60 Opera Standards

Scope Of SOP:

To provide a basic guideline on how to maintain uniformity in the inputting standards for the PMS.

How to carry out the SOP


Last Name Field

The Name field is for the last name of the guest.


- E.g. Regular Name Mr. Tom Smith, we will enter Smith as the last name (the first character in
CAPS and the rest in small)
- E.g. Arabic Name Mr. Mohamed Al Noami, we will enter the last name as Al Noami with a space
in between and both the first characters in CAPS. E.g. Chinese Name Mr. Sung Min Lee, we will
enter Lee as the last name with the first character in CAPS.

First Name Field


This field is for the first name of the guest.
- E.g. Tom (the first character in CAPS and the rest in small)
- E.g. Sung Min (the first character in CAPS and the rest in small)

Address Field In the Address field, we need to put each address line in a different field.

- Line 1 – Building Name, Apt no, PO Box Number


- Line 2 – Street Name, Area name
- Line 3 – Landmark E.g.

- PO Box (with no space between P& 0)


- E.g. Al Maraya Bldg

City field

Here we need to enter the city name in full.


E.g. Dubai (the first character in CAPS and the rest in small)

Communication field Telephone or Fax numbers In the case of an international number, we will start with
the Country code followed by a space, then an area code and phone number.
We will use 00 not “+” sign in front of the number.

E.g. 0033123456789

In the case of a local number, we will start with the country code followed by a space, then an area code
or mobile code followed by the number.

E.g 00971500000000

Email Addresses All email addresses will be entered in Small caps :

[email protected]
Credit Card field :
All credit cards will be entered without any space between the digits.

E.g: 411111111111111

Booker Field :
We should try to get the bookers full name if possible and enter it as such.

E.g. Mr. Smith Peter

Booker Contact Field


- The contact details of the booker will follow the same format as above in case of International or
local details.
E.g. 0033123456789
E.g 00971500000000

Booker Email Field


The email address of the booker will follow the same format as above.

E.g. [email protected]

Flight Number Field All flight numbers if available must be entered along with the carrier code and flight
number with a space in between.

E.g. EK 027 or MS 906

Time Fields The system only accepts time in Zulu formats and we should enter it as such without any
space in between. The system formats it automatically putting “ : “ in between.

E.g. 01: 00 PM > 1300, 11: 00 PM > 2300, 10:00 AM > 1000

Involvement:
All Reservations and Front Office associates entering information in the PMS

Involvement: This SOP applies to all Reservation Advisors and Team leaders.
