1 Introduction

1.1 Description

This document describes the steps required to install and configure the Belimed ICS 8535/ 8535-BC/
8535-BC Endo software system (currently Release 7). In principle, the installation base also applies to
the BRS (Belimed Remote Service system) to be setup in conjunction with the ICS or as an autonomous
installation.

The Belimed ICS 8535/ 8535-BC/ 8535-BC Endo enables the customer for documentation of the
sterilization and cleaning processes and allows traceability of materials to be sterilized at packing unit
level or, depending on the system configuration, of material to be washed level (Configuration: Belimed
ICS 8535-BC).

1.2 Definitions

Term / abbreviation Explanation


ICS Acronym for the Infection Control System.
This is the Belimed documentation system.

Cycle / Batch Sometimes cycle and batch are used interchangeably but this is not
accurate. Batch refers to the quantity washed or sterilized in the
machine process, whereas cycle refers more to the machine process
loop itself (start to finish then back to start) which is documented by the
ICS.
I.e. A nurse puts a batch of instruments into a machine for one cycle.

Data Logger PC A computer used to capture the process data and batch/cycle data of
the sterilizers and automatic cleaning machines in the SQLBase
database and to prepare for the batch documentation.

Belimed ICS 8535 Central Documentation System for the documentation of the
sterilization and cleaning processes.

Belimed ICS 8535-BC Central Documentation System for the documentation of the
sterilization and cleaning processes. The material to be cleaned and the
packed, labelled material (instrument screens, containers, screens and
baskets etc.) is loaded and linked to the process via the hand-held
Barcode reader connected to the sterilizers and cleaning machines.

Belimed ICS 8535-BC Endo Central Documentation System for the documentation of the
sterilization and cleaning processes, especially for endoscopy
machines. The material to be cleaned and the packed, labelled material
(instrument screens, containers, screens and baskets etc.) is loaded
and linked to the process via the hand-held BarCode reader connected
to the endoscopy machine.

BRS Acronym for the Belimed Remote Service.


This is a remote diagnostics solution for technical support in order to
access and analyze process and batch/cycle data from the sterilizers
and cleaning machines, including alerts and warning messages. For
USA only.

Term / abbreviation Explanation
ITS Instrument Tracking System – a third party software system that tracks
surgical instrument location and can interface with Belimed ICS
software. ITS software also describes tracking systems that can only
track surgical trays as well.

IMS Instrument Management System – Similar in function to an ITS but


offers additional functionality.

Implementation Implementation is the full process to installing the ICS / BRS software
which includes: Project Management, Hardware Installation, Software
Installation, Software Configuration, Validation, and Customer Training/
Inservicing.

Program parameters Program parameters (cycle parameters) are the parameters of a certain
program on a sterilizing or cleaning machine. They become effective at
program start and define how to control the running cycle.

Batch parameters In ICS terms, batch parameters are global parameters of a process
which has been launched on a sterilizing or cleaning machine. Batch
parameters have been defined on the machine and are transmitted to
the ICS Data Logger, like cycle header data.

RDT / RDG German acronym for Cleaning - Disinfection – Drying / Cleaning and
Disinfection Device.

ZSVA German acronym for the Central Sterile Supply Department.

CSSD Central Sterile Supply Department.

Machine A machine which is connected to the ICS may be a cleaning machine, a


disinfection machine or a sterilizer.

MST Acronym for Medical Sterilizers.

WD Acronym for Washer/Disinfectors.

CS Acronym for the Cleaning Station machines, also known as a Cart


Washer in some markets.

The ICS / BRS is a data logging system for capturing and documenting process data of Belimed
machines (washers / disinfectors / sterilizers). The entire ICS / BRS system has been designed to
operate as a closed system within the customer's infrastructure.

There is one ICS Data Logger PC (data acquisition PC which captures process data) and, on demand,
several ICS workstations (which document the stored cycle data).

3 Installation of Hardware & Software
The Windows operating system (typically Windows XP Professional or Windows 7) must have been pre-
installed on the ICS / BRS Data Logger PC (data acquisition PC) and, on demand, on ICS workstations.

Currently supported operating systems for ICS / BRS software release 7 are:
 Windows XP Professional / SP3, 32 bit
 Windows Vista Professional, 32 & 64 bit
 Windows 7 Professional, 32 & 64 bit
 Windows Server 2003 / SP1 or higher, 32 bit
 Windows Server 2008 R2, 32 & 64 bit

The Data Logger PC communicates with the connected machines thru Ethernet link, a multi-serial
interface card (with two RS-485 interfaces) and/or COM port server devices (RS-485 to Ethernet
conversion).

All hardware components such as the network card (generally on-board) and/or the RS-485 interface
card should be fitted before installing the actual Belimed ICS 8535 / 8535-BC / 8535-BC Endo or
Belimed Remote Service (BRS) applications.

Notes:
The Windows operating system is part of the computer system (industrial PC, server or workstation) on
which the ICS / BRS application environment operates, validated by the supplier (Belimed).

In principle, even the ICS / BRS data logging software runs under one of the standard operating
systems, listed above. There is no need of a realtime operating system or kernel.

