Circular Letter 22-016 - Defect and Deferral Module Usage in BASSNET

This circular reminds ship crews to utilize the defect and deferral modules in the BassNet PMS program. The defect module allows crews to monitor defects in real-time, replacing monthly defect lists. The deferral module is for postponing maintenance jobs that cannot be completed as scheduled, with a valid reason. Using these modules provides essential records and transparent, real-time monitoring of maintenance tasks. Shipboard management must fully implement the modules immediately. Questions about the modules can be directed to technical superintendents or BassNet IT support.

Attention to: Master and Chief Engineer.

As we are all aware in the company pursuant to digitalization, the first area of focus has been the digitalization of the
maintenance process. To achieve these goals Orkim has invested in having a computer-based maintenance system
software name BASSNET installed onboard each of our vessels.

This circular serve as a reminder that the BASSNET PMS program onboard vessel is an essential process to provide
reliability assurance concerning the vessel’s performance in a maintenance/technical aspects.

Recently it has been pointed out that although the system was well in place covering various modules of the
maintenance program, there is a certain maintenance module inside the BASSNET observed not being used diligently
or adequately by vessels, predominantly on these modules listed below: -

1. Defect Management Module.

2. Deferral Management Module.

The Defect Management Module is an upgraded version of the defect list. These modules replace the existing
procedure under TPM Appendix Section 2 that required a “Defect List” to be submitted on monthly basis. This will
encourage having the defect list monitored in real-time.

The Deferral Management Module on the other hand is a deferment or postponement of any critical or non-critical
maintenance job which unable to be completed as per schedule job and shall be supported with a valid reason.

Both modules provide an essential record, transparent and real-time monitoring of the job related which
subsequently assures the vessel maintenance program onboard being addressed correctly and accordingly by the
relevant personnel subject to approval from the Technical Department.

As such the shipboard management must take note and implement full use of these modules with immediate effect.
Both maintenance modules under BASSNET are to be included in the next SMS Revision anticipated to be released in
January 2023.

Any inquiry or training material regarding these maintenance modules kindly liaise closely with your respective
Technical Superintendent and/or IT BASSNET support.
