Work order types
The main work order types that are related to the maintenance process are as follows:
+ PMO01 — Corrective (Non-routine) or Breakdown Work. These are either generated
from a notification and planned and scheduled by the planner (corrective) or breakdown /
emergency work created by the supervisor.
PMO2 — Planned Preventative. These are generated automatically by SAP for standard
activities and do not have notifications. For example: Equipment mechanical inspections,
component change outs due to hours of operation etc.
PMO6 — Non maintenance work. Used for any work that is not to be recorded as a
maintenance cost. This is usually used for any accident damage work.
Page 17 of 91The disolayed status of a work order is an easy way to identify what stage the work has
progressed to. The status can be displayed as part of the work order list or identified on the
header page of the work order itself.

“The user status of a work order is divided into two parts, completion codes and planning codes.
Each type has to be manually assigned and multiple codes can be used for each work order.
The main completion codes are:
CNCI — No Completion Code Identified. This is the user status default.
CDND — Completed No Defects. Reported work completed and no other defects were
found. For example, mechanical inspection completed and no defects found.
CDDR — Completed Defects Rectified. Reported work completed and additional defects
rectified. For example, mechanical inspection completed and minor defect found and
repaired. Extra work needs to be recorded in the notification history.
CDFW — Completed Further Work Required. Completed tasks as per the work order.
Further work was identified that can be planned in for another time. Another notification
needs to be raised.
HOLD — On Hold. Not done on the scheduled date, needs to be rescheduled. For example
the task could not be done on the day due to lack of labour resources.
SAP automatically assigns a system status based on the stage of the business process that the
work order is currently at. Some of the main ones are as follows:
CRTD — Created. SAP automatically assigns this status to an order that is created,
indicating that an order is in place but work has not been approved or commenced.
Components and time confirmations cannot be booked against this status.
REL — Released. Indicates the work has been approved and has commenced. Hours can
be booked against this status and parts ordered as needed.
GMPS — Goods Movement Posted, Assigned when any parts ordered are issued by the
stores,
TECO - Technically Completed. Indicates that the work has been completed. Hours can
still be booked against this status but further parts cannot be ordered. Any store stocked
items that are on the order but not issued will be deleted.
CLSD — Closed. If no action has been performed on an order with the TECO status for 90
days, SAP will close the order out and display this status. Nothing can be booked to this
status type.
PCNF — Indicates that time has been booked but work not completed.CNF — Indicates that
the work is complete and the final confirmation box ticked.
Page 18 of 91Creating a breakdown work order
Breakdown work is any task identified that can not wait until the next scheduled week to be
planned in. Some examples include: plant or equipment that has failed or failure is imminent,
serious damage will occur through continued operation of the plant or equipment or
equipment failure has caused a safety or environmental problem or loss of process capability.
‘The primary SAP transaction code used for this task is: IHO1.

The Plant level quantities show stock levels across all storage locations on site.
The Storage level quantities show levels associated with a specific storage location. For example,
a site may have one location as the main warehouse and another as an oil storage shed.
The storage bin location tells you the exact location on the shelves of where the part is kept in
the warehouse.
If someone has booked out items but not collected them yet, the number will show up in the
reserved column. This will also be the case if they have booked out more items then are carried in

If the SAP stock number for a part is not known, the following methods can be used to search
through SAP to find out if a part is carried in stock in the warehouse. There are two main
methods to do this, either using the manufacturer's part number, or a general description search.