The installed operating system is not due to be maintained by the supplier. The customer is responsible
for regularly applying operating system updates (Service Packs, security patches and hotfixes) and add-
on software (firewall software, antivirus software, remote control software,…).
On the other hand, any third-party software (e.g. not listed on Belimed's Computer System's
Configuration Sheet) or background processes not necessary to ensure the defined functionalities of the
Belimed ICS 8535/ 8535-BC/ 8535-BC Endo, may have a significant impact on the overall performance
of the Data Logger PC. This software may only be installed after consulting Belimed.

Although the ICS / BRS software modules run on standard PCs, it is advised to use reliable hardware.

Moreover, to reduce the risk of transient disconnects while capturing the machines' process data,

- a high-performance hardware platform (CPU, RAM, disk access) for the Data Logger PC should be
used resp. should be provided by the customer
- virtualization technologies should be avoided, if possible
- ensure that the communication link between the Data Logger PC and the connected machines is
reliable and fast
- use a dedicated (physical or virtualized) network adapter to link all Belimed ICS / BRS stations and
devices in an isolated network segment, thus reducing the relevant data traffic on the monitored
communication path
- avoid interfacing with connected machines in remote subnets
- connect a maximum of 3 machines on a serial RS-485 line (at a physical or virtual COM port)
- the date & time of the Data Logger PC may not be modified while capturing the data of running
machine cycles (timestamp is assigned by the Data Logger PC, not by the machines itselves)

3.1 RS-485 Connection between Data Logger PC and Machines

A separate multi-serial interface card with two RS-485 interfaces may be used to communicate between
the Data Logger PC and the connected machines (see also board manufacturer's instructions).

Note:
The RS-485 multi-serial interface card does not run on an ICS / BRS Data Logger which is installed on
virtualized machines.

Note:
The MOXA interface card CP-132I is not compatible with Windows7 or Vista.
The manufacturer's website shows confusing information that there is only driver support up to Windows
XP and Windows Server 2003. This information does not match the website's statement that Microsoft
WHQL certified drivers can be downloaded for all common Windows operating systems.

Before inserting the interface card into the powered-off Data Logger PC, it is necessary to configure the
DIP switches and the set the jumpers. On each DIP switch bank, switch 1 corresponds to port 1, switch 2
corresponds to port 2.

Before inserting the interface card into the powered-off Data Logger PC, it is necessary to configure the
DIP switches and the set the jumpers. On each DIP switch bank, switch 1 corresponds to port 1, switch 2
corresponds to port 2.

3.1.3 Windows device drivers and COM port settings

The above mentioned Windows operating system features Plug & Play capability. The interface card
must be inserted with the computer switched off. When the computer is switched on, the operating
system automatically detects that a new hardware component is present and starts the Installation
Wizard. Insert the original MOXA CD-ROM in the CD drive and select the appropriate driver.

After the MOXA interface card has been installed, the card must be listed in the device manager of the
operating system. Open device manager with Start  System control  System  Device Manager to
check the multiway adapters and interface settings.

The following entries must be in the device manager tree:

The computer automatically sets the COM number (interface number) to the next free interface during
installation. The COM numbers may be changed after installation. In order to do this, choose entry
"MOXA CP-132 Series (PCI Bus)" in Device Manager and use the right mouse button to open the
properties of this card via the context menu.

You can change the COM numbers (interface numbers) via the <Port Configuration> tab.

The communication settings of each individual COM interface are also set in the Device Manager. In
order to do this, select entry "MOXA Communication Port 1" or "MOXA Communication Port 2" in the
Device Manager, open the Context menu with the right mouse button and access the sub-menu
<properties>.

3.1.4 RS-485 connection example

The serial bus line of the RS-485 interface should be terminated at both ends in order to avoid reflections
on the line. One end of the serial bus is the MOXA interface card in the Data Logger PC. Jumper JP 1
(for interface P1) and jumper JP 2 (for interface P2) for the terminating resistor must be set to closed on
the MOXA card (see chapters above).

To dampen out reflection on the other end of the connection a 150 Ohm resistor must be connected to
the last RS-485 bus user (PLC/micro controller control).

Note:
On the SAIA PLC PCD2 Module with Serial Function Module card attached, the RS-485 bus line may
not be terminated a second time on the F520 for the SAIA PLC of the sterilizer MST. As a result, the
jumper must always be set to "open" on the Serial Function Module card. Termination of the RS-485
Bus applies both to cleaning machines and to sterilizers.

3.2 Ethernet COM Server Devices

An Ethernet COM Server allows the user to convert a serial RS-485 signal to TCP/IP signal capable of
travelling over an Ethernet network to a PC/Workstation/Virtual Server (ICS 8535 Data Logger PC).
There are two parts required for an Ethernet COM Server:

1) Hardware: Physical Ethernet COM Server box, and


2) Virtual COM Port Software

Once connected to the PC, the Virtual COM Port software converts the TCP/IP signal back to a serial
RS-485 signal allowing the ICS 8535 Data Logger software to receive the signal without issue. In this
case, the Data Logger software uses virtual COM ports for interfacing with the machines.

