Project Goals and Scope
The project that will be reviewed is an Inventory Tracking System. Working in the
Information Technology field there will always be a high demand for equipment, parts
and software. Alongside the demand is the availability of tracking these needed items.
Inventory tracking is a system that is a hit or miss. Either you have it or you don’t. This
project will guide you on how to make an Inventory Tracking System as efficient as
possible.
The focus of this Inventory Tracking System will be on the companies Laptops
that are in circulation and or in stock. When such a sensitive Item like this is being
inventoried and tracked the more information that is known about each item is better.
There is a plethora of variables an individual can use as a base tracking method for each
item. Therefore, defining the variables that will be used is very important.
These specific variables will be detailed later in the project. Using these variables,
the overall objective of the Inventory Tracking System is to give you the updated
knowledge of how many laptops that are in circulation, their whereabouts of these laptops
and the current state of the laptops. When inventory is not properly tracked, many items
go missing and that is detrimental to a company. This system will help the company save
time and money.
Project Management Process
Planning:
The 3 risks listed (Scope of Work, Data Migration and Security) are the risks that can
greatly affect the completion and functionality of my project. Starting with Not being
prepared. Something so simple can cause the most risk. When starting out a project you
must plan and be prepared. There are many things to take into consideration for a project.
setting goals, having functional requirements, detail layouts and cost are just a few goals
that should be planned. Once the goals are set the type of interaction that I am having
with the tracker and the transfer of the inventory location to the software application goes
into the Data Migration. The security risk is the IT techs have full access to the inventory
software and the inventory list. They must have permissions to view this information.

Scope of The project will take longer to complete or will not be completed at all.
Work We will periodic milestones to verify us staying on track with the
scope
Security Sensitive / Inventory information being viewed. We will monitor who
views the information by having a log in and track the times
individuals are logging in.
Data The migration will involve the scanner that will retrieve the serial
Migration number and then that will be uploaded to the software. Then it will be
displayed in the inventory list.
Executing:
Budget –
In this project the cost of equipment is the only internal cost (nonconformance) that
affects the cost of quality. Failure costs are at the highest priority. If this product fails then
that concludes to more man hours being worked (conformance) trying to track, find and
work on the many laptops. The goal is to cut down on man hours by implementing this
tracking device. Ultimately, positively effecting the cost of quality.
Customer Focus –
The customer focus in this project will center around the employees of the company.
These employees are considered the users. Each user pending their job description will be
issued a laptop. Deploying the trackers to each laptop will give us the advantage of
knowing the location of the laptop with-in the company. As IT personnel there is only so
much that can be done remotely.

Project Success –
The upper management are convinced that with the implementation of this Laptop
Tracking System we will reduce the percentage of unknown items during inventory. We
will also reduce the turnaround time for discrepancies with laptops. This will place us
amongst the top 3 in IT departments with-in the agency.

Project Functionality –
This chart allows you to follow along the implementation of the product in accordance
with the Lean methodology.

Once the Tracker has picked up the location of the Laptops it is identified by the serial
number. The serial number will populate in the software application, along the Location details.
For instance, if an employee has Laptop #32 with serial number 343234. Once the employee
walks into a room (room 21A) it will be scanned by the tracker that is located at every room.

Now we know the exact location and serial number for that room. Therefore, in any
situation that we have to do work on that laptop. We know where to go. The information will be
stored cloud and whenever we want a report, we can populate a report from the cloud or search a
specific serial number.
