TERMS AND CONDITIONS

FOOD AND BEVERAGE POLICIES

All food items shall be purchased exclusive from Hotel Gunawangsa MERR Surabaya. It is
agreed and understood that it is prohibited to bring food and beverage items into the hotel
during the function.
GUARANTEED FOOD AND BEVERAGE NUMBER
 The minimum number of guests guaranteed is as per agreement letter signed by the
organizer upon confirmation. Any additional request must be communicated to the hotel
72 hours prior to event. No changes can be granted on the day of the event.
 If there any food left after reception, Hotel Gunawangsa MERR Surabaya does not
provide plastic or container for the food and Hotel Gunawangsa MERR Surabaya does
 not responsible for quality of food that brought outside the Hotel.
SECURITY
The hotel will not be responsible for the safekeeping of equipment, displays, supplies,
written materials, or any other valuable items left in function room or exhibit areas.
PAYMENT TERMS & CONDITIONS:
 50 % deposit from total expenses should be paid at least 7 (seven) days prior to the
function date
 Rest of the payment should be settled at least 1 (one) day prior to the function date
 Any balance should be settled at the end of the function

CANCELLATION POLICY
Please ensure that any cancellation is advised immediately to The Hotel, preferably in
writing. Both parties agree that there shall be no right of termination of this agreement for
the sole purpose of holding the same function and space function and space in some other
facility in Jakarta or Indonesia. In the event this agreement is cancelled or postponed, the
organization shall be charged cancellation fee as per the following schedule:
 In case of cancellation or postponement, the deposit that has been paid to Hotel
Gunawangsa MERR Surabaya is not refundable and transferable
 Within 30 – 14 days, 50% of the total amount of event will be forfeited in favor of The
Hotel as cancellation fee
 Within 14 – 7 days, 75% of the total amount of event will be forfeited in favor of The
Hotel as cancellation fee
 Less than 7 days to the day of event, 100% of the total amount of the event will be
forfeited in favor on The Hotel as cancellation fee
 In case of “Force Majeure” (Guests unable to travel to Indonesia) 4 days prior to the event
and within 3 (three) days the condition has not improved, the Host may postpone the
event within 2 (two) months without any penalty, however the full payment cannot be
returned
 If there is any “Force Majeure” on the day of the event, 50% cancellation fee from the
total amount will be applied and the balance of amount not to be returned. However, the
Host may use this for other events within the following 2 (two) months AGREEMENT

confirmation is not signed and returned to us, we assume that you have read and accepted
the above arrangement.