There are several different COM Server devices on the market. The supported and validated by Belimed
AG are the:
1) W&T COM Server with the W&T VCOM Software (various types see following chapter and
www.wut.de, installation and configuration hints are described in a separate guidance by
Belimed).
2) MOXA NPort Server (various types see following chapter and www.moxa.com, installation and
configuration hints are described in a separate guidance by Belimed).
3) On demand, check usability of Chiyu BF-430 with either the VCOM Software or Eltima VCOM
software.

To install the Ethernet COM Server components please consult the manufacturer’s guidelines.

Mounting of the COM Server should be in a safe, dry location that is free of electromagnetic interference
and have temperatures less than 100⁰F (38⁰C).

Notes on using Windows7 / Windows Server 2008:


 Windows7 / Windows Server 2008 feature a so-called "VirtualStore" which is automatically used
when applications are misconfigured or access to data files failed. In this case, the applications use 2
different data paths, the configured one and a shadow copy in the "VirtualStore".
 It is advised to disable the VirtualStore feature in Windows7:

Notes prior launching setup:


 Apply proper folder settings (e.g. do not hide system folders & files, display hidden files) to have
access to all installed files, especially in the "All Users" profile folders (see 3.3.3.4 Data Structure
after installation).
 For the installation and configuration of the Belimed software system the logged-on Windows user
must have administrative rights.
 In a domain environment, it is advised to launch the ICS / BRS setup executable file with temporary
administrative rights ("Run as Administrator") instead of initiating the setup by autorun when inserting
the installation media, although the current Windows user is a member of Administrators.

When inserting the customer specific CD-ROM or USB memory stick (which contains the ICS / BRS
installation software, application files and database system) into the PC's drive, the Installation Wizard of
the ICS / BRS software package will be launched automatically (see above note).

Notes on setup options:


 The customized setup option must be selected for the installation of the Belimed system, except for
the U.S. market where the Belimed Remote Service (BRS) is intended to be installed.
Proceed to chapter 3.3.2 Customized installation.
 The customized setup option is also a good choice to select non-standard destination folders for
applications and data to avoid permission issues (and VirtualStore issues) which are present in
"modern" operating systems like Windows7 or higher.
Proceed to chapter 3.3.2 Customized installation.
 The complete setup option will use the standard destination folders for applications and data, and
thus complies with security policies (prevent "ordinary" users from accessing program files and public
application data).

Notes on installed ICS / BRS components:


 The basic software components like Gupta/Unify's SQLBase 11.5 Database engine and Team
Developer 5.2 runtime are installed in any case.
 The database backup application (DASI) is not part of the Installation wizard and has to be
configured manually.

3.3.3 Post-installation information

After the PC has been rebooted, the installation is complete and the installation media can be removed.
The Installation Wizard added a new Windows program group (Start  Programs  Belimed 
Belimed ICS) which contains the software applications/modules:

 Documentation (ICS Documentation module)

3.3.3.1 ICS / BRS Applications as Windows Services

Note:
If properly setup, the SQLBase Server (database engine), the ICS Data Logger and, if checked, the
BRS Data Logger are registered and automatically started as Windows Services.
The registered and automatically started Belimed WATCH service is a new service and monitors the
installed ICS / BRS software components and machine drivers. It also captures significant operating
system's performance counters.
See the Services screen of Windows (goto Start  Control panel  Management  Services or right
click on the My Computer desktop icon, select Manage, then Services).

4 Configuration of Belimed ICS 8535/ 8535-BC/ 8535-BC Endo

4.1 General Information

The processing data of the cleaners and sterilizers from the medical and laboratory division can be
acquired, edited and documented with the Belimed ICS 8535/ 8535-BC/ 8535-BC Endo documentation
system. The system serves for logging of batch / cycle and process data of the Belimed machines.

Important features: The entire ICS software package consists of three application modules:

 Configuration module (configures the ICS base data, e.g. machine configuration)
 Documentation module (documents historical cycles)
 Data Logger module (captures the measured values / process data of the connected machines)

These modules as well as Gupta/Unify's SQLBase Database engine (which provides the database) can
be installed on separate computers.

Note:
The ICS software also features piracy protection against illegal installation and unauthorized copying. If
the software or an updated version is illegally copied onto another computer, it will run for 30 days. If it
has not been licensed by Belimed or the Belimed Sauter AG company prior expiration, the software
cannot be launched after a reboot of the computer and the user will be prompted for immediate licensing.

4.1.1 Terms and Designations

Buttons
A button is activated when operated via the keyboard's shortcut or clicked on with the left mouse button.
The general buttons are:

The changes of the current screen are accepted, saved to the database, the screen will
be closed and the main or basic screen will show up.
The screen is closed without saving any changes. The screen automatically reverts to
the previous menu or screen.
The changes are accepted and saved to the database. The current screen stays open.

A new row will be added in the displayed table which allows you to enter new data, e.g.
add a further machine.
If an entry (meaning a table row) should be deleted, simply click in any field of the table
row and press this button. The entire row will be marked with a cross which indicates
the "deleted" status. When saving the changes, all rows identified to be deleted, will be
removed.
The current screen contents will be printed out.

