The procedure provides the general guidelines for compilation of project final
documentation and the sequence of their content.

5.1 GENERAL
The final documentation is required for reference during initial start-up of
the facilities and as a day to day reference during operations and
maintenance. It also provides information necessary for the future check of
equipment performance or for planning of works, plant expansion or
upgrading. It shall be prepared for quick and easy reference for all users.

The final documentation for the above facilities shall comprise the
following documents with their corresponding Volume numbers:
5.1.2 JACKET
Note:
a) If EQUIPMENT DOSSIER is required for the Jacket
compilation, CONTRACTOR shall prepare approved
documentation for Volume 1 – Equipment Dossier compilation
same as of Topsides.
5.1.6 When certain item headings within each Volume Table of Content
are not applicable, it shall be indicated as “NOT APPLICABLE”
in the Volume Table of Content (VTOC).
5.1.7 The number of books required for each particular Volume shall be
based on the amount of documents to be filed. The book
numbering shall be in numerical sequence based on the total
number of books for the particular Volume e.g. Volume 1
comprises of three books therefore, the book numbering shall be
Book 1 of 3, Book 2 of 3 and Book 3 of 3.

6.1 As the work progresses, all documents for Final Documentation shall be
compiled progressively and submitted for CARIGALI’s review.
6.1.1 Final Documentation for all volumes shall be compiled into black
binder as per Appendix V: Final Documentation Manual
requirements.
6.1.4 To use PVC paper divider with six (6) banks white color type
130gms as a main separator in all data compilation. For sub-
indexes, CONTRACTOR shall use green color A4 paper for the
first three sub-indexes, and pink color A4 paper for package items
document content as a separator. (Refer to Appendix V Item 4.0)
6.5 All documents for master copy (regardless of Volume) must be of original
or good master print without any history. Final approved documents/data
submitted by vendor(s) must be clean print and is accompanied by
approved cover letter.
7.0 RECORDS
7.1 CONTRACTOR’s Project Manager shall be responsible to ensure this
procedure is made available to the respective personnel for each discipline
section in the Project Team.

APPENDICES:
The Specification outlines the requirements for the Final Documentation for the fabrication phase of
offshore structures or similar facilities, which shall be made up of the following:
CONTRACTOR is required to furnish the documents as a ready reference for all important work
structures, equipment and items installed during the project. It is intended to assist in the initial start-up
of the plant and to provide quick reference in subsequent operations and maintenance. It also provides
information necessary for future checks of equipment performance, planning of works, plant expansion
and redesign work.
CONTRACTOR shall ensure that purchase orders clearly state the vendor data required to enable
compliance with the Final Documentation.
When any package unit is supplied by a vendor or subcontractor, the supplier is required to submit vendor
data for equipment to CONTRACTOR for inclusion in the Final Documentation.
The Final Documentation provided by CONTRACTOR shall cover both COMPANY's and
CONTRACTOR's supplied items.
1.1 DEFINITION
For the purpose of this manual the following definition shall hold:
Shall and Should - the word "shall" is to be understood as mandatory and the word "should" as strongly
recommended to comply with the requirements of this manual.
CONTRACTOR - Is the party, which comes out all or part of the design, engineering, procurement,
construction, commissioning or management of a project or operation of a facility.
COMPANY - Is the party, which initiates the project and ultimately pays for its design and
construction. The company will generally specify the technical requirements. The company may also
include an agent or consultant authorized to act for, and on behalf of, the company.

