Reason to Choose the Organization
During our 6th semester, we were entitled to indulge in Internship Program as per the
schedule of BBA-BI course of Pokhara University. Most of my colleagues joined
banks, financial institutions and Insurance companies for their internship. Everyone
was eager to have first-hand experience in banking sector because we were doing
BBA-BI course. But unlike others, I wanted to do something different, something not
just limited to single sector and also that would go hand in hand with my undergoing
degree simultaneously.
I chose Jobs Dynamics Pvt. Ltd. for my internship program because I wanted to have
general ideas on HR Companies and their activities. I joined JD to get exposed to the
real world of HR and to have first-hand experience on the same since I am a student
of Management faculty. I wanted to know how business firms manage their human
resource and what role does it play in the growth and development of business
activities.

CHAPTER I
ORGANIZATION PROFILE
1.1. Introduction
JOBS DYNAMICS Pvt. Ltd. (JD) is career oriented organization, driven
towards providing the widest range of job solutions to people looking for work in
Nepal. JD is a complete Human Resource (HR) Consulting firm headquartered in
Kamalpokhari, Gyaneshwor, Kathmandu, offering consulting and complete human
resource solutions at various levels. JD believes that people are the only long-term
sustainable competitive advantage of an organization. JD’s team of professionals are
committed to developing long term relationships with the organizations and
candidates it serve. It works closely with their clients to build partnerships. This
enables them to offer responsive and innovative solutions to the challenges their
clients face.

1.5. Organization Design and Structure
Organizational structure is a system used to define a hierarchy within an
organization. It identifies each job, its function and where it reports to within the
organization. This structure is developed to establish how an organization operates
and assists an organization in obtaining its goals to allow for future growth.

There are different types of organizational structure that today’s organizations
follow. JD has a total of 8 people working in the organization. Its organizational
structure is flat and horizontal.

1.6. Financial Structure
Jobs Dynamics is a private organization so it was very difficult for me to get access to
the recent financial reports and statements of the organization. But instead I got
information regarding the source of fund and area of expenditure of Jobs Dynamics.
The major source of income of JD are Recruitment Commission, Outsourcing fees,
training fees, management consulting charges and other human resource services it
provides to different organizations. The major area of expenditure are salary, travel
expenses, utilities, rent, staff welfare and refreshments and so on. The paid-up capital
of JD is ten lakhs and has taken loan of fifty lakhs as working capital.
1.7. Organizational Performance
In this section of the report, the performance of Jobs Dynamics is analyzed. Balanced
Scorecard is used to analyze the performance of JD. A balanced scorecard is a
performance metric used in strategic management to identify and improve various
internal functions of a business and their resulting external outcomes. It is used to
measure and provide feedback to organizations. It is the recognition part of the
organization.
a) Financial Perspective:
As per the information obtained from the finance department of JD, the net
profit of the organization is growing gradually as new markets and clients are
being attracted. The loan of the organization is nearly to be cleared out.
b) Customer and Clients Perspective:
Jobs Dynamics has been very successful to satisfy its customers and clients

Talking about the internal processing, the organizational structure is flexible
enough to facilitate the organization with certain changes or entry of new staff
in the organization. The organizational hierarchy is not so complex and
depends upon the urgency and nature of job so hierarchy is not strictly
followed in case of performance. As like the hierarchy, the communication
process is also depended upon the nature of information and event. It follows

d) Learning and Growth:
In case of learning and growth, I will be focusing on the promotion part,
opportunities and training offered by JD.
Through my internship tenure, I came to know that the employees of JD were
promoted twice a year. The organization provides different facilities to its
employees. There is a provision of Accidental Insurance and Provident Fund
to the employees who have worked for more than 8 months. Similarly, the
organization also conducts different recreational activities and trainings for the
growth and development of the employees.

