Chapter Two Literature Review

This chapter discusses the literature review and background study of the gym management system project. It focuses on studying existing gym management systems to identify problems and determine the best approach. The existing system requires extensive manual work that is time-consuming and prone to errors. The proposed system aims to automate processes to reduce manual work and ensure data is securely synchronized across all user devices in real-time. It will go through phases including defining problems, conducting a feasibility study, and selecting appropriate front-end and back-end software.

CHAPTER TWO

LITERATURE REVIEW

2.1 INTRODUCTION

This chapter will discuss on the literature review and background study of the project. Literature
review is important to achieve successful system because it helps to identify problem that
occurred in existing system. Besides that, it also help to identify the best approach to achieve the
project goal based on the study. This chapter focuses on the study of system usability and
comparison of existing system. literature review is a text written by someone to consider the
critical points of current knowledge including substantive findings as well as theoretical and
methodological contributions to a particular topic. Main goals are to situate the current study
within the body of literature and to provide context for the particular reader.

2.2 EXISTING SYSTEM

In gym management system, if we take the current system and compare with the proposed it is
far behind. Every work in the existing is manual and done on the paper. There might be a
computer used somewhere for the work but it’s is not doing exactly it’s is supposed which is
reducing the manual work. Entering everything manual to the computer by creating a file is not
exactly we are talking in computerization.

The existing system requires a lot of manual work which results in taking more time than it
should. The operations like updating and synchronizing data are also done manually in the
existing system that is not automated and again time-consuming process. These practices are not
at all reliable as the one wrong entry can take a lot of time in detection and then there is a
correction. Humans are prone to errors and can mistakes often unless it has some inbuilt
programs which can take check the input and save from error.

We introduced the system to scale back the manual work effectively as there's the backend of the
system which can watch out of synchronizing and change of the information for the system. So,
if there's any amendment within the system knowledge it'll seem to all or any different users of
the system. So, if there is any change in the system data it will appear to all other users of the
system. As the system wasn't on-line the member cannot see their timeline that the event
generated by them in past like fee payment, attendance, batch temporal arrangement and trainer
profile etc. Keeping an automated system is also helps in managing the member’s information
secure and safe. As it can only be seen by the administrator with the correct credentials which is
not an option in the existing system. Unless the records are kept in a physically safe location
such as a locker

2.3 PROPOSED SYSTEM

In gym management system, after the planning and analysis phase of the system gets completed.
Then the next phase required to transform the collected required system information into
structural blueprint which will serve as a reference while constructing the working system.

It is a phase when most of the risks and error unveiled so it’s is good practices to take care of this
thing from the start.

This will be a completely fledged system which can be the backbone of the whereas management
of the gymnasium therefore ignoring the chance or error isn't associate possibility as later it can
create a larger style of itself. rrSo, it is better to minimize the problems faced by both staff and
the manager in the Organization.

The main goal of this project is to save paperwork done by the gymnasium thereby making the
data handling easier and more secure. The project is a simple and yet intelligent implementation
of the same paperwork in digital format. It handles minute details ranging from workout
performance of members to their diet plan, etc.

Phase I (defining a problem)

Defining a problem is one of the important activities of the project. The objective is to define
precisely the business problem to be solved & thereby determined the scope of the new system.
This phase consist of 2 main tasks. The 1st task within this activity is to review the organization
needs that originally initiated the project. The 2nd task is to identify, at an abstract or general
level, the expected capabilities of the new system. Thus, it helps us to define the goal to be
achieved & the boundary of the system. A clear understanding of the problem will help us in
building a better system & reduce the risk of project failure. It also specifies the resources that
have to be made available to the project. Three important factors project goal, project bounds &
the resource limits are sometimes called the project’s term of reference.

Phase II (feasibility study):

The first study aspect is whether the current project is technically feasible i.e. whether the
project be carried out with the current equipment, existing software and available personnel. If
new technology is required than what is the likelihood that it can be developed? The second
study aspect is whether the project is economically feasible i.e. are there sufficient benefits in
creating the system to make the cost acceptable. Are the costs of not creating the system so great
that the project must be undertaken? The third study aspect is whether the project is operationally
feasible or not i.e. whether the system will be used if it is developed and implemented? Project is
worth developing only if it can meet institutions operating requirements. The feasibility study
proposes one or more conceptual solutions to the problem set for the project. The objective in
assessing feasibility is to determine whether a development project has a reasonable chance of
success. It helps us to determine the input & output of the system. The following are the criteria
that are considered to confirm the project feasibility.
The following feasibility study was undertaken for the proposed system:

Technical feasibility:
At first it’s necessary to check that the proposed system is technically feasible or not & to
determine the technology and skill necessary to carry out the project. If they are not available
then find out the solution to obtain them. Hardware is already available in the collage.
Economic feasibility:
While considering economic feasibility, it is checked in points like performance, information and
outputs from the system. MS Access is available in one package of the windows operating
system & does not require additional software cost for the client tools. The cost incurred to
develop the system is freeware & does not incur the cost to the project. Backend database
technology is a freeware. This justifies economical feasibility of the system.

Social feasibility:

Although generally there is always resistance, initially to any change in the system is aimed at
reliving the work load of the users to extent the system is going to facilitate user to perform
operations like calculating salary amounts and deductions, generating reports with less possible
errors. Thus there is no reason to make system socially unfeasible.

Operational feasibility:

The operational feasibility is obtained by consulting with the system users. Check that proposed
solution satisfies the user needs or not. There is no resistance from employee since new system is
helpful. The existing system is manual system, while the new system is computerized and
extremely user friendly.

2.4 Research Case

The main case of this research is the development of a gym management system

Therefore the following sections will explain concepts related to the research case.

2.4.1 Gym Management System

According to Codecanyon.net, gym management system is an easy-to-use

management information system that manages data information and helps record
members and their memberships.

1. Registration

According to Merriam Webster dictionary, registration refers to the act or

process of entering personal (member) information in a system of public records. In

this case, the registration section of the gym management system will register any

interested personal who wants to be a member by entering his/her personal details

into the system.

2. Memberships Renewal

This section will be used in the gym management system for renewing monthly payments for
existing members and also updating any relevant information of the member.

3. Non-Member Transaction

This section will be used in the gym management system for recording daily

payments for those who are not members that use the fitness center from time to time

occasionally.

4. Attendance

This section will be assigned for recording daily attendance of anyone who

wish to use the fitness center at any given time. Whether it be a registered member ornon-
member, a daily record of the time and date he/she enters the fitness center and, the time and date
when he/she leaves.

5. Reports
This section will be used in the gym management system refers to a summary

records consisting of the members registrations, membership renewal, non-member’stransaction

and attendance.
