Disadvantages of Hotel Management System

The document summarizes some disadvantages of using a Hotel Management System (HMS). It notes that while HMS provides benefits to hotels, it can also reduce human connection between staff and guests as more services become automated. Additionally, cloud-based HMS relies on stable internet access, which could cause issues if the connection is lost. Finally, the increased use of online reservations and services with HMS elevates the risk of cyberattacks on guest information and the hotel's systems.

DISADVANTAGES OF HOTEL MANAGEMENT SYSTEM

Indeed, the Hotel Management System (HMS) has brought many benefits to enhance
the operation of hotels and reduce the cost of hotels. However, it can still occur with several
disadvantages by applying HMS. The weaknesses of HMS not only affect the hotel but also
will affect the staff and the customer. Here are some disadvantages of HMS:

1. Reduce Connection between Staffs and Guests

One of the biggest drawbacks of applying HMS in the lodging sector is reducing the
human touch. When all the reservations, check-in and check-out can be done online, the
time a guest spends at a hotel reception declines due to HMS. Some people might think that
it is indeed convenient for both the guest and staff but it also means that staff will feel
challenged to establish a good relationship with guests since the connection between them
has decreased.

2. Rely to Internet Connection for Cloud Based Software

To run HMS that use cloud based software, internet access is a must. A dependable
internet connection is necessary to review reservations and add on the bookings that can be
done through the phone. Before the invention of cloud based software for HMS, the installed
hotel software was too expensive and complicated to maintain because it has to upgrade
both software and hardware. The existence of cloud based software is beneficial as it does
not require hardware, so it is cheaper and easier to use. In spite of that, it requires internet
access to run on it. It can become a weakness to the hotel or guest that does not have
internet connection when power failure happens. If power cuts happen when hotel staff is
updating the information of guests, there will be a high risk to lose the information.

3. High Risk of Cyber-Attack

The application of HMS is very helpful and convenient for hoteliers because most of
the reservations can be made online. Unfortunately, it can turn out to lead hotels to a high
risk of cyber-attack. Nowadays, hackers are all around the world. They can hack anything
they like to. For example, one of the most common cyber-attack in a hotel is guest
information being hacked and stolen. Guests will share their name, address and payment
information when making an online booking. Hackers will steal guests’ information from
hotels by using different methods such as malware, social engineering and computer
viruses. Another type of cyber-attack is phishing where it refers to trick, deceive and
convince people to share their information. The most common phishing tactics are fake
websites, phone calls, text messages and e-mails. This cyber-attack not only causes guests
to leak their information but also gives a bad reputation to the hotel. Furthermore, dark
hotel hacking is also a technique to threaten the hotel. This technique includes hacking the
Wi-Fi of the hotel and stealing the information of guests.
