EPlant Set-Up For Current Users
EPlant Set-Up For Current Users
This document provides an overview of EPlant filtering and step-by-step instructions that must be taken to
implement this option. Please read this document carefully prior to attempting the EPlant setup to ensure your
success.
IQMS highly recommends calling Technical Support before implementing EPlant to let
us know what day you will perform these steps, so we can ensure that a support person
is available to assist you. Also, IQMS will need to send you a custom script to populate
your existing records with an EPlant ID, based on data you will generate when you
perform step 3. You will not be able to perform step 4 without this script.
Moving to EPlant
EPlant allows a company with multiple divisions and/or sites to maintain a single database, with a logical
separation of data via an EPlant ID number assigned to plant-specific records. This separation allows users to
segregate data so that each site can interact with only the records & chart of accounts that pertains to their site.
There is data that is common to all EPlants, however. This is important to understand. Customer and vendor
records, for example, are shared across the enterprise.
If your organization does not want to share any data between sites, then EPlant may not be the right solution for
your organization. In such cases, it is typically more efficient if each plant maintains a separate Oracle server, and
runs a stand-alone implementation of EnterpriseIQ. With the introduction of the FRx Financial Report Writer,
companies with separate databases can create still create consolidated financials. Contact IQMS for more
information on using FRx for financial reporting.
If FRx is currently being used please refer to the FRx technote to guide you in making decisions on how data will
be displayed with addition of EPlants.
EPlants are licensed by IQMS. Contact IQMS sales for information about licensing your additional sites.
The EPlant coding mechanism is mostly hidden from the user. That is, as the user enters data – such as BOM or
inventory information, the EPlant ID that links the information to the plant is automatically entered into a special
field within the database table that holds that record. EnterpriseIQ then understands how to filter data to show
only the information connected with the site, based upon how the user is logged in.
If users are not logged into EnterpriseIQ properly, the records they create will either not be associated with an
EPlant (no EPlant ID) or to the wrong EPlant. It can be difficult and cumbersome to repair these kinds of problems.
Therefore, it is extremely important that the user accounts have a default EPlant assigned to them (explained in
this document) and that security rights to log into different plants or “view all” plants is only granted to users as
needed.
**A few important things you MUST consider prior to setting-up EPlant are:
• ALL USERS MUST BE OUT OF THE SYSTEM WHILE THE EPLANT OPTION IS CONFIGURED –
PLAN FOR THE SYSTEM TO BE DOWN FOR APPROXIMATELY ONE DAY.
• Contact the EDI Support Department at least two weeks prior to implementing EPlant for direction on
redirecting EDI data to the correct EPlant.
• You must either add or designate an account segment exclusively for EPlant.
• Decide whether or not to add a set of corporate accounts, as it is optional. See below for more
information and call IQMS technical support if you have any questions.
• Decide on a Manufacturing Cell structure (i.e. how do you want to breakdown your manufacturing types
for each plant by cells). Manufacturing Cells are a mandatory requirement for EPlant.
Implementation Steps:
IMPORTANT: All users must log out before continuing. You can leave Realtime running for now – it will
need to be shut down before running the script (step 4).
The following is a basic strategy for creating and setting up EPlants for customers who are already using
EnterpriseIQ. These must be done in sequence.
Step One: Chart of Accounts – adding or designating an existing account segment for EPlant
All EPlants will have the same GL account structure. Each account number will be the same across all EPlants,
with the exception of one segment that is unique for each plant. The first step then is to add a GL account
segment for EPlant, or choose one of the default segments (e.g. division/department) that is NOT being used.
This means that the segment is either not already part of your GL account structure, or all accounts in existence
have zeros for this segment. The segment designated for EPlant must be used for EPlant exclusively. Please
contact IQMS technical support if you have any questions about this.
NOTE: IQMS recommends adding a segment for long term growth planning. In this fashion you can have
division and department sub categories per EPlant.
Therefore, a basic, two-site enterprise will create and maintain a minimum of two sets of identical accounts
except for the EPlant segment. One set of accounts for each EPlant.
Optionally, corporate accounts can also be created with all zeros for the EPlant segment. These are used to
more easily troubleshoot problems caused by users logged in as “view all” rather than their particular plant.