The ICS user's operating manual (stored as PDF), not this implementation guide, will be
displayed by launching the default PDF reader (e.g. Adobe Reader).

Editing mode
A screen or dialogue box in editing mode is identified by a red box in the upper right
corner which indicates that there are unsaved modifications.

The ICS Configuration module is intended to configure the interface to the machines to enable the
proper representation and capturing of machines' process data in Belimed's ICS 8535/ 8535-BC/ 8535-
BC Endo documentation system.

Note:
The SQLBase Database engine must be "running" at all times during ICS operation to provide the
database. This means that the registered Windows service Unify SQLBase srvICS must be running,
to enable an ICS application (Configuration or Documentation module, Data Logger) to access the
database.
The application window of the SQLBase Database engine is not visible by default because the database
engine is typically running in the background. Check the Services screen of Windows!

You can view the SQLBase Database engine task by launching it like an application. The title bar
indicates whether the task is running in service mode or not.

Process Activity Shows internal transaction data of the database engine.


System Activity Shows internal system data of the database engine.
Databases Shows the database(s) which are currently running (provided).
If the intended database (e.g. DB8535) is not listed in this sub-window, no
client (e.g. ICS Data Logger) is able to access this database.
Server Status Shows all clients (e.g. ICS Data Logger) and their current database
connections.

More useful information in sub-window Process Activity is displayed only with Level > 0 !
Set the Display Level (under menu item Level) to 1.

Terminating the SQLBase Database engine in this mode will only close the SQLBase task window but
will not stop the Unify SQLBase srvICS service, thus the database engine will continue to run in the
background. Check the Services screen of Windows!

To completely terminate the SQLBase Database engine, mainly stop the Unify SQLBase srvICS
service. It is recommended to stop the Unify SQLBase Resource Manager srvICS service, too.

4.2.2 Configuration Sections

The configuration of the Belimed ICS 8535/ 8535-BC/ 8535-BC Endo features a hierarchical structure. It
has the System right at the top, beneath are the individual machine groups, e.g. the group of sterilizers
of Type "MST-V 09.01". Following this are the individual machines, each of them is a member of a
group. Specific settings for the machines (like sensors, color of measured values on the batch log / cycle
report, etc.) are then defined.

Certain settings are available that refer to the entire machine group or to the individual machine.

The screens which are shown in the following chapters are samples and may differ from the installed,
customized ICS.

4.2.2.1 Log on - Log off

The Configuration module features a simple user administration. By default, there are three pre-defined
users with password assignments (see 4.2.3.3 User Administration). The passwords can be changed
individually.

The various types of machines are categorized into different machine groups. Each group is assigned to
a certain group type which features a certain set of properties. Currently the following group types exist:

A machine group relates to a set of texts which will be documented by the ICS (see 4.2.2.7 Texts), to the
reporting type (see 4.2.2.6 Reports), and to graph ranges (see 4.2.2.9 Graph ranges).

4.2.2.3.1 Export & Import of Machine Group parameters

In ICS software release 7.9 and higher, individual machine group configuration sets can be imported and
exported as XML files. These group configuration sets mainly include the texts (phase texts, alarm texts,
cycle parameters,…, see 4.2.2.7 Texts) as well as the type of reporting (see 4.2.2.6 Reports) which is
used for automatic creation of cycle reports at the end of machine cycles.

suffix " H" or " V", like "VS2"
Mach. name Enter a freely selectable name for the machine.
Equip. # Enter the unique serial number (new SAP equipment number of this
machine, formerly chamber number) of the connected machine.

logging systems "ICS Logger" and "BRS Logger" run together.
 Driver "T8515" and others in above table work only if the "ICS
Logger" is running without the "BRS Logger".
Printer name Select the printer to be used to automatically print the batch log (cycle
report) upon completion.

Note: You can select an individual printer for each machine. If the
list box is opened, all printers installed on the workstation (Data Logger
PC) are displayed.
Unselect a printer by deleting the name of the printer in this field.
If neither a printer nor the PDF creation has been configured and
activated, there will be no automatic printout of the terminated cycle
reports (in former SW releases, the ICS software used the Windows
default printer in this case).
PDF path Select the path of the created PDF file (data file in PDF format) which
contains the batch log (cycle report) upon completion.

Note: You can select an individual path for each machine.


You must either specify a printer or PDF patch or both!
 PDF active Activates / deactivates the PDF creation.
Install Date Optionally enter the commission / installation date of the machine.

For the serial RS-485 communication, a serial COM interface port (physical or virtual, see 4.2.2.2
System) and a unique RS-485 bus address must be assigned to each machine. This bus address must
match the configured bus address on the respective machine.

The machine driver T8535DAQ is intended for cleaning machines that have an independent measuring
data acquisition (mandatory for UK customers, optional elsewhere). For independent measuring data
acquisition a so-called DAQ module (Data Acquisition) or IPD module (Independent Process Data) is
used.

The DAQ/ IPD modules are connected via serial RS-485 link to the ICS system.

