scanning and Image


Processing.
ETPL has a vast experience in scanning bulk documents, merging/splitting
& indexing of documents.
ETPL has handled large volumes of document scanning for Educational
Institutions like Secondary Examination Board and Common Entrance Test
Cell.

Recreating the images, cropping or re labeling are also done for various
purposes.

OMR Scanning:

OMR [Optical Mark Recognition] is normally carried out in all Pre-


Examination and Post Examination processes for Educational Institutions,
Recruitment Organizations, and Universities. OMR technology gives 99.98%
accuracy with out human interference as the documents are scanned
using OMR scanners and these scanners are specially manufactured to
scan the shaded portion of any sheet designed using OMR specifications.

ICR Scanning:

ICR [Intelligent Character Recognition] is again carried out in all Pre-


Examination work for Educational Institutions, Recruitment Organizations,
etc. Here the process is 1st the document is scanned using normal
document scanner and converted as an image file. This image file is
extracted using ICR software for data extraction;
Manual verification is done here to ascertain the data extracted is
perfect. This technology is not fool proof one and other quality checks at
different levels are done.
Data Entry

The Input forms like

o Mediclaims,
o tachographs,
o Account payables, etc
are considered for data entry purpose.

The input received as scanned images are processed through an in house


developed software to display the images and also make a provision for
entering the data as required by the client in the formats like
DBF/MDB/etc)

The data entry projects are completed within the given time frame from
the clients with high accuracy.

The data entry consists of a double entry system & comparison of these
files to give a quality file assuring for the accuracy of the data furnished.
Web Content Management
Web Content Management has become a become a hot project now
and ETPL is managing the content for Two major international companies.
There is a huge demand for the web content management activity world
wide.

ETPL has built in-house specialized tools to automate the entire process.

Creation of Business based web sites enables the net browsers to get the
required information with ease & minimum search at these sites.