Note: There should be no postings to these accounts, unless by error, and then quickly corrected. If you choose
to use corporate accounts you will have THREE sets of accounts, which would be the maximum for a two-site
enterprise. The maximum number of GL account sets is always one more than the number of EPlants (# of
EPlants + corporate accounts). Corporate accounts should never have balances; they are assigned as the
default GL accounts in System Setup, System Parameters to use for postings throughout the system. If
balances ever exist, you can quickly research account activity. The corporate account is typically set as 00
(presuming the segment structure is two characters long). If you choose to add a segment, you will need to
modify your existing account numbers. You will populate the new segment with 00 (assuming you created a 2
character segment) thus indicating that they are the corporate set of accounts. If you have any questions on
setting up your Accounts, contact IQMS Support for assistance.
XXXX-XX-XX
Where the first 4 digits represent the account code itself, the second two digits represents the division
and the last two digits represents the department code.
With the new EPlant segment, and assuming the segment was created as two digits, the new account
structure would like this:
XXXX-XX-XX-XX
Step Two: Populate the new Segment with the Plug Value for GL Accounts
If you are using an existing account segment, skip Step Two and proceed to Step Three. If you have
chosen to create a new account segment for EPlant you will need to manually populate the new segment with
the “plug value” for the plant currently running EnterpriseIQ. The screen shot below shows how your account
numbers will look after adding the new account segment. The dash after the last set of numbers means an
account segment has been added. You will need to type the “plug value” after the dash for each account number.
For example, the plug value for EPlant one is 01 so the account number displayed below would be changed to
1020-10-00-01 once the plug value is populated.
From the IQLauncher bar, click the Sys Setup tab, then the System Parameters button. Select the Enterprise
tab on the form that opens.
At the top right portion of the screen, click in the Code field and enter a 2 digit number (i.e. 01) and fill in the
company field (referred to as the Ecompany) with the corporate company name. This is the parent record in the
database for all EPlants. EnterpriseIQ requires that one and ONLY ONE Ecompany record be created – and it
must be created before ANY EPlants can be created. Only the Code and Company columns need to be filled
in, ignore all other columns in the Ecompany grid. --DO NOT create multiple Ecompany entries.--
Click on the “Plant Segments” tab in the top left area of the Enterprise form. Use the drop down list for the
“EPlant Segment” to assign the GL account segment to be used for EPlant postings in EnterpriseIQ. IGNORE
the Rep Manager Tab.
Next, create the first EPlant – this will be the EPlant for your existing data (inventory items, BOMs, etc.).
Click in the Company Name field in the lower left portion of the screen and enter a Company name
and Plant name. The Company name will be used for printed reports such as AR invoices. (NOTE: It
is highly advised to not include any special characters, including hyphens, particularly before updating
to the 2012 version). The address will be input in the next step. The Plant name is for your internal
identification purposes when logging into one plant or another. Values such as “Plant 1” or “Paso
Plant” are typical. The EPlant ID field can be manually entered with a unique ID, or if left blank the
system will generate the ID number when the record is posted. Once the record is saved this cannot be
changed. Note this number as you will need it for step 4. .
At the bottom right of the Enterprise screen, enter the information specific for Plant one. This is the address
phone number, etc. that will print on reports generated for this EPlant, such as AR invoices.
Address Enter the address, city and state information for the particular site.
Contact Enter the phone, fax and optional email and SMTP address, and Email Authentication
setting.
Sequences This form allows the user to start many of the automatic numbering sequences – such
as sales orders and invoices – at a specific number, relevant to the site. For plant one,
you will most likely want to begin these sequences from where you left off. You can look
this up on the “Sequential Numbering” tab in System Parameters, Max used number
field. For example, if you key in the Max used number for invoices into the Last Value
field on the Enterprise screen, sequences tab and click the check mark to save, the next
invoice created by a user logged into EPlant one will use the next consecutive number.
Note – when you post the “Last Value” that you keyed in, it does not show in the field.
However, once you begin using the system after setting this up, the “Last Value” field will
Miscellaneous Plug value: The Plug Value determines what numbers the system will “plug” into the
EPlant segment of the GL Account number when posting records. The plug value used
is based on which plant your users are logged into. Plug values are typically set up with
this scheme: 01 for Plant 1, 02 for Plant 2, etc.