2.0 BINDING DETAILS
All pages and binders shall be standard A4 (210 x 297 mm) and (245 x 310 mm) size
respectively. Text shall be hack on white legibly reproduced. Blue print type text copy is not
acceptable.
All vendor drawings larger than 297 x 420 mm shall be folded and inserted in individual 210 x 297 mm clear
pliable plastic pockets which shall have standard three-ring side punching for insertion in the
binders. The requisition and sheet number, Flow Plan Symbol Number or item number and the
number of the drawing shall be written on the face of each containing pocket.
As-built drawings are required in A1 (full size) or A3 (297x420 mm) sizes. Only A3 size as-built drawings
shall be put in binder. Drawing hinders shall have three binding posts. All as-built drawings done by
CONTRACTOR shall be black and white photocopy quality and legible. Drawing index shall appear
in front of each section and section tabs are to be furnished showing drawing serial number and category.
Binders shall be black color quality vinyl material covered with print Matt hot stamping gold block lettering
as per Appendix 3. Bookbinders shall have 80 mm minimum capacity with 50 mm free extendibility
with full length "piano-type" hinges, a center locking post, and 3 binding posts for papers. Binders
shall be in accordance or equivalent to:
a. Earl Gray Bookbinding Co. (1220 Maple Ave. Los Angeles 90015, California), 3” model GK
binder: or
b. American Loose Leaf Corp. (180 Main Ave. Califton. N.J.) Herculex type binder or
CONTRACTOR shall fill binders only to a maximum of 100-mm thickness. The remaining 25 mm
extendibility is to provide space lot, COMPANY future additions.
Each set of documentation shall be given a sequential number. The Volume number shall be printed on
the binder cover and backbone and Book number only on the backbone.
The requirement for the binder details shall be standard to US Ring Binders (fully nickel-plated) with
piano-type hinges, center locking post and three (3) binding post.
All documentation’s are to be typewritten to the maximum extent possible. In the event that more than
one model are described on a documentation, the data for actual model used shall be identified with
appropriate 'arrows’ and ‘boxes' to highlight that information.
An Equipment Information Sheet (see Appendix 2) is to be compiled to account for all major items.
Only fixed and semi-permanent items are to be listed. Generally, these include all items with tag
numbers assigned plus furniture, power tools and kitchen accessories but not hand tools/hand
kitchen accessories. Only individual panels or "packages" are to be listed rather than tagged PI's, PCV's
etc.
b. Completed engineering data sheets and test / calculated performance data in accordance with
applicable specifications, technical data, performance test reports and design calculation.
c. Outline drawings, special construction details, electrical wiring and inter-connection diagrams.
e. Complete manufacturer's parts list, sectional and blow-up drawings with parts identification
Number, brand name, nomenclatures and brand identification number for his equipment.
QA/QC Documentation shall consist of all records and reports on field inspection and testing of
materials and products performed by CONTRACTOR. Documents to be included shall be limited to
non-destructive testing records, welders’ qualification test and records, field inspection i.e. visual
inspections on fit-ups, welding, dimensional check and records, coating qualifications and production test
and hydrostatic test reports.
Material Documentation shall consists of all documents pertaining to the procurement and handling
of materials such as purchase orders, source inspection reports, materials identifications, certificates of
material and test reports, materials deficiency reports and materials receiving inspection reports.

3.4 TESTING & PRE-COMMISSIONING DOCUMENTATION
Testing & Pre-commissioning Documentation shall include all documents pertaining to the testing
and pre-commissioning such as Detailed Pre-commissioning Procedures and check sheets.
Design Data is a compilation of Structural Analysis, Pipe Stress Analysis, Process calculations, electrical
and instrumentation calculations etc.
As-Built Drawing is a compilation of all drawings submitted by COMPANY and all other drawings
developed and prepared by CONTRACTOR for COMPANY approval and information during the
execution of the CONTRACT,
All those drawings that are defined in the CONTRACT are required to be updated to show the As-
Built condition at the end of the project.
All drawings shall be clearly stamped "AS-BUILT" with red color and signed by the appropriate
CONTRACTOR's representative.
Drawings that are to be updated to the As-Built state shall be all drawings, which the
CONTRACTOR submits for COMPANY's approval and information during the execution of the
CONTRACT.
As-built mark-ups are to be made available to COMPANY upon COMPANY's acceptance of the
facilities. CONTRACTOR also to provide COMPANY with complete set binding of redlines drawing mark-
ups for reference use.

4.0 INDEXING
A main table of contents covering the entire set of final documentation shall be included in the front
page of each binder or book. In addition, each section shall have separately tabbed, immediately
following the main table of contents, the specific VOLUME Table of Contents.
Each VOLUME shall be divided into Group, Section, Sub-Section, etc., by color-coded dividers and
index tabs as per the following:
Sub index after 1.1.1.1.1 will have only pink separator, with or without index number.
The Final Documentation shall have a cross-reference index developed by the CONTRACTOR. The
index shall list alphabetically, a cross-reference of titles of Manufacturer, Equipment and Subjects with
the location of where the title may he found in the Final Documentation. The index shall be inserted in the
rear of every book.
All dividers shall PVC paper divider Type six (6) Banks white colour with 130 gms for the Main Table
of Contents, Volume Table of Contents and Group dividers. Separator for sub-index shall be green
color A4 and pink color A4 paper size for the package items document content.
All dividers shall have tabs. The tabs shall be an integral part of the dividers and indexed on both sides.
Self-adhesive plastic tabs with slip-in inserts shall not be used. Tabs shall be staggered such that 5 or
6 tabs will be in view at all times.
Samples of dividers with tabs shall be presented to COMPANY Site Representative for approval.
Suitability shall be judged or conformance to the specifications and grade of material for the dividers.

5.0 INFORMATION SECURITY
Where information is proprietary, special precautions shall be taken to maintain information security
during data collection and preparation: of the Final Documentation.

6.0 LATE DISTRIBUTION OF DATA
Project changes, which are made in the late stages of execution, may make it necessary to distribute data
after the Final Documentation has been distributed. In this event, the data are to be separated, 3-hole punched, and
each document is to be clearly marked (volume, section, and page) for easy insertion into the documentation set.
New indices, manila pockets, and/or additional binders are to be prepared and forwarded to COMPANY's
Construction Manager for distribution.