Note:
The machine driver T8535DAQ requires that the machine itself has to be connected via serial RS-485
link to the Data Logger PC ("ICS Data Logger" and/or "BRS Data Logger"). A mixed communication link
(machine via Ethernet, DAQ/ IPD module via RS-485) is not valid.

Machine:
COM-Interface no. COM port (physical or virtual) which is used for interfacing the machine's

Note: If machines configured with the T8535DAQ driver are operating
along with machines configured with the T8535 driver, use separate COM

This machine driver T8535TCPIP is used for direct TCP/IP (Ethernet) communication to the machines'
control units.

For each machine, a unique IP address is defined in the ICS system which must match the configured IP
address on the respective machine.

Machine:
(IP-) Name/Address Unique IP address which is used for interfacing with an individual machine's
control unit.
Note: The settings for the subnet mask and optional gateway are
configured directly in the machine's control unit. Verify the connectivity by
using standard TCP/IP diagnostics commands (e.g. PING).
(IP-) Port TCP port to be used for communication.
Note: Always use port 2000.

This driver is used when interfacing sterilizer types MST-8515/ 8520 which run a PC-based database
application (with its own SQLBase database engine). The driver directly accesses the sterilizer's local
database, collects the cycle data and copies them into the central ICS database.

The parameter settings correspond to the configuration data of the MST-8515/ 8520 sterilizers and
usually depend on their system environment / application version.

Machine:
Machine name Station name of the sterilizer which is registered in the local database
and defined in the sterilizer's configuration file (not necessarily equal to
computer name).
SQL server name SQLBase's internal servername of the sterilizer PC.
DB name Name of the sterilizer's local database.
User name Valid user name to connect to the sterilizer's local database.
Password Valid password to connect to the sterilizer's local database.

4.2.2.4.1.5 Machine driver: TWD280380

This driver TWD280380 is used for interfacing the cleaning machines of type WD280 and WD380 which
are equipped with a B&R control unit.

These cleaning machines feature a computer which saves the batch/cycle file to a defined location (or
drive) at the end of the cycle. The ICS driver loads this file when the end of the cycle has been detected.

Information file Folder and file name to which the cycle data of the cleaning machine are
saved.
Type Type of cleaning machine (280 = WD280, 380 = WD380), each with B&R
control unit.
Language Selects the language of the file (GB = English).

As soon as the file has been read and taken over into the ICS database, the file will be deleted by the
driver.

4.2.2.4.1.6 Machine driver: TWebeco

This driver TWebeco is used for interfacing the formalin sterilizer FA95 of the WEBECO company.

The data are loaded via the RS-232 interface by the Data Logger PC at the end of the cycle.

4.2.2.4.2.1 Batch/cycle data export OFFLINE

The OFFLINE export function saves the batch log (cycle data) to CSV files into a defined folder after the
cycle has been detected by the ICS to have terminated.

Controls:
 Active Activates or deactivates the batch/cycle data export OFFLINE function.
Data folder Selects a folder/directory where the CSV files should be saved.
Note: In principle, the destination data folder may be a different storage
media or a remote network drive. It must be ensured that the background service
of the ICS has sufficient privileges to write onto this data folder. Poor customer
networks with sporadic breakdowns have a negative impact when exporting onto a
network drive and will result in unpredictable behaviour of the entire ICS, too.
Thus, it is advised to select a local harddisk folder to have the export files stored,
ready to be retrieved by the customer's system.
Delete after Enter the number of days and when the individual files should be saved.

<type> indicates the type of the generated CSV files:

 K Cycle header At least this CSV file is generated which contains the
cycle header data.
 C Cycle/ process data At least this CSV file is generated which contains all
cycle process data, as shown on the digital batch log /
cycle report.
 M Material data If applies, this CSV file contains the material items which
are typically scanned using a barcode scanner at the
machine (washer / disinfector / sterilizer) when loading
or which are forwarded to the ICS Data Logger.
Note: ICS 8535-BC must be configured.
 P Batch parameters If applies, this CSV file contains the batch parameters
transmitted from a machine.
 E Single channel results of If applies, this CSV file contains the results of the single
endoscopy machines channel control at endoscopy machines (e.g. WD 430).

4.2.2.4.2.2 ITS/IMS Handshake Files

If this option is configured (activation code has to apply), so-called handshake files from management
systems (Instrument Tracking System "ITS" or Instrument Management System "IMS") will be stored in
the defined folder prior to the process/cycle start.

A handshake file contains one or more reference numbers to identify materials. During the process start
at the machine, the ICS system checks if a handshake file (e.g. Mx.TXT, with x=machine number) exists.
If yes, it will be imported, the included reference numbers are linked to the batch/cycle and subsequently
the handshake files is deleted. If configured, the reference numbers will be exported into the M-file (see
previous chapter)

Controls:
 Active Activates or deactivates the control by the administration system.
Data folder Selects a folder/directory where the handshake files should be saved.

This feature enables the ICS to automatically store the batch logs (cycle data) as PDF file (portable data
format) and save the created file into a defined folder after the cycle has been detected by the ICS to
have terminated.

The contents of the generated PDF file is based on the selected report type (see 4.2.2.6 Reports). If a
combined report type has been selected, multiple PDF files will be generated, one per each basic report
type.