Suffix: This character string will appear after invoice numbers, sales orders & etc. for this
EPlant. You can use up to four numbers or letters. It is suggested that you set the suffix
the same as the plug value for ease of use. For example, when selecting invoices for
cash receipts by invoice number, you can then use the 10-key on your keyboard without
having to use the character keys as well. Another option would be to abbreviate the
plant name or city it is located in, such as “PASO” or “CHGO”. Invoice # 10000 for an
eplant with a plug value and suffix of 01, would be numbered as 10000-01. If “PASO” is
used for the suffix, the invoice would be 10000-PASO.
Launcher Color: This option allows the user to change the color of the launcher bar for
each EPlant to more easily differentiate which EPlant a user is logged into.
Highlight the Plant Name on the left and then select a Launcher Color from the drop
down menu. The launcher bars background will be this color for the associated EPlant.
To change the launcher bar color back to the default color select ‘Button Face’.
Separate Fiscal Year: Each EPlant can have a separate fiscal year. In determining the
period to post to, the system will always work off the EPlant the user is logged into.
Where a separate Fiscal Year is indicated for an EPlant the GL period will be specific to
that EPlant and must exist for posting to continue.
Native UOM: Select the EPlants native unit of measure (Metric or Imperial) The EPlant
setting will take precedence over the Regional setting.
Note: The material exceptions will be in the EPlant’s UOM regardless of how the item is
setup in inventory. For example: The Native UOM for the EPlant is KG and an inventory
item’s UOM is LBS, the material exceptions will be in KG.
IIS Server URL and IIS Port: This information is used for the RealTime Process Monitor
module. For more information please see the RT Process Monitor TechNote.
If applicable to the EPlant, enter the Internet Information Services (IIS) Server URL and
Port. The IIS Port can be left blank, it will default to 80.
If this information is not set up at the EPlant level, the system will default to using the
information from the Company File Information tab.
Additional Options:
Use Intercompany Check this box if you want an automatic offsetting transaction to occur when an
interplant transaction is posted. When the transaction is posted the system will use the
Offset GL account found in the Intercompany Setup for each EPlant based on which
EPlant the transaction is being posted from. This will keep the ledgers of the Corporate
and EPlants in balance.
EPlant batch With this option checked, when users are logged into a specific EPlant the GL batches
numbers will include a batch sequence specific to that EPlant and module. For example, the
Step Four: Running the EPlant Script – Have your Database / System Administrator perform
this step.
1. IMPORTANT: Create a manual export (backup) of the database with ALL users logged out (including the
RealTime computer, RTServer.exe). IQAlert should already be setup in your environment to generate an
export file of the database at least once daily. You can run “Execute Action now!” for your scheduled backup
event within IQAlert to create an export immediately. For more information please refer to the IQAlert manual
available on MyIQMS (Support->EnterpriseIQ Manuals tab), or access the help file directly from the IQAlert
module by selecting Contents from the Help menu..
2. Contact IQMS for the EPlant Setup script. We will need your EPlant ID for the first EPlant so that we can
modify the script for your particular implementation. As you may recall, the EPlant ID is next to the Company
Name on the Enterprise form in System Setup, System Parameters. This script will populate ALL of the
tables with an EPlant_ID column with the EPlant ID for the first EPlant.
3. Verify that ALL users are logged out of EnterpriseIQ and Shut down RT server, IQAlert, and IQClock
before proceeding. Log into Data Dictionary as user IQMS on the Oracle server, click on the Update
Structure tab, and load the EPlant script by clicking the plus button at the top center of the screen and
browsing to where you saved the file. Uncheck all boxes except for run script, create log, lock out other users,
ignore errors, and resolve dependencies. Assign a valid path and file name for the update log file, and click
execute. It may take as long as two to four hours to run this script depending on the amount of data in your
system. Email the log file to [email protected] and CC: [email protected] when the script finishes.
4. Check the Update Log file to verify the script has run successfully. If not, you can run the script again
until the log file states that it has completed successfully.
5. After the EPlant script is complete, it will need to be determined whether the ‘Separate Fiscal Year’ option will
be turned on (in System Parameters > Enterprise > Miscellaneous sub-tab). If the EPlants will not have
separate fiscal years, the EPlant_ID will need to be set to null within GLYEAR. This can be done in View All,
within System Parameters > GL Setup > Define Periods. If the EPlants will have separate fiscal years, the
user will not be required to modify/change the GLYEAR’s EPlant_ID.
