Employees’ Payroll Management System
Prepared By Group Three
1.1 Introduction
The introduction of computer & their non-stop enhancement in solving multifarious problem
together with the decreasing in cost has led many organizations to efficient working
environment.
Business firms of government and non-government organization are using computer system to
automate their working atmosphere.
This computerization turns have led to, better user satisfaction, and better management of
operation and effective utilization of resources.
Keeping this in mind this project will focus on payroll management system for every
organization.
The working at hand is manual. Every activity is manipulated by human power.
Record/information of employee are kept in paper document manually.
As a result, here is a delay in serving employee in time, of the decrement in time saving, wastage
of resources and human power. Besides it takes much time to search specific employee record in
a catalogue. and employee information is not reliable in that the employee record may be lost or
damaged accidentally.
As a result, it is strongly believed that the payment system can give facilitated quality and
reliable service for their employee.
1.2.1 Background of the project
Like developed country, Ethiopia also has a lot of company and any organization provide lot of
employers and take them salary. According to the information we obtain from the fiancé office
Manager in samara university, The system to be developed is entirely new. It will introduce the
payment with automated system that will shift its working environment from manual system to a
newly developed system to make service delivery perfect.
1.2.1 Mission
to design and development payroll management system software and setting highest standard in
quality and value.
Our purpose is to constantly innovate and bring university leading software product thereby
enriching life of all employee.
1.2.2 Vision
To be become the leading human resource software solution in samara university and we will
be expanding our software all over the region.
1.3 Statement of the problem
Difficulty of searching and modifying employee information.
Time consumption because of manual work for simple payment.
Lack of security in terms of:
Accessing of the salary information for any employee.
Entering into the customer’s information’s intentionally to destroy it
The papers on which customers pay for salary putted are easily destroyable
by fire, rain and etc.
Mistakes happened since the work has done manually (lack of accuracy).
Lack of reliability
since the work is done manually buying the paper, pen pencil and etc. needs more cost.
Difficulty of searching and modifying employee’ information.
1.4 Objective of the project
1.4.1 General Objective
The main objective of this project is to developed payment system by automating its existing
system and making the system computerizes.
1.4.2 Specific Objective
To achieve the above aforementioned general objective, the project will also address the
following specific objectives:
Examine the existing processing system.
Identify the major problems of the system.
providing alternative solutions
Selecting the best solution among the provided alternative solutions.
Developing and implementing the new system.
1.5 Scope and limitation
1.5.1 Scope of the project
This project focuses on pay roll system of particularly on: -
Registering new employee
Updating employee’ information
Search employee’ information
Generate increase of salary system for the employee
1.5.2 Limitation of the project
Even though, this project is focus on payroll System, it doesn’t include the whole functionality of
the system and other system which has relationship with payroll system. In addition to this,
because of time and an appropriate presentation of the manager, we could not find some detail
information about all things. difficulty of colleting in formations from the workers since they do
not understand about the overall function of the system.
1.6. Significance of the system
This system is used for set employee information securely.
To minimize time consumption.
To easily add, update, delete and modification of employee’s information
To easily search employee’s information.
1.7. Methodology
We are going to use system analysis and design approach to do our projects. This means we will
analysis the system, identify the system requirements, design the system and so on.
1.7.1 Data collection method
We are going to use different method to collect the relevant information that are used us to
develop the payroll system. Those methods are:
interviewing the workers of the samara university fiancé office.
preparing the questionnaire and distributing it to the workers fiancé office.
Physically observing the payroll system
1.7.2 System analysis and design methodology
We will follow object-oriented system analysis and design methodology. We first, specify
system requirement, Analysis the system, Design and Coding will be the next. During this
development we may use several references and consulting our instructor on each face to came
up with the required software.
1.7.3 Data source
For this project both primary and secondary sources we will use. the primary data collected
through interview and questionnaires. The secondary sources are certain documents and
some strategic plan of the resort
