A. INTRODUCTION

1. Preface
For general public, the term letter is not something new. Letter are use
d by someone as a means of conveying written messages for various purpo
ses, whether personal, official or business from someone to another person
or party. Along with the rapid development of communication and informa
tion technology, writing and conveying a message from one party to anoth
er can be done not only with paper, but also through electronic mail (electr
onic mail / e-mail).
Business letter is widely used as a main channel of business correspon
dence (Arvani, 2006) that can be written by choosing the right words, tone
and focus on the purpose of the correspondence itself (Smith-Worthington
and Jefferson, 2010). Business letter or business correspondence is the writ
ten communication through exchanging the business activities between tw
o/more parties (businessmen) related with their products, goods, services,
etc.
There are some types of business letter, there are; ordering letter, com
plaint letter, adjustment letter, reservation letter, confirmation letter, annou
ncement letter, application letter, and etc. Here, we will discuss about appli
cation letter.

B. BODY

1. The Definition of Application Latter

A letter of application, also known as a cover letter, is a document sent


with your resume to provide additional information on your skills and exp
erience. A letter of application typically provides detailed information on
why are you are qualified for the job you are applying for. Effective applic
ation letters explain the reasons for your interest in the specific organizatio
n and identify your most relevant skills or experiences.
Your application letter should let the employer know what position yo
u are applying for, why the employer should select you for an interview, a
nd how you will follow-up. An application letter should be professional an
d to the point. Your application letter should let the employer know what p
osition you are applying for, what makes you a strong candidate, why they
should select you for an interview, and how you will follow up.

2. The Purpose of Application Latter

The purpose of application letter is:


a. As a written proof when applying for a job.
b. As a means of communication.
c. As a consideration for employed.
d. As an initial assessment of whether the applicant is suitable for a job po
sition.

4. The Structure of Application Latter

The Structure Application Letter is:

a. Sender/contact details; List your contact details at the top of the docu
ment. Provide the recipient with multiple contact options by including a
phone number and a legitimate e-mail address in addition to your home
address.
b. Subject; There’s no need to experiment here either. The recipient shoul
d be able to see immediately what kind of document they have and what
position you are applying for. Make the subject a short title instead of u
sing whole sentences like “I would like to apply for position X” or “I a
m applying for the position of X”.
c. Greeting; If you know your contact person, you can address them by na
me. If this person has a title, you should use it – if there are several title
s, the highest title is sufficient (e.g. “Prof.”, even if the full name contai
ns “Prof. Dr.”). If you do not know your contact person, write “Dear M
adam/Sir”. However, it is advisable to research who the contact person i
s, and address them personally in the cover letter.
d. Introductory remarks; The introduction is about arousing the reader’s
interest in only 3 to 5 lines so that they do not immediately reject your a
pplication. You can do this as follows:
1) Briefly state your motivation for the application. Ideally, you can use
the introduction to highlight that your interest in the position results f
rom your previous work experience and that the advertised job positi
on fits optimally to your interests and qualifications. However, limit
yourself to a few sentences.
2) State the main argument for your application. This can be specific kn
owledge and skills, your professional experience, studies and trainin
g, or previous successes. Be sure to concentrate on the essentials. Mo
re detailed descriptions should only take place in the main body of th
e text.
3) A leading sentence rounds off the introduction. For example, you ca
n emphasize your willingness to perform.
e. Main body; This section is about selling yourself as a worker and perso
n as convincingly as possible. The main section should cover the follow
ing points:
1) Name the most relevant hard skills you possess for the job. Be sure t
o include the skills that are explicitly required in the job posting. Do
n’t just list these skills, but explain how you acquired or used them b
y referring to your previous work experience or education.
2) Also list your outstanding soft skills. At many workplaces, certain so
ft skills are particularly in demand, e.g. the ability to work in a team,
problem-solving competence, and resistance to stress. Soft skills are
usually more difficult to prove, but some soft skills are automatically
associated with specific positions or industries. If an applicant menti
ons their experience in a marketing agency, it is quite credible for the
m to draw attention to their communication skills. However, avoid to
o many personal soft skills that are difficult to prove (e.g. knowledge
of human nature, empathy), or those that are not of any use for the de
sired position.
3) The main part of your skills should relate as much as possible to the j
ob you’re applying for. In this way, you can explain why your skills
make you the ideal candidate for the job. It is also an elegant way to
move on to the next section.
f. Corporate reference; In this section, you will answer the following qu
estions: How can I enrich the company and why did I choose this comp
any as my employer? You should give the reader the impression that yo
u are the perfect candidate for the position. Not only do you need to rela
te your skills to the professional position, but you also need to explain
why you as a person fit into the company. You can achieve this in the f
ollowing way, for example:
1) Describe the job as your next career step. This will give you the impr
ession that the job you are aiming for is the logical next step in your
career.
2) Briefly outline the reasons why you find the company interesting. Hi
ghlight the positioning of the company within the industry. Explain
why it is your personal goal to work in this company.
g. Ending; The last impression is one of the most important. However, if t
he reader has held out to the end, the cover letter has probably already b
een interesting enough so you will only have to do a little persuasion w
ork. However, always express your wish for feedback. Also signal your
willingness to appear personally in the company for a job interview. If a
n earlier starting date is also possible for you, this is a plus point that yo
u could attach at the end. This can be particularly helpful if the compan
y wants to fill the position promptly.
C. CONCLUSION
An application letter is a cover letter, a sales letter, and a marketing tool a
ll in one and it should accompany a professional resume any time a person ap
plies for a job. Its main objective is to get the applicant in the door for an inter
view and must be written well enough to attract the attention and interest of th
e person with the power to recommend or grant one.