Since my works were directly related with the recruitment processing, my work seems
to have contributed to some extent in achieving the organizational goal and
objectives. I assisted in the recruitment processes of Management Trainee for Everest
Bank and I was involved in taking examinations to scheduling interview times and
shortlisting through CVs. So, to some extent, my work accelerated the process and
help perform the task on time.
2.2. Problems Solved:
Everything was very systematic so there were no any rooms for big changes. And my
work was not just related to one department, I was providing helping hands in all the
departments from customer care to outsourcing and recruitment. But, as it is said
nothing is perfect, I did find some things that could be done efficiently otherwise. My
worked for some time in the Business Desk as well where I figured out that files were
placed haphazardly and unsystematically so it was very difficult to find appropriate
files and other accessories like pen drive, pen, stapler and so on. So, I places the file
in a systematic order under the table and made a separation inside the drawer creating
separate sections for stapler, pens, pen drive with the help of paper.
2.3. Key Observation
Friendliness in the workplace
First day as an intern, I was quite worried how to introduce myself, get connected
with them and learn the most from them. I was quite surprised to see that they had a
culture and series of methods to make an intern feel easy on the first day at work. On
the first day I was introduced to all the staffs of JD and was kept under the
recruitment officer, Ms. Pasang Lama. She showed me the entire office and
introduced me to the staffs that I should work with. We had a short first time
conversation and I was taught what to do next. The information kept flowing onto me
until the last day of my intern. Each day there was something new to learn. After

some days of my tenure, there came another intern and I got really close to her. We
are good friends now. Whenever there was a new task to perform there was always
one staff who would brief me about the task.
Despite such busy schedule, we would never shut our mouth. There was always
something to talk about. It could be the political situation of the country, family, foods
or something related to work. Everyone was friendly and there would always be
conversations going on. Everybody knew me and I got to know everybody. There is a
culture of asking others if they already had lunches, if the workload was much, when
they are leaving and so on.
The most suitable time for informal talks was the lunch break.
Punctuality at the workplace
Everyone at JD was punctual when it comes to time. There is a system of manual
attendance and everybody would come at time. Since our classes would end at 9:00
am and I had to take two buses to reach to the office, my supervisor at JD had let me
to come late but not make it later than 10:30 am. But, it had a disadvantage as well. I
had to be at the job until the work for the workday is declared complete.
Valuing the time
Everybody used to value time greatly. Everybody’s philosophy about the job was: not
to panic, do the right job at right time, don’t hurry and make mistakes because making
mistakes would require doing the job once again. Due to the centralized work in JD,
most of the times some of today’s work would be pending to be completed for
tomorrow. But, everyone used to try their best to complete it as far as possible. The
employees were so time conscious that they would return to their desk and complete
the job at hand if the restroom is packed.
Teamwork
Teamwork is must in the every job. There is no job which can be done alone. The
teamwork at JD was great. Everybody was adept at their tasks. There used to be two
way communications on every task. If somebody needs assistance, they would ask for
it properly. There used to be communication about the job a particular employee is
performing. Together there was a synergetic effect on the organization. The job used
to be slower when one of the employees would be absent.

Precision at work
At JD, each and every job has to be precise. There are no rooms for mistakes and one
has to be responsible for mistakes they make. For examples: scheduling times for
interviews in prestigious organizations like Everest Bank, Nepal Distillery and Global
IME Capital Ltd., one had to be very careful in allocating the time and providing the
description. Similarly, while recording the details of candidates for the client
organization, there should not be mistake on entry of names, contact numbers and
mailing address; the documents on file should be maintained in precise order
otherwise tracking them later would be difficult.

CHAPTER III
LESSONS LEARNT AND FEEDBACK
This internship program had helped me transform in the positive way. I used to spend
my time sitting at home browsing and playing games. After the internship, I love to be
busy and follow the schedules. This keeps me satisfied now. My perception of work
has changed greatly after the internship. In addition, I have gained some of the basic
skills required for any kinds of job. I have learnt how to communicate, how to control
my emotions at the work and adapt myself to the environment.
3.1. Key Skills and Attitudes Learnt
1) Communication skills
After the completion of my internship, I am now confident to go and work at any
new job. I know how to introduce myself, how to greet the seniors, how to make
other do things for myself, how to talk to customers, et cetera.
2) Teamwork
Teamwork is must in every jobs. Nothing can be done alone. Each and every task
requires it to pass through many employees. Teamwork is of most importance and
everyone should work in a consistent manner. Otherwise, one or more employee
will find themselves without work. During the first few days, it was hard for me to
understand how the work is done and what should be done to keep the teamwork
flowing. But, with the passage of time I learnt the skill to work as a team.
3) Difference between the theory and practice
I guess it’s hard for a new graduate to start working because of the perception s/he
has about the job. All the things we are taught in our curriculum don’t apply in
real life instead. Hence, this internship has helped me a lot understand that
difference and prepared me with skills to get acquainted at a real life workplace.
Particularly, it has prepared me to work as a HR Personnel after I graduate since I
have understood the real life working practices and how jobs are done at a HR.

