Instructions to the students:

Student instructions
 keep the required templates, policies and planning documents ready to perform the task
 please read the instructions on the task documents prior performing the task
 Inspect the Task area where the Task is to take place to ensure its available, clean and tidy and free of
hazards/ risks
 Use language and terminology that the staff will understand
 Use an appropriate pitch and tone
 Use appropriate body language
 Encourage the students to ask questions
 Each assessment tool should require an assessor to provide feedback to the learner, both where
competency has been demonstrated and where further evidence is required. Providing feedback shows
fairness in the assessment process and allows a learner to understand why a result was awarded.
 This Assessment tool is to be conducted at an agreed date with your assessor.
 You have to answer all questions correctly to be satisfactory in this assessment.
 Your assessor will provide opportunity to clarify any part of the assessment requirements. Ensure that
you clarify any part of the assessment requirements with your assessor prior to attempting this
submission.
 For your performance to be deemed satisfactory in all parts, you must satisfactorily address all the
assessment criteria. If part of this task is not satisfactorily completed you will be asked to complete
further assessment to demonstrate competence.
 Your assessor will observe your performance of activities in the assessment
 Submit all records to your trainer/ assessor on completion of the assessment task.
 At the conclusion of this assessment tool your trainer/ assessor will provide verbal and a written
feedback.
 Plagiarism rules of this College need to be observed. Your assessor will discuss this with you prior to
commencement of the assessment.

Assessment context
This assessment will be conducted using in a simulated context using the real business, which is a consulting
company offers a range of specialised services in traditional learning and development, industry training and
development and in business systems, processes, quality and compliance. MIVS is struggling with the shortage
of consultants as its business is growing fast. At the same time MIVS also want to launch some new training
products as a growing demand of industry. Their website is www.mivs.edu.au .

You are working as an Administration Manager at MIVS and you have to make a meeting agenda aligned with
above stated business struggle taken as the meeting purpose. Your objective is to develop Meeting Agenda for
the meeting and make preparation for meeting.
While developing the agenda please follow the following meeting style and format for the purpose of the
meeting:
 Meeting shall be formal
 Meeting shall explore how good preparation and an effective chairperson will contribute to the success
of a meeting, giving a sense of direction or purpose in the agenda circulated
 Meeting shall be productive to achieve the meeting objectives
 Meeting shall be successful and provide help and advice to enable you to get the most out of the
meetings you're involved with.

You will also identify meeting participants and detail the reasons they should attend the meeting, notify and invite

them to attend meeting by dispatching meeting papers to all participants 2 days before the meeting according to
MIVS’s meeting policy procedures. You will also make the following arrangements for meeting:
 The convenience of the place.
 The size of the room. It should not be too large or too small.
 The seating arrangement and the availability of extra seats if needed.
 The lighting, heating, and ventilation.
 Any visual aids required and their proper use.
 Availability of extra paper and pencils.
 The need for name plates or name tags.
 Need of catering if required.

When undertaking this Task, you are to complete the following:


Preparation instructions to the student
 Ensure you have the required Meeting Agenda-Template printed.
 Ensure you have read the Reading Material supplied to you during the first day of this unit.
 Check with your assessor to seek the meeting policy procedures of MIVS (Appendix A).
 Confirm the assessment requirement with you assessor
 Inspect the meeting area where the task to be performed to ensure it is available, clean and tidy and
free of hazards/ risks
 You are required to perform the following tasks as a practical assessment. You will be observed by the
Assessor while performing the tasks.

Practicals Tasks:

 Develop the Agenda for meeting in line with purpose of meeting


 Make sure that you selected correct style and structure of meeting as stated in assessment context and
appropriate to purpose of meeting.
 Conform meeting arrangements required for conducting a meeting.
 Identify participant for meeting to notify and invite them by sending formal invitation with meeting agenda
within designated line.