Controls:
 Active Activates or deactivates the PDF creation.
Data folder Selects a folder/directory where the PDF should be saved.
Note: In principle, the destination data folder may be a different storage
media or a remote network drive. It must be ensured that the background service
of the ICS has sufficient privileges to write onto this data folder. Poor customer

and will result in unpredictable behaviour of the entire ICS, too.

In ICS software release 7, XML files can be used to import entire machine configuration sets, thus
avoiding to manually enter the machine specific sensor set and to define the communication as well as
the visualization & report parameters. Each XML file contains the machine specific sensor set and all
related parameters.

4.2.2.4.4.1 Import from XML file

There are numerous XML files in place even for the same type of machine due to the variety of the
machines' equipments. Be sure to import the right machine configuration!

4.2.2.6 Reports

This page defines the type of batch log (cycle report) to be printed out (and/or created as PDF file, if
configured, see 4.2.2.4 Machines) automatically at the end of a process/cycle.

Note:
Even if no automatic printout is required at the end of a process/cycle, the entry must always exist. At
least report type “none” must be selected.

No. Enter a consecutive number.


Group no. Enter the number of the machine group (see 4.2.2.3 Groups).
The configured reporting type on this page applies to each machine of this
machine group.

The configured grouping on this page affects by default the representation of
the digital batch log on the post-documentation screen of the ICS
Documentation module, too.
Step width Defines how many values (process data records per cycle) should be displayed
on the generated digital batch log / cycle report.
This setting is mandatory only if grouping "Phase change/Step change/each n-
th value" has been selected. The step width can be omitted in all other cases.
Step width "1" will display / print all records.

4.2.3.8 Licensing

The Belimed ICS / BRS software features piracy protection. If the software or an updated version of the
Data Logger module or the Documentation module has not been licensed with the Belimed company
or the Belimed Sauter AG company after installing, it will run during a trial period of 30 days only.

Open this screen to get the software licensed before the trial period will expire.

Print Prints out this licensing screen to be sent to the Belimed company
for authorization.

code. When the software successfully validated the entry, the
software is activated for unlimited usage.

The above screen will automatically show up when either the Data Logger module (in application mode,
not as service) or the ICS Documentation module had been started after the trial period elapsed. In this
case, it is best practice to execute the licensing rather via the screen of the ICS Configuration module.

4.3 Database Backup Application DASI

The database backup application (called DASI) is typically used in conjunction with system Belimed
ICS 8535 / 8535-BC / 8535-BC Endo to periodically backup all machines' data (sterilizers and washing
machines) during normal operation. The application uses the working database to create backup and
archive databases which can serve as input for a customer owned backup procedure.

The DASI application runs on the PC where all databases are located. In a standalone environment this
typically is the Data Logger PC, in a server environment it will run on the database server hardware.

Notes:
 As the DASI is typically running as a background Windows service, there is no application window
which appears in the foreground to verify the current backup operations, if an operating system like
Windows 7 or higher is used.
 For details concerning configuration of the DASI application, please refer to the separate installation
& configuration guide which is provided as part of the entire ICS software package.

4.4 Factory Settings

For proper operation of the Belimed ICS / BRS, specific parameters (so-called "factory settings") need to
be set. These parameters are stored in a separate table as part of the ICS database.

The default settings don't have to be modified in most cases. On demand, the parameters can be viewed
or modified via the "Factory Settings" utility (executable file is %werkseinstellungen52.exe, german
version only, located on the installation media or next to the ICS application path, if copied), see 3.3.3.4
Data Structure after installation and the Service Instructions manual for further details.

4.5 Configuration Workarounds of Windows Services

4.5.1 Log-On Property

In most cases the default settings of the Windows services work fine.

Windows services can be setup to “Log on As” a specific user account or, by default, with the Local
System account.

Under certain circumstances (e.g. background printing on a remote network printer) a service must
be configured to “Log on As” a specific user account which features local administrative privileges.

Note that this setting could result in communication issues with other portions of the software (e.g. SQL
Database), accessory software (e.g. Adobe Acrobat), or network card if the administrative settings are
not configured properly.

4.5.2 Service Timeouts

If one or more registered ICS / BRS related Windows services (e.g. ICS Data Logger) randomly do not
start (see the Services screen of Windows) and the Windows event log shows service timeout issues
(event id 7000, 7009 or 7011), then a key in the Windows Registry must be set accordingly to solve this
issue.

The Windows Service Control Manager will generate an event if a service does not respond within a
defined timeout period (the default timeout period is 30000 milliseconds).

Under Windows 7 and Windows Server 2003 & 2008, use the Windows Registry Editor to change
the default timeout value (note that this setting applies to all Windows services!):

- Navigate to key HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Control 


- In the right pane, locate the ServicesPipeTimeout entry.

5 Machine Driver Control

5.1 Machine Driver Control / ICS Viewer

With the "Control / Viewer" module (executable file is MDrvCtrl.exe, located in ICS application folder),
data capturing of individual machines can be turned off and on without suspending and restarting the
entire ICS or BRS Data Loggers.