4) Controlling the emotions/ resilience
We should leave all the tensions, frustrations, anger and sorrows at home while
we go to work. We should mould our emotions and attitudes according to the job
we perform at our jobs. There is no second option to it. We will find ourselves
dissatisfied if we fail to satisfy others at the job. We should hear our seniors
wisely and respond positively to them. We should also know how to communicate
our grievances with the seniors in a cool manner.
I used to have a lot of anger and frustration due to the busy schedule I was not
quite adapted with. I had no time for my colleagues since I had to keep rushing for
the job after the college ended at 9:00 am. And there was always the fear of
getting scolded for coming late. I however got adapted to the new environment
and kept myself fresh and motivated at work to my best. Whatever the problems
and situation, the show must go on. The internship did change me a lot in this
perspective.
5) Time management
As I have already mentioned couple of times earlier, the most difficult thing about
internship is that we had to wake early in the morning, go to college, the classes
ended at 9:00 am and I had to have my lunch and be there at work by 10:00 am.
The office used to end at 5:30 pm and by the time I get home, it would be dark
already. All I wanted to do was to sleep but we used to have home works and
assignments as well.
This busy schedule helped me find possible solutions to do the right things at right
time and save time for other tasks. I used to carefully plan the assignments
viewing their submission dates. I even utilized the time for doing assignments at
class whenever a teacher would be late for classes. I used to ask for help from
others on the areas where it didn’t require me doing it.
The nature of the job also helped me learn time management skill at work. I
became an expert to decide what to do and what to keep pending in order to keep
the teamwork going in its pace. I could classify between which job is to be done at
what time. For example, filing the documents at 3:00 pm would not be effective

since there will be more documents unfiled at the end of the office hour. We must
do it at the last hour of each workday.
6) Discipline
I have learnt the DOs and DON’Ts at the workplace. I have learnt the required
level of motivation, pace of work, acceptable and unacceptable languages,
acceptable and unacceptable absences from work and so on from the internship.
Though the discipline at work differs with the type of work, I have realized the
need to learn the corporate culture, policies and practices.
3.2. Feedback to the Organization
As I worked in several department at JD, the greatest problem I saw there was the
lack of enough employees to handle the tasks. The Business Desk Executive quitted
after a month of my tenure so me and other intern had to cover up the tasks. The
organization must look into this problem and act upon it to determine the exact
number of employees required to handle the task with ease.
The other problem was inadequate inceptives for the employees to handle such
monotonous task. The pay isn’t enough to keep oneself motivated in the workplace.
Moreover, the intern has to work as if they are regular employees. It keeps them
discouraged at the work.
I was also given the task of checking the candidate database, at that period I found
that most of the database were not properly recorded and many of them had simple
errors like spelling errors, the organization should also work on to record the database
appropriately.
Similarly, there is also a problem of working space. I had to spent most of my time in
the meeting hall due to inadequate space to work and the cabins provided to the staffs
is very small and congested. It would be better for the organization if they plan to
expand the area of the working place as well.

3.3. Feedback to the College/University
If the internship program hadn’t collided with Mid-Term Examination, it would have
been great for me and I would have given my best in both.
The only thing that made me quite difficult due to the college was because of the
morning classes up to 9:30. It was very difficult to reach office at 10:00 am from
college and I had to change two vehicles to reach to the office. Similarly, the duration
of internship was very short. Our internship would have been even more effective and
fruitful if the duration was a bit long.
Apart from that, there is no dissatisfaction at all. They did a great job informing and
guiding us about the internship. The teachers were well aware of the pressure on us
due to the internship; the assignment submission dates were timed perfectly. Our
internship supervisor did a great job visiting our classes and asking about our
internship and what is to be done next. The internship report format was distributed at
right time. All the necessary processes were timed perfectly to keep us at ease and not
panic about it.
