HTG - How to restrict users from accessing certain companies or sites in Sage X3
Note: These instructions were made on a PU9 system but should apply for other versions as well. Some fields
may be named differently and may appear in different areas of the software.
Scenario: A user sees these sites. You want to restrict user from seeing highlighted accounts below.
1. Log into X3 as an admin, into Setup, Users. Locate and click to select the user in question.
2. Click the action icon for the Function profile field. (for v6 and lower, click
Function profile)
3. Uncheck All authorized functions if option is checked. (for v6 and lower, select the Profile code first)
4. Click Authorizations on the right panel. (This option only becomes available when All authorized
functions is unchecked. For v6 and lower, click Profiles)
5. Click Addition on the right panel.
6. On the left panel, select which area in the software you wish to apply these restrictions. You can apply
restrictions to all areas in the software by checking all selection boxes, or you might apply these
restrictions only to Sales for example, but still want to enable it elsewhere.
7. In the Type field, choosing Site grouping allows you to select an entire company. (i.e. all the DE20 sites
such as DE021, DE022, DE023 etc.). Choosing Site allows you to select individual sites.
8. In the above scenario we want to restrict access to the DE20 company (in Sales, Purchasing and Stock)
so we choose these options. Be sure to uncheck Access and Options to actually restrict access.
9. Do the same for the ES20 company.
10. In the above scenario, we want to also restrict the individual sites AO022 and AU022, but only for Sales
and not for other areas. To do this, use the following options:
11. Log into Sage X3 in as the restricted user. When creating a sales order (Sales, Orders), these sites are
the only ones available. The previous restricted sites will no longer show up.
12. While logged in as the restricted user, go into Purchasing, Invoices. You will no longer see the ES20 or
DE20 company sites, but will still see AO022 and AU022, which was only restricted in Sales, but not in
Purchasing.