While the ICS or BRS Data Loggers are running as background services, the status of the individual
machines can be viewed.

T8535TCPIP) are running (typically as background tasks like the Data Loggers), too.

For diagnostics reasons, run the ICS / BRS Data Loggers in application mode in order to enable you to
view the driver specific tasks (see Windows task bar) and analyze the displayed information concerning
driver status, interface status and data traffic between the ICS Data Logger (resp. the machine driver)
and the machines.

6 Software Upgrade / Update of ICS / BRS
Upgrading or Updating the Belimed ICS 8535/ 8535-BC/ 8535-BC Endo system (and BRS) software
applies to:

 the Gupta/Unify's SQLBase database system


 the main ICS application (ICS Data Logger module, ICS Documentation module,…)
 the BRS application (BRS Data Logger module)
 the database backup application DASI, to be configured by default

Until now, there are 2 options to handle the data of the current work database:

 Start with clean database  provide a up-to-date database without textual errors
 new standard database already provides new
machine group data and its related text data

 all machine configuration settings have to be aligned


with the current (old) database
 new machine groups may not match the current (old)
groups (might confuse users) and settings
 to retrieve old cycle data, the old database has to be
manually upgraded/patched and provided as separate
archive database (accessible via database switch-
over menu in Documentation module)

 Upgrade the database as it is  all current configuration settings will be taken over by
upgrading/patching the current work database
 all stored cycle data are retained

 textual errors / translational bugs will be taken over


 e.g. new machine group with all related data must be
entered manually if required at a later time when
adding a new type of machine

Notes:
 This software update procedure must be applied on each individual ICS / BRS related PC, regardless
if the PC only features the ICS database or the entire application system. Certain steps may be
skipped if ICS applications have to be updated only.
 All operated ICS database(s) must be compliant with the currently installed ICS application release.
 The operated BRS database must be compliant with the currently installed BRS application version.
 If the DASI application was operating, several ICS databases (backup & archive databases) have to
be upgraded/patched, too.

main application, database engine, runtime software, DASI) have to be manually uninstalled before
the new software release 7 is going to be installed.
 Upgrading from an ICS release older than 6 to the new software release 7 involves that certain
intermediate update steps have to be performed on the existing database to comply with application
release 7. These manual actions have to be considered individually and are not part of this guide.

Follow these steps to perform the upgrade procedure:

Step Description
01 If applicable, create an up-to-date archive database with the current data using the DASI
application.
02 Terminate all ICS software components in the correct sequence:
 DASI application (in application mode and/or in service mode), if applicable.
 ICS Documentation & Configuration modules, if applicable.
 ICS Data Logger (in application mode and/or in service mode).
 SQLBase database engine (in application mode and/or in service mode).
Make sure that no application is currently accessing the database!
03 For each SQLBase database (work database in ICS R6 named DB8500, backup
database SIC8500, archive databases AR*) check if LOG files exist along with the
database file(s).
Remove existing LOG files by applying the service SQL script on each database. When
finished, terminate the SQLBase database engine.
04 Save all individual SQLBase databases (work database, backup database, archive
databases) to a different folder using ordinary file copy/zip commands.
05 Copy/zip the contents of the DASI backup folder to a different folder too, if applicable.
06 If applicable, uninstall existing DASI application/service (refer to the separate installation
& configuration guide).
07 Uninstall Gupta/Unify's runtime component (most likely V3.0) by using the Windows
control panel.
08 Uninstall all components of Gupta/Unify's SQLBase database system (V8.5.0 or V7.6.1)
by using the Windows control panel.
09 Delete the folder of the database system (most likely D:\DB) and the application folder
(most likely D:\8500).
10 Insert the CD-ROM to run the Installation Wizard of the new software release 7.
Follow the instructions on the screen, as described in 3.3 Installation wizard of
Belimed ICS 8535/ 8535-BC/ 8535-BC Endo and BRS to perform a new installation of
the ICS / BRS software.

DB8535 by the upgraded work database (as done during previous step, rename
database file DB8500.DBS to DB8535.DBS). See also the notes in 6 Software Upgrade
/ Update of ICS / BRS.
14 Install and configure current version of DASI application as service (refer to the separate
Installation & Configuration Guide).
15 Reboot the ICS / BRS related PC and verify that all services and applications are
running.

6.2 Software Update within Release 7 ("Release Update")

Notes:
 The Installation Wizard of ICS software release 7 checks if there is already a release 7 installed in
the default folders on the harddisk. In this case, only an update will be performed without completely
uninstalling the existing software release first.
 If the Installation Wizard performs an update rather than a new installation, it will overwrite only
registered files (known files by its name, size and timestamp) in the default folders on the harddisk.
Any manually edited files (e.g. language files) on the installation media will not be copied.
 To make sure that a new software release 7 will be entirely and properly installed, uninstall the
existing software release and all of its components (ICS / BRS main application incl. database
engine, runtime software, DASI on demand) first by using the Windows control panel.