Page 29 of 91A search in SAP will look for a string of characters from left to right. Not like the internet where it
will show you everything that matches the search criteria. For this reason, it is important how you
enter your search criteria to ensure a greater success rate.
Always start with the noun or main word. For example, oil filter would be filter oil.
Do not leave spaces between words, as a space is a character and remember SAP searches for
the exact match of a string of characters, from left to right.
No plurals, Do not place an “s” at the end of your word, type Filter not Filters.
Wildcards — are indicated by an * (asterisk). An * replaces letters or a string of letters. Therefore
you should always start with *, end with * and if you type two words place an * between the two
words,
Maximum two words, it is recommended until you become more familiar with the system that you
use a maximum of two words when searching for a material.
Based on the above guidelines, if you were searching for Oil Filters
1° no plurals so it is Oil Filter
2m Always start with a noun so it is Filter Oil
3"°— without Wildcards the system would only return an exact match. Most oil filters have sizes,
types etc so the likelihood of finding what you require is minimal.
If you typed:
Filter* * system would only display everything that starts with Filter
Filter Oil* — * System would only display everything that started with Filter (space) Oil and
anything else thereafter.
If the description was Filter, Oi/it would not be displayed because you didn’t
type the ( , ) comma in the search criteria.
Filter*oil —* Starts with Filter but ends in Oil
+Filter*Oil* Display everything that has filter and oil in it.

Searching via the part number follows the same general rules as with a long text search. You may
either use the full part number or only a partial match, but using the wildcard ( * ) is
recommended for both options.
For example, you need to replace the seat in a dozer, but cannot read the full Cat part number on
the old unit. You can only identify the following numbers 220-86.

Page 33 of 91Bill of Materials
‘A Bill of Material (BOM) is used to create a standard list of materials required when repairing a
piece of equipment. BOM's are very useful when you have large lists of materials that can be
divided into logical groups such as engines, service kits, transmissions, drag and hoist drums
or conveyors.
BOM’s can consist of both stocked (catalogued) materials and also non stocked (direct
purchase) materials.
A Bill of Material can be viewed using SAP transaction IH01 or you can order directly from the
component tab on a work order using transaction IW32.
Viewing BOM via transaction IHO1.

‘The component tab of a work order allows you to identify and order parts and materials required
to complete the work on the selected equipment.
‘The parts and materials can be classified as either stock items (have a stock number allocated in
SAP), or direct purchases (do not have a stock number allocated). This guide focuses on ordering
stock items only.
You can record parts and materials used for each operation on the work order (if there is more
than one, SAP will prompt you to nominate an operation before recording any details).

If an external contractor is to perform work on-site or hire equipment is required to come to
site, an open service order must be in place before they arrive. If the contractor provides parts
as well as labour for the task, the costs can be added to the same order. This guide assumes a
work order is already open and released.
Access the desired work order from either 1W32 or IW38, then proceed with the following
steps.

FwWorder,
The actual cost of a service is often not known or difficult to estimate until either an
assessment or inspection has been carried out. To allow for this, a percentage overrun can be
assigned to each service line. This allows the vendor to claim more than the amount specified
jin the “Quantity” field when submitting an invoice, and also allows the requisitioner to perform
a service entry without having to change the purchase requisition / order.
The overrun is set as a percentage of the value in the quantity field and is limited to a
maximum of 30% for any purchases with a net value of $2000.00 or greater. For example, line
item 1 above has a total net value of $3853.80, so the maximum allowable extra that can be
claimed before having to change the purchase order would be 30% of 36 hours (10.8 hours).

Suggested text for “estimate” orders:
This purchase order is raised as a budget estimate only for the period. It may or

The above can be used on any orders, contracts & non-contract to cover a ““guesstimate”

DO NOT use where it is for a long term order to cover miscellaneous works, such as to
pay for doctor's visits as these obviously do not have a timesheet.
Works shall commence when agreed with Site Representative.
Suggested text for Equipment Hire:

Delivery shall be as agree with the site representative.
Page 53 of 91Record the history of a PMO1 job
Once a job is complete, the person assigned the job must record details of work undertaken to
return the machine / equipment to service. Comments that are relevant to the next shift (or
for the next failure of the equipment) are to be added to the History section.
To indicate that the work is finished, it is recommended that you set a completion code. There
a numerous completion codes available, if the job is completed select the relevant code.
If the job is not complete either select the relevant code i.e, CNEQ, CNLA or leave as CNCI.
To inform the Planner that the Job has to be Re-Scheduled, use the HOLD code. In GSAP this
is to indicate it was not done on the scheduled date and needs to be rescheduled. For example
the task could not be done on the day due to lack of labour resources CNLA.