Please contact IQMS if you have any questions or problems with running the script.
Log into EnterpriseIQ as user name IQMS. Click the Sys Setup tab & open Security Inspector. Click on the
Users tab, then locate the EPlant column. In the “EPlant Name” column, use the drop-down menu to assign a
default EPlant to each log in name for EPlant one. This step must be completed before users log back in and
data entry takes place. This will be the default EPlant that the user will be logged into when they log into
EnterpriseIQ. Users are not able to log into other EPlants or to “View all” (no eplant filtering) unless you assign
them the security role IQEPLANT_LOGIN or unless they are assigned the IQALL role. Limit this security role to
trusted users in management that need to look at all records regardless of EPlant assignment. No records
should be created logged in as “View all” as they will not be coded to an EPlant or receive the proper plug value
for the GL accounts involved in posting such records. The exception is if centralized ordering or purchasing is in
use.
Follow the steps outlined in Step Three beginning at the check mark to enter the data for any additional EPlants.
Specifically, the Company Name, Plant Name, Address, Contact, Sequences, and Miscellaneous tab info. If
starting sequences are not assigned for your additional EPlants, they will start at one. DO NOT REPEAT STEP
4 – CONTINUE ON TO STEP SEVEN ONCE THIS IS COMPLETE.
Login to EnterpriseIQ as user name IQMS. Click the File drop-down menu from the IQLauncher bar, mouse over
Login, and select “Enterprise Plant” from the menu. Select “One Plant” and using the drop-down menu choose
the EPlant that you want to add a set of accounts.
Note: Selecting a specific EPlant is important. If you do not do this you will have to go back to the GL accounts
and add the correct EPlant to them one by one.
1. Go to the GL tab and open Chart of Accounts. Click the File drop-down menu and select “Replicate”.
2. Check the Replicate box for the “group” that represents the GL account segment for EPlant, and key-in
the plug value assigned to plant two in the “What to Change” box.
3. Next, Highlight the Account Types in the Which Types box. You can multi-select by using your shift key
to select all or Ctrl key to select specific account types.
5. Select all accounts by clicking on the double right arrows (>>) or one account at a time by highlighting
the account and clicking on the single right arrow (>).
6. When you are satisfied with your selection of accounts displayed in the “Accounts to Replicate” box, click
the Replicate button at the bottom. When the system is finished replicating, you will receive a message
stating that the replicate process is finished. Close out of the Replicate Accounts screen. If you do not
see your replicated accounts in the Chart of Accounts list, exit out of the GL/Account Maintenance screen
and go back in. You should now see the replicated accounts. (For more information on replicating GL
accounts please see page 4 in the GL chapter of the accounting manual).
Follow the instructions in Step Seven for each EPlant created, logging in as the appropriate EPlant each
time you replicate the Chart of Accounts.
1. Reassign the default posting account in Sys Set-up > System Parameters > GL Set-up tab to reflect
your Corporate chart of account. This only applies if you are using Corporate accounts.
2. If you are using standard costing, reassign the cost element accounts to reflect the corporate '00'
accounts by selecting, System Set-up > System Parameters > Lists menu > Cost Elements. This only
applies if you are using Corporate accounts.
4. Create Financial Reports for each EPlant. See Accounting manual for information on Financial
Reports.
If you are currently using Manufacturing Cells, run the following select statement from Data Dictionary > SQL Tab,
logged in as user IQMS: Select * from work_center where mfgcell_ID is not null and mfgcell is null If the
statement returns any data, contact IQMS for a script to populate the Mfgcell name on the work center.
If you are not currently using Manufacturing Cells, continue with the steps below.
1. Create Manufacturing Cells and assign to each BOM, work center, etc. See EnterpriseIQ Set-up Manual
for further explanation of Manufacturing Cells.
2. Modify the Shop Calendar if any Cells work different hours than the Default Calendar.
3. Place downtime in the first position of the schedule for work centers associated with RealTime. Do the
set-up from Realtime. This will allow the system to ‘refresh’ the data after assigning Cells.