Follow these steps to perform the update procedure:

with the database file(s).
04 Copy/zip the contents of the DASI backup folder to a different folder too, if applicable.
05 Insert the CD-ROM to run the Installation Wizard of the new software release 7.
Follow the instructions on the screen, as described in 3.3 Installation wizard of
Belimed ICS 8535/ 8535-BC/ 8535-BC Endo and BRS to perform an update or a new
installation of the ICS / BRS software.
06 Terminate all ICS / BRS software components in the correct sequence (see 3.3.3.1 ICS /
BRS Applications as Windows Services):
 Belimed WATCH Windows service.
 Windows service of the BRS Data Logger, if applicable.
 Windows service of the ICS Data Logger.
 Windows services of the SQLBase database engine.
Make sure that no application is currently accessing the database!
07 Upgrade/convert/patch all individual databases (including backup and archive databases
created by the DASI application, if applicable) to match the just installed ICS / BRS
application release, see 6.3 Upgrade/convert/patch a SQLBase Database. If
necessary, manually take over the databases which had been saved during step 03.

08 If the work database (default name for ICS R7 is DB8535) will continue to run, replace
the just installed database file DB8535.DBS by the saved work database (including all
related LOG files, as done during previous step), see the notes in 6 Software Upgrade /
Update of ICS / BRS.
09 If applicable, uninstall existing DASI application/service and install current version of
DASI application as service (refer to the separate Installation & Configuration Guide).
10 Reboot the ICS / BRS related PC and verify that all services and applications are
running.

6.3 Upgrade/convert/patch a SQLBase Database

A patch utility (executable file is Patch_XXX.exe) is located in a sub-folder of the application folder (see
3.3.3.4 Data Structure after installation) to upgrade/convert/patch the databases.

This patch utility is designed to process two SQLBase databases

 an ICS database, for the Belimed ICS 8535/ 8535-BC/ 8535-BC Endo system
 a BRS database, for the Belimed Remote Services

The patch utility may be launched right away to convert the work databases of the ICS ( DB8535.DBS)
and/or BRS ( DBBRS.DBS).

If the database backup application DASI is running on the computer, several ICS databases (backup and
archive databases) exist besides the work database. All databases must be converted, too, to enable the
ICS Documentation module to access those databases and to retrieve historical cycles.

You can use ICS's Installation Wizard to install the core database-related components of the ICS / BRS
software system (Gupta/Unify's SQLBase 11.5 Database engine and the Team Developer 5.2 runtime)
as well as the application files on each PC in a ICS / BRS server system like it might be as shown above.
But, in contrast to the single PC system, it is necessary to manually adjust the pre-configuration of each
workstation PC (see also 3.3.3 Post-installation information for the defined locations on the PCs).

In a sample server system like the one shown above, the PCs have the following tasks:

 Database server & Data Logger Provides the ICS / BRS databases, runs the DASI
(database backup application), runs the ICS / BRS
Data Logger modules which capture the machines'
process data and saves the data into the (local)
database.
Optionally runs the ICS Documentation module.

From ICS / BRS point of view, there is no difference whether the Data Logger module is running on a
standalone PC (in single PC environment) or is running on a database server PC where one and more
workstation PCs access the common database as documentation clients, too. Therefore refer to chapter
3.3.3 Post-installation information for configuration details.

Along with the SQLBase 11.5 Database engine, the ICS Data Logger and, if configured, the BRS Data
Logger have to run as services on the database server, like in single PC environment.

If you really want to proceed with this system layout, you can use ICS's Installation Wizard to install the
core database-related components of the ICS / BRS software system (Gupta/Unify's SQLBase 11.5
Database engine and the Team Developer 5.2 runtime) as well as the application files on each PC in a
ICS / BRS server system like it might be as shown above.

As claimed for the recommended server system and in contrast to the single PC system, it is necessary
to manually adjust the pre-configuration of each PC (see also 3.3.3 Post-installation information for
the defined locations on the PCs).

In a server system like the one shown above, the PCs have the following tasks:

 Dedicated database server Provides the ICS / BRS databaseS, saves all captured
data into the database and optionally runs the DASI
(database backup application).
 Data Logger PC Runs the ICS / BRS Data Logger module which captures
the machines' process data and sends them to the
database server.
 Client Documentation PC Separate workstation that runs the ICS Documentation
module to present the stored cycle data on screen / paper
/ file.

When connecting MST-8515/ 8520 sterilizers (running PC-based database applications) to the Belimed
ICS 8535/ 8535-BC, the ICS Data Logger directly accesses the local databases of the sterilizers to take
over the cycle data into the central ICS database.

Therefore, along with applying the suitable interfacing parameters of the machine driver T8515 (see
4.2.2.4.1.4 Machine driver: T8515), the settings of the appropriate configuration files must also be
adopted on the ICS Data Logger PC as well as on the sterilizers.

 Before interfacing to a Belimed ICS 8535/ 8535-BC, the MST-8515/ 8520 sterilizers can run either in
standalone mode or in server mode (so-called ICS 8550 or ICS 8565 environment). After the
integration into the Belimed ICS 8535/ 8535-BC has finished, the sterilizers will run in standalone
mode in any case. The settings of the configuration files shown below in column "Settings before…"
will vary therefore.
